The quick answer
Open Individual Statement, select the customer, verify the subsidiary when your form shows it, and set Statement Date. Enter Start Date to limit displayed activity; earlier activity can appear as Balance Forward. Click Print, then check the rendered customer, date, activity, amount due, and aging. Printing is separate from emailing.
This example illustrates a September 30 statement for Harbor Tools with synthetic transactions and fictional person and operating-company names. Use the dates that match real customer activity in your account. The recording shows a $200 Balance Forward and a $450 Amount Due; it does not show an email or a change to the customer’s transactions.
Before you start
Have the intended active customer record, statement date, date range, and delivery request ready. Confirm that your role can view the customer and print statements. In a OneWorld account, verify the customer's subsidiary and your access to it. If the account uses Multiple Currencies, a customer statement can have a separate page for each transaction currency; identify every page relevant to the request. Check whether the request covers only the selected customer or a customer–subcustomer hierarchy. The Consolidated Statement option depends on the Consolidated Payments feature and a relevant hierarchy. A role or custom form may place Individual Statement under a different menu path or show different fields and labels.
Use Show Only Open Transactions with care when preparing a statement for an earlier date. It can make the visible activity and historical balance harder to reconcile. The example leaves that checkbox and Consolidated Statement clear, so the output covers one customer and its dated activity. Confirm the Form or print template when your page offers a choice; it can change the document's fields and labels.
01. Choose the customer and dates
In the reviewed account, open Transactions > Customers > Individual Statement. Other accounts may show Customers > Accounts Receivable > Individual Statement; find the page by name if the menu differs. Select the intended Harbor Tools record by customer ID when duplicate names exist, then verify the subsidiary when your form shows it. In the recording, the subsidiary is United States and the form shows Balance $450. That is a preliminary account value; confirm the printed date range, currency, consolidation, activity, and amount due separately.
Set Statement Date to September 30 and Start Date to September 1 in this illustrative example. Statement Date establishes the document date and aging context. Start Date limits the individual transaction rows to September; earlier activity is summarized in Balance Forward. Leaving Start Date blank includes transaction history without that forward row. Leave Consolidated Statement clear for this single-customer request. If the request covers the customer hierarchy and the option is available, check the account’s Consolidated Payments setup and scope before using it.
02. Print and read the activity
Click Print and open the rendered PDF or HTML statement, which may appear in another browser tab or window. Check that the document names Harbor Tools, shows September 30, and uses the expected currency. The synthetic sample starts with Balance Forward of $200 from earlier activity, then a $350 invoice and a $100 payment in the chosen range. The running balance becomes $450.
The exact rows, descriptions, and currency in your account come from its customer activity and statement settings. Printing generates output from the chosen statement criteria; it does not create an invoice, payment, journal, or separately editable statement transaction.
03. Check the balance and delivery
Read Amount Due and the aging at the bottom in the chosen customer, currency, date, and consolidation scope. In the synthetic sample, the September invoice has $350 open and is not yet due on September 30. An earlier invoice has $100 open after the payment and is 1–30 days past due. Those underlying open amounts and due dates put $350 in Current and $100 in 1–30 Days, totaling the printed $450 Amount Due. The printed invoice and payment rows alone do not prove that aging allocation; compare them with the customer's open receivables and applications before sending. If the result does not reconcile, check the date range, open-only option, currency page, subsidiary, and any consolidated customer scope.
This recording stops after inspection. If delivery is required, verify the intended email address on the customer record and use the account's separate Email action when available, or its configured statement-delivery process. Confirm the chosen form and attachment, then verify delivery through the account's communication record or mail system; Print alone is not a delivery receipt.
Common questions
Why does this statement show Balance Forward?
Start Date is September 1, so earlier activity is summarized instead of shown as individual rows. The sample carries $200 forward. Leaving Start Date blank can show the customer’s full transaction history, subject to the other statement options.
What does Statement Date change?
It sets the statement’s as-of date, the transaction cutoff, and the aging context. A September 30 statement should be checked against activity and open receivables in that date context. An earlier date can differ from today’s customer balance.
Does Print email the customer or create a transaction?
No. Print generates output from the selected statement criteria. It does not send the email, create an invoice or payment, or apply a payment. Use a separate delivery action when the checked statement is ready.
Why might Amount Due not match the visible rows?
Check Balance Forward, payments and credits, the start and statement dates, open-only filtering, customer hierarchy, subsidiary, and currency page. The sample’s $200 forward plus $350 charge minus $100 payment equals $450. Its aging is based on the remaining open invoice amounts and due dates, which the printed charge and payment rows alone do not prove.
What do Show Only Open Transactions and Consolidated Statement change?
Open-only limits the displayed transaction detail and can make an earlier-dated statement harder to reconcile after later applications. Consolidated Statement includes an eligible customer–subcustomer hierarchy when Consolidated Payments is enabled. Leave it clear when the request is for one customer only.
Why can one customer have more than one currency page?
With Multiple Currencies, NetSuite can print a separate statement page for each transaction currency. Check each relevant page on its own terms. Do not add different currency amounts together without an explicit conversion.
