How to take ownership of inbound goods before receipt

Review an in-transit inbound shipment, submit ownership transfer, and confirm receiving is still outstanding.

The quick answer

Open an inbound shipment marked In Transit, check that the lines you intend to transfer are selected, and click Save on Take Ownership. Refresh Process Status until Submission Status is Complete and Percent Complete is 100.0%. Reopen the same shipment and confirm Quantity Received is still zero.

The example values in the screenshots are synthetic. The form and process states come from a recorded demonstration; labels and outcomes can vary with account version, role, and configuration.

Before you start

Inbound Shipment Management and the required permissions must be available. The shipment should already be saved and In Transit. Confirm the contractual ownership point from the shipping documents and commercial terms; the shipment page does not establish it. Choose an open posting period and the applicable transaction date.

01. Review the shipment

Open the shipment in view mode. Check its In Transit status, item lines, quantities, rates, and Quantity Received. In this example both lines show zero received. Confirm that every line you plan to process has reached the agreed ownership point.

Confirm the shipment is In Transit before opening Take Ownership.

02. Submit ownership transfer

Click Take Ownership. Choose an open Posting Period and review the Date when the form shows one. Check the vendor, Incoterm, and receiving location where they are displayed or required. Review the fixed quantities, rates, and amounts. You cannot edit line values here, so return to the shipment and correct them before submitting if needed. Keep Process selected for each line you intend to include. This example processes both displayed lines. Click Save to submit, as labeled on the recorded form.

Keep Process selected for the lines included in this transfer.

03. Confirm processing

On Process Status, confirm Process Type is Ownership Transfer. Click Refresh until Submission Status is Complete. The recorded example also displays 100.0%; the percentage can vary by account or release. If the process reports an error, resolve it before treating the transfer as complete.

Refresh Process Status and confirm Submission Status is Complete.

04. Verify receipt remains outstanding

Return to the inbound shipment list and reopen the same shipment. In the source demonstration, the fully processed example remains In Transit, each Quantity Received value remains zero, Receive is available, and Take Ownership is no longer available. These post-save results are source-video evidence, not an outcome verified in the current target account. Stop here; this walkthrough does not receive or bill the goods.

Both displayed Quantity Received values remain zero after ownership processing.

Check the result

  • Process Status reads Complete and 100.0%.
  • The shipment remains In Transit.
  • Quantity Received remains zero on the displayed lines.

Common questions

Can I take ownership before the goods arrive?

If your account and shipment support it, yes. The demonstration completes an ownership-transfer process while the shipment is still In Transit. Confirm the contractual ownership point from the commercial terms and shipping documents first.

Does Take Ownership record physical receipt?

No. Ownership processing and receiving are separate. In the demonstration, Quantity Received remains zero after ownership processing; the example does not receive the goods.

Can I change quantities or rates on the Take Ownership form?

The displayed line quantities, rates, and amounts are fixed on that form. Review them on the shipment first and return to correct the shipment before submitting if a value is wrong.

Why might Take Ownership be missing?

The available actions depend on shipment state, previous transactions, role permissions, enabled features, and account or form configuration. Check your record and permissions if the action is unavailable.
