Create a NetSuite invoice email template with merge fields

Create a reusable NetSuite invoice notice with customer-name and transaction-total merge fields. Save the email template and check its retained content.

Before you start

You need access to email templates and the fields appropriate to the eventual sending context. This creates message content, not an invoice PDF. Leaving Record Type blank does not make every merge field valid in every context.

01. Start a new email template

Open Documents → Templates → Email Templates. Check whether Invoice ready notice already exists; the example list is empty. Choose New.

Check the template list before creating another invoice notice.

02. Name the reusable notice

Enter Invoice ready notice and the description Reusable notice that an invoice is ready for review. Leave Record Type blank for this example. On Template, choose Text Editor and enter Invoice information as Subject.

The template name identifies the reusable invoice notice.

03. Insert the customer field

Start the body with Dear and a space. Choose Customer in Field Type and Name in Insert Field. Keep the token inserted by NetSuite and add a comma after it.

The greeting contains the customer-name merge token.

04. Add the transaction total

Add Your invoice is ready for review. Invoice total: and a space. Select Transaction and Total in the field picker. Inspect both placeholders rather than replacing them with sample names or amounts.

The body contains customer and transaction-total placeholders.

05. Save and check the retained content

Save, locate Invoice ready notice in the list and reopen it. Compare the subject, message and both merge tokens. This saves the template; it does not send an email or prove that a later merge will resolve.

The reopened template retains its subject and both merge fields.

Check the result

  1. The saved subject and body match the intended notice.
  2. Both field-picker tokens remain in the body.
  3. Rendering and delivery are verified separately when the template is used.

Common questions

How do I create an invoice email template with the customer name and transaction total?

Go to Documents > Templates > Email Templates, select New, and enter the template name, description, subject, and message. In the text editor, choose Customer > Name and Transaction > Total through Field Type and Insert Field, then save the template.

Why do I see merge-field placeholders instead of the customer name and amount?

The template stores placeholders, not fixed values. NetSuite resolves the customer name and transaction total later when the template is used with a record that provides that context.

Should I select Invoice as the Record Type?

Select Invoice when the template should be limited to invoices. Leave Record Type blank when it should be available across record types, but fields still must be valid for the record context where the template is used.

Does saving the template send an email or attach the invoice PDF?

No. Saving stores the reusable subject, message, and merge fields only. It does not send an email, attach an invoice, or prove delivery; an invoice PDF’s design is controlled separately by its PDF/HTML template.
