How to find which bank deposit a customer payment is in (NetSuite)

A customer payment or customer deposit doesn't show the bank deposit it went out in. Run a Deposit transaction search filtered on Applied To Transaction, then open the deposit it returns and check its Payments subtab.

The quick answer

NetSuite doesn't print the bank deposit number on a customer payment or customer deposit, so search from the deposit side. Go to Transactions > Bank > Make Deposits > Search, which opens Transaction Search with Type set to Deposit. Check Use Advanced Search, add the filter Applied To Transaction, and pick the payment or customer deposit in its chooser. Click Submit. The result row's Document Number is the bank deposit. Open it and confirm the receipt on its Payments subtab.

The recording uses a customer deposit, CD214, because that's what the source demo traced. The search is the same for a customer payment: choose the payment in the chooser instead. Company, customer and user names in the screenshots are fictional example data.

Before you start

This only works for receipts that went to Undeposited Funds. A payment or customer deposit sits there until someone adds it to a deposit with Make Deposits. That deposit is usually what you match to a line on the bank statement, often several receipts combined. If the receipt was recorded straight to a bank account, it's already in the bank ledger and there's no separate deposit to find. Card and gateway payouts are messier: the bank may show a net amount after fees, so the NetSuite deposit total won't always equal the statement line.

In this example, Fernhill Garden Supply received customer deposit CD214 for 2,480.00 from Meridian Landscape Co. into 1150 Undeposited Funds and later applied it to invoice INV3307. Someone reconciling the bank wants to know which deposit carried that money.

Your role needs to run transaction searches and view both the deposit and the customer payment or customer deposit. Role restrictions on subsidiary or account can hide a deposit that exists, so an empty result from a restricted role doesn't prove there isn't one.

01. Look at the customer deposit

Open CD214. The header shows Payment Amount 2,480.00, Account 1150 Undeposited Funds and the status Fully Applied. No field names a bank deposit. Fully Applied is about invoices, not the bank: a customer deposit can be fully applied while its money still sits in Undeposited Funds, or deposited before it's applied.

CD214: 2,480.00 into 1150 Undeposited Funds, Fully Applied. Nothing here names a bank deposit.

Click the Applied To subtab. It lists invoice INV3307 with Applied Amount 2,480.00. That's where the deposit was applied, not which bank deposit carried it. Each of those applications is a deposit application, a different transaction from the bank deposit.

Applied To shows the invoice, INV3307. That isn't the bank deposit.

Go to Transactions > Bank > Make Deposits > Search. If your role's menu doesn't have it, open a transaction search and set Type to Deposit yourself.

Transactions > Bank > Make Deposits > Search.

Transaction Search opens with Type already set to Deposit. Check Use Advanced Search if it isn't checked. Filters then appear as rows on the Criteria subtab, starting with Type is Deposit.

Advanced mode, with one criterion: Type is Deposit.

03. Filter on Applied To Transaction

In the empty filter row, choose Applied To Transaction. On a deposit, that's the receipt a deposit line carries. The Applied To Transaction popup opens with any of selected.

Applied To Transaction, any of. The chooser button sits beside the value box.

Open the chooser beside the value box. Type %CD214 in the search box and click Search. The % is a wildcard. Click Customer Deposit #CD214 in the results so it moves to Current Selections, then click Done. Pick the record from the results rather than typing its label, since how a transaction shows up depends on your numbering. For a customer payment, search for its number instead, for example %PYMT2207.

Search %CD214, click the result, and it lands in Current Selections.

Click Set on the filter popup. The criteria now read Type is Deposit and Applied To Transaction is Customer Deposit #CD214.

Two criteria: Type is Deposit, Applied To Transaction is Customer Deposit #CD214.

Click Submit. Transaction Search: Results shows Total: 1. The row is Type Deposit, Document Number DEP120, Date 10/14/2026, Name Meridian Landscape Co., Account 1150 Undeposited Funds and Amount -2,480.00.

That's DEP120's line for CD214: the credit to Undeposited Funds when the money moved to the bank, which is why it shows the Undeposited Funds account and a negative amount equal to the receipt. If your results also show a row with the bank account and the full deposit total, add the filter Main Line is No to keep only these lines. Normally one deposit comes back. If you get more than one, for example after a receipt was taken off one deposit and added to another, open each and check its date and Payments list.

One row. Document Number DEP120 is the bank deposit.

05. Open the bank deposit and check it

Click DEP120. The deposit shows Account 1020 Operating Checking, Amount 7,365.50 and Date 10/14/2026. DEP120 is NetSuite's deposit number, not a bank deposit slip or reference number. The 7,365.50 total is what you'd look for on the bank statement.

DEP120: 7,365.50 into 1020 Operating Checking on 10/14/2026.

Scroll to the Deposits subtab. Payments lists the receipts taken out of Undeposited Funds.

CD214 at 2,480.00, with PYMT2207 and PYMT2209. Together they make 7,365.50.

Check the result

  1. The search returned one row, DEP120, with Account 1150 Undeposited Funds and Amount -2,480.00.
  2. DEP120 is a 7,365.50 deposit into 1020 Operating Checking dated 10/14/2026.
  3. Its Payments list includes CD214 at 2,480.00.
  4. CD214, PYMT2207 (1,912.50) and PYMT2209 (2,973.00) add up to 7,365.50, with nothing under Other Deposits or Cash Back.

So CD214 went to the bank as part of DEP120. Applying CD214 to INV3307 didn't change that, because which deposit carried the money and which invoice it paid are separate links. Finding DEP120 doesn't tell you the deposit has cleared or been reconciled. Check that on the bank reconciliation.

Common questions

Why doesn't a customer payment show its bank deposit number?

The payment and the Make Deposits transaction are separate records, and the deposit is created later. The payment has no standard field that points to the deposit. Search from the deposit side instead: a Deposit transaction search filtered on Applied To Transaction, with the payment as the value.

Why does the deposit search return a negative amount and Undeposited Funds?

The row is the deposit's Undeposited Funds line, the credit that moved the receipt out of that account and into the bank. Here it's -2,480.00 on 1150 Undeposited Funds, while DEP120 itself is 7,365.50 into 1020 Operating Checking. The document number on that row is still the deposit you want.

Why can't I find a deposit for a payment marked Deposited?

Check the payment's account first. A payment recorded straight to a bank account is already in the bank, so there's no Make Deposits transaction to find, even though it reads as deposited. If it did go to Undeposited Funds, check that the deposit wasn't voided or deleted, and that your role can see its subsidiary and account.

Can I show the bank deposit number on the customer payment form?

Yes, with a custom transaction body field, but build it carefully. A non-stored field with a formula that looks up the deposit isn't dependable, because the deposit is created after the payment and can change later. A stored field that a workflow or script fills in after the deposit is saved holds up better.

What's the difference between a deposit application and a bank deposit?

A bank deposit moves receipts from Undeposited Funds into a bank account. A deposit application applies a customer deposit to an invoice. CD214 has both: a deposit application against INV3307, which settles the invoice, and DEP120, which carried the money to 1020 Operating Checking.

How do I trace a bank statement deposit back to the customer payments in it?

Find the NetSuite deposit with the same amount and date, then open its Payments subtab. DEP120's 7,365.50 breaks down into CD214 for 2,480.00, PYMT2207 for 1,912.50 and PYMT2209 for 2,973.00. Open each receipt from there to see the customer and what it was applied to.
