How to pay a vendor bill in NetSuite

Pay a NetSuite vendor bill from Make Payment, review the application, and return to the original bill to check its paid status.

The quick answer

To pay a vendor bill in NetSuite, open the bill and choose Make Payment. Review the vendor, payment account, date, and bill application, then save. Reopen the bill to verify its remaining balance or paid status.

Use the bill as your starting point so you can check exactly what the payment settles. The strongest check comes after saving: return to the original bill and confirm what changed. The screenshots use sample data and fictional person and operating-company names.

Before you start

Confirm the bill is approved and eligible for payment under your process. Know the payment amount, date, and payment account. Your role needs bill-payment access. This recording verifies the NetSuite records; it does not show a bank transfer or an ACH file being sent. Payment holds, role restrictions, and approval settings can affect the available action and saved result.

01. Open the bill and choose Make Payment

Open the intended vendor bill and check the vendor, reference, and outstanding amount. The example bill is Open, for Test Company, with 100.00 to pay.

Choose Make Payment. Check for an existing payment before creating another one.

Start the payment from the bill you intend to settle.

02. Review the payment and application

Confirm the vendor and Account on the payment form. The example uses 1000 Checking and a 7/20/2026 date.

Review the applied bill and payment amount. Make sure only the intended bill is selected and that the amount matches the payment you are recording. Then click Save.

Review the payment account and the bill receiving the payment.

03. Return to the original bill

After saving the payment, reopen the original vendor bill. The example bill now shows Paid In Full.

For a partial payment, check the remaining amount instead of expecting that status. If the bill is still open unexpectedly, review the saved payment’s application and any credits.

The original bill is now Paid In Full in the recorded example.

Check the result

  1. A payment record was saved for the right vendor.
  2. Its application identifies the intended bill and amount.
  3. The original bill’s balance or status reflects that application.

The bill’s NetSuite balance is settled in this example. Confirm bank processing through your payment method; Paid In Full alone does not establish that money reached the vendor.

Common questions

How do I create a Bill Payment from a vendor bill?

Open an eligible vendor bill and select Make Payment. Review the vendor, payment account, date, currency, amount, and Apply subtab. Confirm the intended bill and payment amount, then select Save. Available actions and required fields depend on role permissions, subsidiary access, approval settings, and account configuration.

Where do I confirm which bill a Bill Payment affects?

Review the Apply subtab on the Bill Payment before saving. Confirm that the intended vendor bill is selected and that the Payment amount matches the amount you want to apply. NetSuite may preselect the originating bill, but application details can vary by form, role, currency, credits, and account setup.

Why is Make Payment unavailable on a vendor bill?

The bill may not be eligible for payment because it is pending approval, on payment hold, already paid, outside an available accounting period, or associated with an inaccessible subsidiary or A/P account. Insufficient permissions or custom workflow rules can also hide or restrict Make Payment. Review account-specific controls rather than bypassing them.

Why does the bill remain Open after saving a payment?

A bill generally remains Open when the payment is partial, not fully applied, awaiting approval, held, rejected, or otherwise not accepted for final processing. A full application may change it to Paid In Full, depending on configuration. That status reflects NetSuite’s records and does not prove external bank settlement.
