The quick answer
The card that opens when you hover a customer link is defined by the Quick View tab of the customer entry form that record uses. Go to Customization > Forms > Entry Forms, edit that form, open Quick View, delete the fields you don't want, add the ones you do, move them into order, and save. Then hover the same link on a record that uses the form.
The screenshots show sample data. Person, company, and customer names are fictional. Use your own records and values when following the steps.
Before you start
You need permission to edit entry forms, and the form you edit has to be the one the customer record actually uses. If the record stores its form, that form drives the card. Otherwise the form that's preferred for the viewer's role does. Editing a form the record doesn't use changes nothing you can see.
Standard forms can't be edited. Click Customize on a standard form to make a custom copy, or click Edit on a custom form that already exists. This example edits a custom form called Customer Account Summary.
Quick View is not the same setting as Use for Pop-ups, and leaving a field out of the card doesn't remove anyone's access to that data. The list can hold a limited number of fields, so check how many your account accepts before you plan a long one. A field has to be shown on the form before it can go on the list.
01. See today's preview
Open a record that links to the customer, such as an invoice, and hover the customer name. The card here lists Customer ID, Status, Web Address, Email, Phone, and Address. Web Address is empty for this customer, Address takes three lines, and Sales Rep, the field the account team asks about, isn't there.
02. Open the customer form
Go to Customization > Forms > Entry Forms. Find the customer form the record uses and click Edit next to Customer Account Summary.
Look at the Type and Subtype before you change anything. This form is Entity and Customer/Lead/Prospect, and it isn't preferred for everyone, which is what you want while testing.
03. Check the fields are shown
Open the Fields tab. On the Main subtab, confirm that Show is checked for Status, Sales Rep, Email, and Phone, the fields the card will list. Use fields that have values on the customer you'll test with. A column on a sublist isn't a body field, so don't pick a similarly named one.
04. Edit the Quick View list
Open the Quick View tab. It lists the card's fields in order: Name/ID, Status, Web Address, Email, Phone, and Address.
Click the trash icon on Web Address and on Address. Then pick Sales Rep in the Field Description list and click Add. It lands at the bottom.
Click the Sales Rep row, click Move Up twice so it sits below Status, and click OK.
Click Save, then reopen the form from the list and look at Quick View again. It should still read Name/ID, Status, Sales Rep, Email, Phone. That proves the setting was stored. It doesn't prove the card yet.
05. Check the preview
Go back to the invoice and hover the same customer link. The card should show the saved list in order.
Check the result
- The card shows Customer ID, Status, Sales Rep, Email, and Phone, in that order.
- Web Address and Address are gone.
- Each row shows the value from the customer record. A field with no value on the record shows a blank row.
If the card didn't change, check which form that record uses and which form is preferred for the role you're testing as. An Administrator check doesn't tell you what another role sees. Test as the role that will use the card, on a customer that uses the form you edited.
Common questions
Why didn't my form change update another user's preview?
The change only applies to records and users that use that custom form. The other user may have a different preferred form for their role, or the customer record may store a different form. Check which form is assigned, then reopen the customer link after saving.
Is Quick View the same as Use for Pop-ups?
No. The Quick View tab controls the fields shown when you hover a customer link. Use for Pop-ups controls whether the form is used when a customer record opens in a popup. They're separate settings.
If I remove a field from Quick View, does the data go away?
No. Removing Web Address or Address from Quick View only takes them off the hover card. The data stays on the customer record and on the full record. In this example the card shows Customer ID, Status, Sales Rep, Email, and Phone.
Can I edit the Quick View tab on a standard customer form?
No. Click Customize on the standard form to create a custom one, or edit an existing custom form. Then make sure the users and records you care about actually use that form.
