How to invoice multiple sales orders at once in NetSuite

Bill several NetSuite sales orders in one batch with Invoice Sales Orders, then follow Process Status and Processed Records to the invoices it created.

The quick answer

Go to Transactions > Sales > Invoice Sales Orders. Set Date (the invoice date), Posting Period, To Be Printed and To Be Emailed, check the Invoice box on each order you want to bill, and click Submit. On Process Status, click Refresh until the job shows Complete, then click Complete to open Processed Records. Each line there shows a sales order's result and links to the invoice or cash sale it created, or tells you why it failed.

The example has four sales orders waiting to bill. It invoices three of them in one batch and leaves the fourth for later. Then it checks one of the new invoices against its order. The screenshots use sample data and fictional person and operating-company names.

Before you start

Invoice Sales Orders only lists orders that have something left to bill and match the page's filters. In the example, Advanced Shipping is on and all four orders are approved and fully fulfilled, so each one is Pending Billing. Without Advanced Shipping, fulfillment and billing usually happen together and this page may not be how you bill. With Invoice in Advance of Fulfillment turned on, an order can be billable before it ships. If your account requires sales order approval, unapproved orders won't show up. Orders or lines on a billing schedule appear as each scheduled bill comes due, so one order can take several runs to bill in full.

The Order Type column tells you whether processing an order creates an invoice or a cash sale. That comes mostly from the form and setup on the sales order. All four orders here are Invoice. If you see Cash Sale on an order you expected to invoice, leave it unchecked and have someone who owns your sales order forms look at it before you bill it.

You also need an open posting period and a role that can view sales orders, create invoices and see the processing results. The example uses the Administrator role. In this sample there's no tax, shipping, discount or currency conversion, so each invoice total equals its order total. In your account those can make the two differ, and required custom fields or custom forms can stop an order from processing.

01. Review the orders waiting to be invoiced

From Home, go to Transactions > Sales > Invoice Sales Orders. In some roles the page sits under a different menu, so search for it if you don't see it there.

Invoice Sales Orders sits under Transactions > Sales, just above Create Invoices.

Leave Customer at - All - and Next Bill On or Before at 09/30/2026. The Orders list shows four orders: SO8732 for Northbank Labs, SO8738 for Juniper Field Supply, SO8740 for Meadowgate Services and SO8753 for Oak Fern Systems. Each has Order Type Invoice.

Four orders ready to bill, all set to produce invoices.

02. Check what one order will bill

The list doesn't show amounts, so open one order before you bill it. Click the Order Date link on SO8732. It's Pending Billing, with one line of 12 Bench Adapter at 57.00, for 684.00. You'll compare the invoice against these numbers later. Click Back to return to Invoice Sales Orders.

SO8732 before billing: 12 at 57.00, total 684.00.

03. Set the processing options

Enter the invoice date in Date. The example uses 09/09/2026. This field only sets the date on the invoices the batch creates. It doesn't change which orders are listed; Next Bill On or Before does that.

Check that Posting Period is the period you want the invoices in. Here it's already Sep 2026. The period has to be open, and your role has to be allowed to post to it.

Set To Be Printed and To Be Emailed. Each offers Yes, Respect Customer Preference and No. Respect Customer Preference follows each customer's own settings, and Yes or No overrides them for this batch.

To Be Printed has three choices. The example picks No.

The example sets both to No, so this batch doesn't mark the invoices for printing or email. That doesn't stop a workflow, script, integration or someone on your team from sending or printing them later. If you pick Respect Customer Preference, emailing also needs a usable email address on the customer.

Some accounts also show a Credit Card Approved box. Check it only when the customer's card was actually charged outside NetSuite. The example account doesn't show it.

Ready to run: dated 09/09/2026, posting to Sep 2026, no printing or email.

04. Select the orders and submit

Check the Invoice box on SO8732, SO8738 and SO8740. Leave SO8753 unchecked; it can go in a later run. Mark All would check every listed order, so only use it when you mean to bill all of them. Click Submit.

Three orders checked. SO8753 stays out of this batch.

05. Follow the job to its processed records

Submit doesn't create the invoices on the spot. It queues a job and opens Process Status. The example's submission, 4217, starts as Not Started at 0.0%.

Queued, not processed yet.

Click Refresh until the job finishes. A big batch can sit at In Progress for a while. Here it shows Complete at 100.0%, and the Message column says 0 Errors. Complete only means the job finished. The error count in Message, and the lines in Processed Records, tell you whether every order made it.

Complete, 100.0%, 0 Errors.

Click Complete to open Processed Records. There's one line per sales order. Each of the three shows Line Status Complete, Result Success and a Result Record: Invoice #9874, #9875 and #9876. Check that each result is the transaction type you expected: an invoice here, a cash sale for a Cash Sale order. A failed line tells you which order didn't bill. Fix that order before you submit it again.

Each order and the invoice it became.

06. Check an invoice against its order

Click the Result Record on the Sales Order #SO8732 line. Invoice 9874 is for Northbank Labs and shows Created From Sales Order #SO8732. Its Date is 09/09/2026 and its Posting Period is Sep 2026, both from step 3. It bills the same line as the order, 12 Bench Adapter at 57.00, for a total of 684.00. It's Open because nothing has been paid or credited against it yet.

Invoice 9874: the batch's date and period, the order's line and total.

07. Confirm what's left to bill

Go back to Transactions > Sales > Invoice Sales Orders. With the same filters, Customer - All - and Next Bill On or Before 09/30/2026, only SO8753 for Oak Fern Systems is listed. The other three had every line billed, so they drop off. An order missing from the list isn't proof on its own that it was billed, since a filter can hide it too. Processed Records is the proof.

Only the order you held back is still waiting.

You're done when:

  • Process Status shows Complete with 0 Errors;
  • Processed Records has a Success line for each order you checked, and each result is the transaction type you expected;
  • a spot-checked invoice shows the right Created From order, date, posting period and total;
  • the orders you billed no longer appear on Invoice Sales Orders.

An order that's still listed after the batch has something left to bill, a scheduled bill still to come, or a failed line you need to look at.

Common questions

Does the Date field filter which sales orders appear?

No. Date is the date that goes on the invoices the batch creates. To narrow the list by billing date, use Next Bill On or Before. In the example, Date was 09/09/2026 and the cutoff stayed at 09/30/2026.

Why is a sales order missing from Invoice Sales Orders?

It either doesn't match the Customer or Next Bill On or Before filters, or it has nothing billable yet. Common reasons are an order that isn't approved, lines that aren't fulfilled when your account needs them fulfilled first, or an order that's already fully billed. A billing schedule can also keep an order off the list until its next bill comes due.

Why did NetSuite create a cash sale instead of an invoice?

The Order Type column decides it. An order entered on a cash sale form produces a cash sale, and an order on an invoice form produces an invoice. Check Order Type on every row before you submit.

How do I stop the batch from emailing invoices?

Set To Be Emailed to No before you click Submit, and set To Be Printed to No if you don't want them queued for printing either. That only covers this batch. A workflow, script or integration in your account can still send the invoices later.

Where do I find the invoices the batch created, and what if an order fails?

On Process Status, click Refresh until the job shows Complete, then click Complete to open Processed Records. Each order gets a line with its Result and a Result Record link to the invoice, like Invoice #9874 for SO8732 in the example. A failed order shows up there with an error instead, so fix it and submit that order again.

Does the batch combine orders for the same customer into one invoice?

Not in this example. Each checked order became its own invoice. Combining invoices is part of invoice grouping, which is a separate feature; the Include Invoices For Grouping box on this page only matters if your account uses it.
