The quick answer
A Checkout.com integration SuiteApp adds a Checkout Payment Link field to the invoice. The link opens a hosted payment page for that invoice. When the customer pays and the integration processes Checkout.com's notification, it records a customer payment in NetSuite and applies it, so the invoice turns Paid In Full. In the setup shown here, that payment sits in Undeposited Funds as Not Deposited until you move it to the bank account with Transactions > Bank > Make Deposits. The deposit then shows up in Match Bank Data, ready to match once the processor's payout comes in with your bank data.
The screenshots show sample data. Person and operating-company names are fictional. The payment link, hosted page, and processor dashboard come from the integration, so they can look different in your setup. Making the deposit and bank matching are standard NetSuite.
Before you start
You need:
- The Checkout.com integration installed and configured: credentials, the webhook that tells NetSuite about payments, the payment method, and the account payments post to. In this example it posts to 1090 Undeposited Funds. If yours posts to a bank or processor clearing account instead, steps 05 and 06 look different.
- The payment link on the invoice form, and in the invoice email or PDF template if customers get it that way. The field existing on the invoice doesn't put it in the email.
- The bank account set up for bank matching, here 1010 Operating Checking.
- A role that can view invoices and customer payments, make deposits, and use Match Bank Data.
The example follows invoice 2087 for Marlow Studio Coffee, Open for 149.00.
01. Open the invoice and its payment link
Open invoice 2087. It's Open, with Total 149.00 and Amount Due 149.00.
Open the Custom subtab. Checkout Payment Link holds the hosted payment page address for this invoice. That's the link your customer gets, for example through the invoice email template.
02. Pay on the hosted page
This is what the customer sees. The hosted page shows Order summary with Total order amount US$149.00 and Payment details with the customer's email, billing@marlowstudio.example. The demo fills in Rae Marlow as the name on the card, card number 4242 4242 4242 4242, expiry 12/29, and security code 123. When you test, use the test cards your Checkout.com sandbox lists, never a real card.
Pay US$149.00 only becomes available after checking I have read and agree to the Terms and Conditions.
After Pay, the success page reads Thank you! Payment was successful. with US$149.00. That proves the card payment went through. It doesn't prove anything posted in NetSuite yet.
03. Check the processor dashboard
In the Checkout.com dashboard, the Payments list now starts with two rows for 149.00 USD with reference NetSuite-2087: an AUTH and a CAPTURE. If your setup captures immediately, you may see a single event instead. The reference format comes from the integration.
04. See the invoice paid
Back in NetSuite, reopen invoice 2087. It's now Paid In Full and Amount Due is 0.00.
Open Related Records. Payment PYMT3318 for 149.00 is there, with status Not Deposited. The integration created it and applied it to the invoice.
05. Open the payment in Undeposited Funds
Click PYMT3318. The payment is Not Deposited and its Account is 1090 Undeposited Funds. It posted as a debit to Undeposited Funds and a credit to Accounts Receivable, and it stays there until a deposit moves it. The deposit is a separate transaction: debit the bank account, credit Undeposited Funds.
This is where a lot of teams stop. The invoice is paid, so it looks done, but the cash isn't in the bank account in NetSuite yet.
06. Deposit the payment
Go to Transactions > Bank > Make Deposits and set Account to 1010 Operating Checking. Under Deposits > Payments, this account has three undeposited payments listed: PYMT3309 for 412.00, PYMT3312 for 1,086.50, and PYMT3318 for 149.00. Check only PYMT3318. The subtab label changes to Payments 149.00 and Amount reads 149.00.
Check only the payments that belong in this deposit. Ideally that's what the processor's payout will cover. Click Save. Deposit DEP27 is saved to 1010 Operating Checking for 149.00, with PYMT3318 on its Payments subtab, and the payment is now Deposited. That's a NetSuite status. It doesn't mean Checkout.com has paid the money out yet.
07. Find the deposit in Match Bank Data
Go to Transactions > Bank > Bank Matching and Reconciliation > Match Bank Data and choose Account 1010 Operating Checking. Open Transactions to Match.
Check the result
- Invoice 2087 is Paid In Full with Amount Due 0.00.
- PYMT3318 was deposited on DEP27, not left in 1090 Undeposited Funds.
- DEP27 for 149.00 is listed under General Ledger Transactions for 1010 Operating Checking.
Bank Transactions has no 149.00 line yet. When the processor's payout is imported, match it to DEP27. Payouts can arrive net of fees, batched with other payments, or a few days later. If the processor withheld a fee, record it on the deposit's Cash Back subtab, or run payouts through a processor clearing account, so the deposit equals what the bank actually receives. Pick one method per payout, not both.
Common questions
Why is my invoice Paid In Full but the payment still Not Deposited?
They're two different things. Paid In Full means a payment is applied to the invoice and nothing is due. Not Deposited means that payment is still in Undeposited Funds. Invoice 2087 is paid by PYMT3318, but the 149.00 stays in 1090 Undeposited Funds until a deposit moves it.
How do I move card payments out of Undeposited Funds?
Use Transactions > Bank > Make Deposits. Choose the bank account, check the payments that belong in the deposit on the Payments subtab, and save. Here that created DEP27 and moved 149.00 from 1090 Undeposited Funds to 1010 Operating Checking.
Why doesn't my processor payout match the deposit amount?
Payouts often combine several payments, take the processing fee out first, or land a few days later. Don't edit the customer payment or the invoice to force a match. Record the fee on the deposit's Cash Back subtab or through a processor clearing account, whichever your team uses.
Where do I find a deposit in Match Bank Data?
Go to Transactions > Bank > Bank Matching and Reconciliation > Match Bank Data, choose the bank account, and open Transactions to Match. The deposit is under General Ledger Transactions. You can't match it until the bank line for the payout has been imported.
What does the integration record in NetSuite after a customer pays?
In this setup, a customer payment applied to the invoice. PYMT3318 for 149.00 was created and applied to invoice 2087, which turned Paid In Full, and the payment posted to 1090 Undeposited Funds. The deposit is a separate transaction you create afterward.
Why is my invoice still Open after the customer paid?
Start in Checkout.com and confirm the payment succeeded. Then check that the integration received and processed the notification, found the right customer and invoice, and matched the amount and currency. If a payment was created but not applied, apply it instead of entering another one.
