The quick answer
To convert an estimate to a sales order in NetSuite, open the saved estimate and choose Sales Order. Review the copied customer, dates, and item lines, then save. Confirm that the sales order’s Created From field points to the estimate.
Once the customer accepts your quote, start the order from that estimate. The useful check at the end is the link between the two records, along with the quantities and prices you actually intend to fulfill. The screenshots use sample data and fictional person and operating-company names.
Before you start
Use the accepted estimate and confirm that it has not already been converted in a way that would duplicate the order. Your role needs access to the estimate and sales-order creation. The recording creates an estimate first to set up the example; you can start with your existing one. Field visibility and the Sales Order action depend on your form, role, and transaction state.
01. Open the accepted estimate
Open the saved estimate and verify its customer, quoted lines, and total. In the example, EST02 is for 1 Test company and totals 100.00.
Choose Sales Order on the estimate. This carries its information into a new order for review.
02. Review the copied order details
Check the Customer, date, memo, and Created From reference on the new sales order. Review any required subsidiary, location, and shipping fields.
The form shows Pending Fulfillment in this account. Your approval settings can lead to a different status.
03. Check the copied items
Review Items before saving. The example carries over 1 Test Widget at 100.00. Adjust only what the accepted order requires, and recheck tax and the total if anything changes.
Copied data still needs a review. A correct source estimate does not prevent someone from changing the new order.
04. Save and verify the source link
Click Save. The result is SO21, with Pending Fulfillment status and a 100.00 total. Created From points to Estimate #EST02.
Check that reference on your saved order. It is the evidence that this order came from the intended quote.
Check the result
- The sales order has a saved number.
- Created From identifies the accepted estimate.
- The customer, item quantities, and total match the order.
The accepted quote now has a linked sales order. Follow the order’s approval and fulfillment process next; conversion alone does not ship goods or collect payment.
Common questions
What happens to the Estimate after it is converted?
Transforming an Estimate creates a related Sales Order and carries forward relevant transaction data. The Estimate may change to a processed or otherwise updated status, depending on whether its quantities were fully converted and how the account handles estimate statuses. Review the source record rather than assuming its final state.
Will the Sales Order always have the same prices and totals as the Estimate?
The transformation generally carries item, quantity, rate, customer, and related details forward, but account pricing rules, currency, tax, discounts, locations, scripts, or workflows can alter values. Compare the saved Sales Order with the Estimate, especially when pricing is recalculated during transformation.
Can one Estimate be converted into multiple Sales Orders?
This depends on the account’s transaction behavior and any customization supporting partial conversion or drawdown. A standard transformation may treat the Estimate as processed, particularly when the full proposal is converted. If users need multiple orders against one Estimate, validate the configured process rather than assuming repeated transformations will preserve an open balance.
Why might a newly saved Sales Order not show Pending Fulfillment?
The displayed status reflects the account’s approval, inventory, fulfillment, and transaction settings. It may show Pending Approval or another state even though the record saved successfully. A saved Sales Order is not evidence of approval, shipment, invoicing, or payment; read the status on the saved record and follow the applicable downstream process.
