How to write a direct expense check in NetSuite

Record a direct expense with a NetSuite check, review the bank account and expense line, and verify the saved transaction.

The quick answer

Use Write Checks to record a direct expense against a bank account. Select the payee, add the expense allocation, and save. If you already have a vendor bill for the expense, use the bill payment process so you don't record it twice.

The screenshots show sample data. Person and operating-company names are fictional. Use your own records and values when following the steps.

Before you start

You’ll need access to Check transactions, the bank account, expense account, and payee. Confirm the transaction date and posting period. The Write Checks option is unavailable in the Japan edition. This walkthrough stops at the saved transaction; it doesn’t demonstrate printing or bank clearing.

01. Review the bank account and payee

Open Transactions > Bank > Write Checks. On the form, select Account and Payee, then review the date and period, plus currency and exchange rate when displayed. The example uses 1000 Checking and Test Company.

The Check form has a selected bank account and payee.

02. Add the expense line

Under Expenses & Items, add the expense account and amount on the Expenses subtab. Click Add to commit the line and check the total. Here, one 100.00 line to 6000 Expenses makes up the 100.00 check amount.

The completed expense line assigns 100.00 to 6000 Expenses.

03. Save and verify the check

Select Save and inspect the saved Check. Confirm the bank account, payee, amount, and expense line. This example saves Check # 30 for 100.00. A saved record doesn’t establish that the check was printed, delivered, or cleared.

The saved Check shows the 100.00 expense allocation.

Check the result

  1. The saved check identifies the correct bank account and payee.
  2. The check amount agrees with the expense allocation.
  3. Printing, delivery, and reconciliation are tracked separately.

Common questions

How do I enter and save a direct-expense check in NetSuite?

Open Transactions > Bank > Write Checks, select the bank Account and Payee, enter the date, amount, and optional memo, then add one or more expense lines under Expenses & Items > Expenses. Confirm that the expense-line total matches the check amount and click Save; required fields and available options vary by role, country edition, subsidiary, currency, custom form, and account configuration.

Which account does a saved check credit?

The selected bank Account is generally the account credited by the check, while the expense accounts on the lines are generally debited. The exact posting can vary with account configuration, subsidiary, currency, tax setup, classifications, and custom accounting rules, so review the saved transaction’s accounting details when available.

Can I use Write Checks to pay an existing vendor bill?

Use Write Checks for direct expenses or cash purchases that do not already have a vendor bill. If a vendor bill exists, use the bill-payment process so the payment is applied to the payable; account-specific approval, payment-hold, subsidiary, and accounting-period rules may affect availability.

Does saving a check prove that it was printed, delivered, or cleared?

No. Saving confirms that NetSuite created the check transaction and accounting record; it does not prove that the check was printed, mailed, delivered, deposited, cleared, settled, or reconciled. A custom workflow may also leave the transaction pending approval after saving.
