Add suggested items to a sales-order draft in NetSuite

Use Intelligent Recommendations to review customer-based item suggestions, enter quantities, and add multiple items to an unsaved NetSuite sales-order draft.

The quick answer

Open a sales-order draft for the customer, select Intelligent Recommendations, review the recommendation basis and displayed item details, enter quantities, and choose Add & Close. The selected items are added to the Items sublist, but the sales order remains unsaved.

Before you start

You need permission to create sales orders, an established customer with recommendation data, and valid items and pricing. Intelligent Recommendations, available recommendation bases, displayed prices, and availability columns depend on account configuration and transaction history.

01. Check the blank sales-order draft

Confirm that a new Sales Order form is open and that the Items sublist has no entered item lines. Select the intended customer, such as Harbor Maintenance, and review the subsidiary, currency, and customer pricing context before requesting recommendations. The empty Items sublist shown here is the example's starting state, not a requirement for using Intelligent Recommendations.

Sales Order draft with the customer selected and the Items sublist still empty.

02. Open Intelligent Recommendations

Select Intelligent Recommendations above the Items sublist. In the recommendation window, confirm Recommendations Based On is set to Customer Purchase History, then review each item's displayed unit price and quantity available where those columns are enabled. Compare the suggestions with the customer's actual request; a recommendation isn't proof that the customer wants the item or that it can ship immediately.

Review the recommendation basis and the suggested items before choosing any quantities.

03. Enter quantities and add the selected items

Enter the requested quantities for the selected recommendation rows—for this example, 4 for WS-41 Seal Kit, 6 for WS-62 Filter Cartridge, and 3 for WS-87 Sensor Cable. Leave unrelated recommendations at zero, then select Add & Close. The button adds the selected choices to the ordinary Items sublist; it doesn't save the sales order.

Choose Add & Close after entering quantities for the items the customer requested.

04. Check the populated draft

Review the resulting item lines for the correct items, quantities, units, rates, and line amounts. In this example, the displayed amounts are 336.00, 222.00, and 378.00, producing the displayed 936.00 subtotal and total. Leave the order unsaved if you're following this example; the displayed figures still need to be checked against the customer's request and pricing rules.

The selected recommendations now appear as three ordinary sales-order lines.

Check the result

  1. The Items sublist contains WS-41 Seal Kit, WS-62 Filter Cartridge, and WS-87 Sensor Cable.
  2. The displayed quantities and rates are 4 at 84.00, 6 at 37.00, and 3 at 126.00.
  3. The draft totals 936.00 in this example and has not been saved.

Common questions

How do I use Intelligent Recommendations on a sales order?

Open a new sales order, select the customer, and choose Intelligent Recommendations above the Items sublist. Review the recommendation basis, select appropriate items, enter quantities, and choose Add & Close. Availability and recommendation options depend on account configuration, enabled features, customer history, and user permissions.

Can I add several recommended items with different quantities at once?

Yes. Enter a quantity for each desired recommendation, leave unwanted rows at zero, and select Add & Close. NetSuite adds the selected items to the regular Items sublist, where you should verify quantities, units, rates, and amounts.

Does Add & Close save the sales order?

No. Add & Close only transfers the selected recommendations into the current sales-order draft. You must select Save separately; saving still does not fulfill, invoice, or collect payment for the order.

Why might recommendations differ from a customer’s previous purchases?

Recommendations may use customer purchase history, similar-customer patterns, or other account-configured bases. Results can vary or be empty based on available transaction data, item availability, subsidiary, pricing, permissions, and configuration; a suggestion is not a guarantee that the customer wants the item or that it can ship immediately.
