The quick answer
Open Order Items and review the Reorder Point Items recommendations for the intended location. Check each vendor, stock position, suggested quantity, rate, and grouping context. Adjust quantities where needed, select the lines, and click Submit. Inspect the processing result, then open each generated purchase order to verify its lines, totals, approval status, and received and billed quantities.
This example replenishes three direct materials at Reno. Two Apex Circuits lines become PO-7510 for $1,880, and one Mesa Industrial line becomes PO-7511 for $480. Names, quantities, amounts, PO numbers, and the person and operating-company names in the screenshots are fictional example data.
Before you start
Confirm the account has purchasing and inventory replenishment features needed for Order Items, and your role can use its status page and create or view purchase orders, vendors, and items. Check each item’s preferred vendor, purchasing rate and unit, reorder point, preferred stock level, subsidiary, location, currency, and any mandatory classification or custom field. This example uses location-level planning and one subsidiary. Recommendations depend on available and on-order stock, demand, reorder points, preferred stock levels, and purchasing setup. Vendor grouping can split further when transaction context differs; do not assume every line for one vendor will share a purchase order.
01 · Review replenishment recommendations
Go to Transactions > Inventory > Order Items and open Reorder Point Items. Filter to Reno if purchasing is planned by location in your account. Find Sensor Board, Enclosure, and Fastener Kit. Compare available and on-order quantities, reorder point, preferred stock level, suggested quantity, vendor, rate, and total for each line. The two Apex Circuits lines in this example share the same subsidiary, location, currency, and other grouping context.
02 · Adjust and submit the selected lines
The suggested Enclosure quantity is 20. Edit that line’s quantity to 24 for the documented build requirement, then verify its rate and recalculated amount of $480. Select the line-order checkbox for all three lines. Sensor Boards remain 40 × $35 = $1,400; Apex’s two-line total is $1,880. Fastener Kits remain 60 × $8 = $480, making the batch total $2,360. Check the selected-line count and the communication options before clicking Submit. This example leaves print, email, and fax clear because supplier communication is outside the batch.
03 · Inspect the processing result
On the Processed Purchase Orders result, refresh or reopen the status page if processing is still running. Check the status and any error message for each vendor or line before opening or retrying an order. Here both rows are Complete: Apex Circuits created PO-7510 for $1,880, and Mesa Industrial created PO-7511 for $480. If any row fails or times out, inspect the specific error and confirm which orders or lines were already created before retrying.
04 · Verify the generated purchase orders
Open PO-7510. It has Sensor Board quantity 40 at $35 and Enclosure quantity 24 at $20, for $1,880. Open PO-7511 and verify Fastener Kit quantity 60 at $8, for $480. Check each order’s vendor, subsidiary, currency, location, current approval status, and displayed total, including tax or charges when applicable. Both orders in this example show Pending Approval, with Received 0 and Billed 0 on each line. Your approval status and field labels can differ. Submission created purchase orders; it did not approve them, receive inventory, create vendor bills, or prove that a supplier received them.
Check the result
- Batch: both processing rows are Complete, with no error messages.
- Orders: PO-7510 totals $1,880 and PO-7511 totals $480.
- Next work: approval, receipt, billing, and supplier delivery remain separate.
Common questions
Can I change an Order Items suggested quantity before submitting?
Yes. Edit the quantity on the line and check the recalculated rate and amount before selecting it. In this example, changing Enclosure from 20 to 24 at $20 makes that line $480.
Why did NetSuite create more than one purchase order?
The two Apex Circuits lines share a compatible purchasing context and become PO-7510. The Mesa Industrial line becomes PO-7511. Vendor, subsidiary, currency, location, form, and other transaction details can split a batch differently in your account.
What if a selected line is missing or fails?
Check the filters and the item’s vendor and purchasing setup. On the processing result, read the specific error and check whether any purchase order or line was already created. A failed or timed-out batch can be partial, so confirm the existing orders before retrying.
Does Submit mean every purchase order was created and sent?
No. Submit starts processing for the selected lines. Check each result row and open every generated PO. Sending, printing, faxing, and approval depend on separate options and account settings; the batch result alone does not prove supplier delivery.
Does a generated purchase order mean the materials were received or billed?
No. The new PO records a purchase request. In this example, both POs show Received 0 and Billed 0 on their lines. Inspect item receipts and vendor bills separately as those transactions occur.
