The quick answer
To create a cash sale in NetSuite, open Transactions > Sales > Enter Cash Sales. Select the customer, review the transaction and payment details, add the items, then save. Check the total and deposit status on the saved cash sale.
A cash sale records a sale paid at the time of purchase. This guide shows the entry and saved-record checks, including the distinction between a recorded cash sale and funds deposited in the bank. The screenshots use sample data and fictional person and operating-company names.
Before you start
Have the customer, items, prices, and payment information ready. Your role needs cash-sale access. Payment processing, tax, location, and posting requirements vary by account; saving this example does not demonstrate an external card charge or bank settlement.
01. Open the cash-sale form
Go to Transactions > Sales > Enter Cash Sales. Use the cash-sale workflow for the transaction you intend to record; an unpaid sale normally follows the invoice and payment process instead.
02. Review the customer and payment details
Select Customer, then review the date, posting period, and required classifications. The example uses 1 Test company and Test Location.
Check the applicable payment and deposit settings on your form. A customer name and item total alone are not enough to confirm where the funds will be recorded.
03. Add the item and check the total
On Items, select the item, enter the quantity and rate, and click Add. The example contains 1 Test Widget at 100.00.
Review the committed row, tax, and total before saving. Confirm that the charges match the payment being recorded.
04. Save and check the deposit status
Click Save. The recording ends on CS25, with a 100.00 total and Not Deposited status.
Use the saved record to check the customer and amount. Check payment processing separately if your workflow involves a gateway; the saved status does not prove external settlement.
Check the result
- The saved cash sale identifies the right customer.
- The total matches the sale and payment being recorded.
- The deposit and payment-processing states are understood.
The cash sale is recorded. If the funds are posted to Undeposited Funds, include them in the appropriate bank-deposit workflow and verify settlement through your payment process.
Common questions
How do I create a standalone Cash Sale in NetSuite?
Open a new Cash Sale form, select the applicable customer and company or subsidiary context, add at least one item, and enter any required quantity, rate, amount, location, tax, or payment information. Required fields and available options depend on your role, enabled features, form, and account configuration.
Where do I select the customer and item on a Cash Sale?
Select the customer in the transaction’s primary information section. Add the product or service on the Items sublist, then review the quantity, rate, amount, tax, and total. Location, inventory detail, subsidiary, and payment fields may appear or become mandatory based on account setup and the selected item.
How do I add a memo to a Cash Sale?
Enter explanatory text in the Memo field, typically in the primary transaction information area. Use it for an order reference, business context, or internal note. A memo helps identify the transaction in searches but does not change its payment status, accounting treatment, fulfillment, or inventory behavior.
What should I verify after saving a Cash Sale?
Confirm that the saved record displays the expected transaction number, customer, company or subsidiary, item lines, quantities, amounts, total, and visible status. Saving confirms that NetSuite created the record; it does not necessarily prove payment capture, processor settlement, bank deposit, reconciliation, fulfillment, or inventory movement.
