The quick answer
Open the Active subscription and click Actions > Renew. On Subscription Change Order - Renew, keep Renewal Method at Extend Existing Subscription. Renewal Start Date defaults to the day after the current end date. Choose a Renewal Term, and NetSuite calculates Renewal End Date. Fill in Requester and Modification Type, then check Included on the Existing Lines subtab for each line that should continue. Click Save and click OK on the warning that the extension takes effect immediately and can't be reverted. The same subscription comes back with a new End Date and Next Renewal Start Date.
The screenshots come from a walkthrough recording built from an older SuiteBilling demo, and the names in them (people, customer and company) are fictional example data. This guide wasn't checked against a live SuiteBilling account. Your forms may show extra fields or different defaults, especially on newer releases or with custom forms.
Before you start
In this example, Brightwater Animal Hospital has subscription SUBS000297 on Clinic Connect Plan. It's Active on a 1 Year term from 10/01/2025 to 09/30/2026. It has three lines: a one-time Clinic Onboarding Fee, eight Clinic Connect Seat licenses at $486.00 each (3,888.00 a year), and SMS Reminder Messages billed on usage. The goal is to keep the same plan and price for another year.
You need the SuiteBilling features enabled, an Active subscription with at least one active line, and a role that can create subscription change orders. Check the Subscription Change Orders subtab first. A scheduled termination or another change order on the same lines and date can block the renewal or conflict with it.
Also look at the subscription's Renewal subtab. Its default renewal method, term, plan, price book and transaction type fill in the Renew change order. If your account uses renewal uplift, check that no uplift percentage is set, or the renewed price won't match the current one.
There are two ways to renew. Extend Existing Subscription adds the renewal term to the same subscription: same ID, same billing account, existing pricing. Create New Subscription makes a separate subscription for the renewal term. There you can choose its plan and price book, and a Renewal Transaction Type that can create an estimate, opportunity or sales order, or no sales transaction at all. This guide extends.
01. Review the subscription before it renews
Open SUBS000297, for example from Brightwater Animal Hospital's Subscriptions subtab. Status is Active. In Plan and Term, Initial Term is 1 Year, Start Date is 10/01/2025, End Date is 09/30/2026, and Next Renewal Start Date is 10/01/2026.
Scroll down to the Lines subtab. Clinic Connect Seat and SMS Reminder Messages end on 09/30/2026 with the term. Clinic Onboarding Fee was a one-time charge, and its end date is 10/01/2025.
02. Start a Renew change order
Click Actions, then Renew. In the recording the menu also lists Suspend, Reactivate and Terminate. Which change orders your account offers depends on the subscription's status and its lines, your features and your role, so you may see fewer.
Subscription Change Order - Renew opens. Number says To Be Generated and Action says Renew. Renewal Start Date is 10/01/2026, the day after the current end date.
Open Renewal Method. It offers Extend Existing Subscription and Create New Subscription. Keep Extend Existing Subscription, which is this subscription's default. Because an extension keeps the plan and pricing, Renewal Subscription Plan (Clinic Connect Plan), Renewal Price Book (- Keep Existing Pricing -) and Renewal Transaction Type (Do Not Create Sales Transaction) are unavailable. Here they're greyed out. Some forms hide them instead.
03. Set the renewal term
Open Renewal Term. The list shows the term records set up in your account. Here they're 1 Year, 2 Years, 3 Years, 6 Months, Monthly and Quarterly. Choose 1 Year. If the subscription has a Default Renewal Term on its Renewal subtab, this field is already filled in. In this example it starts blank.
Renewal End Date fills in 09/30/2027, one year after 10/01/2026, and you can't normally edit it. Requester defaults to the current user here, Owen Castellano. Change it if someone else asked for the renewal.
Modification Type is required. It classifies the change for subscription change and recurring revenue reporting. Open it to see New or Churn, Upsell or Downsell, and Ignored, and keep Ignored. A same-price renewal that adds or loses no value is commonly classified as Ignored, but that's your company's reporting choice, not a NetSuite rule.
