How to apply a customer payment to an invoice in NetSuite

Apply a customer payment to the right NetSuite invoice, verify the saved payment, and confirm the remaining balance with a visual walkthrough.

The quick answer

To apply a customer payment to an invoice in NetSuite, open the invoice and click Accept Payment. Confirm the customer and payment details, then check the invoice and amount on Apply. Click Save and reopen the invoice to verify its remaining balance.

A payment can be saved and still be applied to the wrong invoice. You’ll apply the customer’s payment, then check both sides: the payment record and the remaining invoice balance. Start with the invoice you intend to pay. The screenshots use sample data and fictional person and operating-company names.

Before you start

Have the customer’s payment details and the intended invoice ready. Confirm the amount received, payment date, currency, and the account or undeposited-funds treatment your process requires. Your role needs permission to create customer payments.

If you already have an open invoice, start there. You don’t need to create another invoice just to follow the payment steps.

01. Open the invoice and accept payment

Open the intended invoice and confirm its customer, number, and amount due. In the example, INV17 is Open for 1 Test company, with 100.00 due.

Click Accept Payment on the saved invoice. Starting from the invoice gives you a useful head start, but still check the application before saving.

Start from the invoice you intend to pay and choose Accept Payment.

02. Review the payment details

Check the Customer, Currency, date, and payment amount. The example uses 1 Test company, US Dollar, and a payment of 100.00.

Review the payment method and account treatment required by your process. The saved demonstration payment uses Undeposited Funds. Use the account that matches how your organization records the receipt.

Confirm the customer and currency before applying the payment.

03. Check which invoice receives the money

On Apply → Invoices, find INV17 and confirm the selected line receives 100.00. The invoice may already be selected when you start with Accept Payment.

Check the Payment Amount, invoice reference, and amount applied together. If Auto Apply is available, review its selections: you want to know exactly which invoices will receive the payment. In this example, Applied is 100.00 and Unapplied is 0.00.

Check the selected invoice and amount before saving the payment.

04. Save, then check the payment and invoice

Click Save and inspect the saved payment. The recording creates PYMT02, with 100.00 applied to INV17 and no unapplied amount. Its status is Not Deposited.

Then reopen INV17. It now shows Paid In Full and Amount Due 0.00. That second check confirms the invoice balance changed as intended.

The saved payment shows which invoice received the 100.00.
INV17 now shows Paid In Full. The remaining amount due is zero.

Check the result

  1. Payment: PYMT02 exists with 100.00 applied and 0.00 unapplied.
  2. Invoice: the applied-to record is INV17.
  3. Balance: INV17 shows Paid In Full and Amount Due 0.00.

The invoice is paid in NetSuite. The payment’s Not Deposited status is a separate check; bank deposit and reconciliation still follow your normal process.

Common questions

Can I apply a partial payment?

Yes. Apply only the amount received to the invoice. The invoice should retain the unpaid balance rather than showing Paid In Full. Check the saved payment application and the invoice’s remaining amount due.

Why is my invoice still open after I saved the payment?

Check whether the payment was applied to that invoice and whether it covered the full amount due. It may be partly applied, left unapplied, or applied to another invoice. Compare the saved payment’s invoice reference with the invoice you reopened.

Why isn’t the invoice available on Apply?

Check the customer and whether the invoice has an open balance. Currency, subsidiary, A/R account, permissions, and the payment form’s context can affect which invoices are available. Confirm those values before changing the payment.

Does Paid In Full mean the money cleared the bank?

No. It describes the invoice balance in NetSuite. The example payment is Not Deposited even though the invoice is Paid In Full. Deposit, payment processing, and bank reconciliation are separate checks.
