The quick answer
A journal and its reversal can net to zero in the ledger while both remain open in A/P Aging Detail. For an approved matching pair, verify the same A/P account, subsidiary, currency, and compatible accounting context, assign the same eligible clearing vendor to both A/P lines, and apply only that pair through Pay Single Vendor at Amount 0.00. Refresh aging with the original date and filters to confirm the pair is no longer open.

Before you start
Obtain accounting approval for entity correction and application. This example uses JE2401 and its intended reversal JE2402 for opposing 250.00 balances in 2000 Accounts Payable, United States, and US Dollar. The existing approved vendor is A/P Journal Clearing. The journals must be editable under their period, approval, role, and account controls. Stop for closed or locked periods or any blocked edit; do not reopen a period or override controls for this cleanup. GL Impact Locking and applicable audit numbering can create adjustment copies and reversals after entity edits; follow the accounting owner's process and inspect those results before application. Compare open balances in the payment transaction currency, not only translated base-currency amounts. Role, OneWorld, accounting-book, approval, custom-form, and currency settings can affect eligibility.
01. Find the open pair in aging
Open Reports → Vendors/Payables → A/P Aging and its detail view through Detail or the available balance drill-down. Record report date, subsidiary, currency, and filters. Find JE2401 and JE2402 under No Vendor. Preserve the original journals and GL impact evidence before editing.
02. Verify the reversal and accounting context
Open both journals. Compare A/P account, open balance, date, posting period, approval status, subsidiary, and currency. Confirm JE2402 is the intended reversal of JE2401 and that their eligible open amounts are equal and opposite. A zero ledger total alone does not apply the items.
03. Check the approved clearing vendor
Open Lists → Relationships → Vendors and find A/P Journal Clearing. Verify subsidiary availability, transaction currency access, and acceptance by the payment form and A/P account. If no approved vendor exists, create one only through the accounting owner's authorized process; the walkthrough uses an existing vendor.
04. Correct the original A/P entity
When controls permit, open JE2401 in Edit mode. On Lines, set Name on the relevant A/P line to A/P Journal Clearing. Keep accounts, amounts, dates, and classifications unchanged. Save through the authorized accounting process, then inspect vendor assignment, approval state, posting period, eligibility, and any generated adjustments. Stop for an unexpected result.
05. Verify the reversal vendor separately
Open JE2402 and check its A/P line. Do not assume an existing reversal changed when the original was edited. This example shows A/P Journal Clearing on the reversal. If the vendor is missing, stop and obtain accounting-system-owner guidance, then recheck both records before continuing. Reopen both journals after saving. Confirm the intended vendor, unchanged accounts and open amounts, and application eligibility under the same accounting context.
06. Apply only the pair at zero dollars
Open Transactions → Payables → Pay Single Vendor. Select A/P Journal Clearing, matching A/P Account, subsidiary, and currency. A/P Account selects the payable account; Account is the bank or payment account required by the form. Complete Account, Posting Period, date, and reference fields required by the payment form. On Apply, select only JE2401 and JE2402. Confirm opposing Payment values and Amount exactly 0.00, then Save. If Amount is nonzero, investigate selection, discounts, currencies, and balances before saving.
07. Reconcile the saved application and aging
A zero-dollar application may leave no separate Bill Payment record; an empty payment list alone does not prove success. Reopen the journals, verify vendor assignment and application state, and inspect resulting transactions and GL Impact where available. Confirm no unintended payment or accounting change. Refresh A/P Aging Detail with the original report date and filters. In this example, JE2401 and JE2402 are no longer open, and unrelated JE2398 remains at 75.00. Verify the clearing vendor has no residual balance from the pair. Stop and reconcile any remaining item, residual, or unexpected application.
Common questions
Why do a journal and reversal remain in A/P aging if they net to zero?
The ledger can net to zero while the two A/P items remain open. Application closes eligible matching items; offsetting ledger amounts alone do not establish that they were applied.
Which journals can I apply together?
Use only the verified intended pair with equal opposing eligible open balances, the same vendor, A/P account, subsidiary, transaction currency, and compatible accounting context. Leave unrelated balances out of the selection.
Can I change the vendor on a locked or closed journal for this cleanup?
Stop if either journal is closed, locked, or blocked by account controls. Follow the accounting owner’s approved process. Do not reopen a period or override controls for this cleanup.
Does a zero-dollar application always create a Bill Payment record?
No. A separate Bill Payment record may not be created. Verify the saved application and journal state, then rerun aging under the original scope. An empty payment list alone does not prove success.
What should I check after saving?
Reopen both journals, check vendor assignment and application state, and inspect resulting transactions and GL impact where available. Confirm the pair is no longer open under the original aging date and filters, unrelated items remain, and no residual or unintended payment arose from the pair.