04. Choose which lines renew
On the Existing Lines subtab, Included decides which lines carry into the renewal. It starts from each line's Include in Renewal Subscription setting, which comes from the subscription plan unless someone changed it on the subscription.
Here Included is checked for Clinic Connect Seat (quantity 8, Above 0: $486.00, Recurring Amount 3,888.00) and SMS Reminder Messages (2,000 Included, then Above 0: $0.03). Both end 09/30/2026. It's cleared for Clinic Onboarding Fee, the one-time charge, because that line is set never to renew. Leave it cleared. Clear the box on any other line that shouldn't continue. A cleared line stays on the subscription with its old dates. It doesn't run into the new term. Check the setting on each subscription line rather than on the plan, since the line can differ from the plan's current default.
05. Save and check the new end date
Click Save. NetSuite warns that Extend Existing Subscription change orders take effect immediately and can't be reverted, and asks whether to continue. A Renew change order can't be deleted either. You can still edit some of its fields before the renewal start date, but that doesn't undo the extension, so check the term and lines before you click OK.
NetSuite returns to SUBS000297, the same subscription, with the confirmation Subscription Change Order successfully Saved. Status is still Active and Initial Term is still 1 Year, because it describes the original term. End Date is now 09/30/2027 and Next Renewal Start Date is 10/01/2027.
06. Confirm the renewed lines
Scroll down to the Lines subtab.
Check the result
- The subscription ID is still SUBS000297. No new subscription was created.
- Status is Active, Initial Term is 1 Year, and Start Date is still 10/01/2025.
- End Date is 09/30/2027 and Next Renewal Start Date is 10/01/2027.
- Clinic Connect Seat and SMS Reminder Messages end 09/30/2027.
- Clinic Onboarding Fee still ends 10/01/2025, because it wasn't included.
The change order itself is listed on the subscription's Subscription Change Orders subtab, which isn't opened in the recording. Saving it doesn't create an invoice. NetSuite rates the extension and generates charges for the renewed term, and a later bill run turns them into invoices on the billing account's schedule. The usage line is only charged once usage records for the new term are rated.
Common questions
What's the difference between Extend Existing Subscription and Create New Subscription?
Extend Existing Subscription pushes the current subscription's end date out by the renewal term. It keeps the same subscription ID, billing account and pricing. Create New Subscription makes a separate subscription for the renewal term, so use it when the renewal needs a different plan or price book, or a sales transaction such as an estimate or sales order.
Why are Renewal Subscription Plan and Renewal Price Book greyed out on my Renew change order?
Renewal Method is set to Extend Existing Subscription. An extension keeps the subscription's plan and pricing, so Renewal Price Book stays on - Keep Existing Pricing - and those fields don't apply. Switch to Create New Subscription if the renewal needs a different plan or price book.
Can I undo or delete a Renew change order in NetSuite?
No. A Renew change order can't be deleted, and NetSuite warns that an Extend Existing Subscription change order takes effect immediately and can't be reverted. You can still edit some fields before the renewal start date, but that doesn't undo the extension. Check the term and the Included lines before you click OK.
What Modification Type should I choose for a subscription renewal?
Ignored is the usual choice for a renewal at the same price that adds or loses no recurring value. Choose Upsell or Downsell, or New or Churn, when your reporting should count the renewal that way. Modification Type classifies the change for reporting. It doesn't change what the renewal does.
Does renewing a subscription create an invoice?
No. Saving the Renew change order extends the subscription, and NetSuite generates charges for the renewed term. The billing account's normal bill run turns those charges into invoices later, and the usage line is only charged once its usage is rated.
How do I leave a one-time line out of a subscription renewal?
Clear Included for that line on the Existing Lines subtab before you save. Here the one-time onboarding fee was already cleared because it's set never to renew, so it kept its 10/01/2025 end date while the seat and SMS lines moved to 09/30/2027.
