Track a Workiro Invoice Review Task in NetSuite

Create an assigned Workiro invoice review task, view it from a linked NetSuite Customer and distinguish an assignee suggestion from the creator marking complete.

The quick answer

With Workiro installed and configured, apply an invoice-review template to a captured document, assign the reviewer and relate the business connection. Find the task on the linked NetSuite Customer's Workiro subtab. Review the assignee's later comments and completion suggestion, then use Mark complete as the creator and check the separate history events.

Person, company, document year, IDs and times are fictional example data.

Before you start

This example assumes that your Workiro connection is configured to resolve to the intended NetSuite Customer. The Customer form must expose the Workiro subtab to your role. Matching names alone do not establish that connection.

You also need the Purchase Invoice Approval template, an available reviewer, a selectable business connection and permission to create and view these tasks. The task creator must also have access to Mark complete in the Workiro task view. An invoice PDF has already been captured from email into the draft. Email capture and the assignee's actions happen outside this walkthrough. Jamie Reed uses Administrator in NetSuite; that role alone does not guarantee connected-app access.

The outcome is a completed Workiro collaboration task. Native vendor-bill approval, PO matching, posting and payment require their own processes.

01. Apply the review template

Start in Workiro with Renewal Invoice 2026 already attached to a new task draft. Open the Task menu, choose Apply template... and select Purchase Invoice Approval.

Review the populated title and comment. The comment says the invoice does not match a PO and asks for supporting information. It records a human review request; it does not demonstrate an automated matching result.

Check the populated request and retained attachment before assigning the task.

02. Assign, relate and create

Use the participant control to choose the existing reviewer Alex Morgan as the assignee. Under Relates to..., search for Greenfield Services and add the business connection. Confirm Assigned to Alex Morgan, the connection and the retained invoice before choosing Create.

Assignment and the related business connection are separate selections.

The saved thread records who the task was created for, its review request and the attached document. Check those details before leaving the standalone Workiro window.

Creation, the comment and the attachment remain visible in the saved task thread.

03. Find the related task in NetSuite

In this configured example, once the task is available in the Customer view, open Customer 6105 Greenfield Services in NetSuite. Verify the Customer identity, then select its installed Workiro subtab.

Verify the native Customer before opening its Workiro subtab.

Locate Purchase Invoice Approval under the related connection. In this earlier state, the card says In progress and shows You → Alex Morgan. The Customer is the viewing context for this related Workiro task. The walkthrough does not establish that the invoice document is a Customer transaction or a native approval record.

Read the task status and assignee on the same card.

04. Review the assignee suggestion

In the task view on the Customer's Workiro subtab, inspect the later recorded assignee updates. The task asks Is this complete? and the latest comment says Same as last year — no increase. Open the task thread to read Checking now, the follow-up comment and Suggested complete by Alex Morgan.

These are later recorded states. The example does not show Alex's unseen clicks or establish message-delivery timing.

An assignee suggestion is a distinct event; the creator has not yet marked complete.

05. Confirm and inspect completion

Close the thread in the Customer's Workiro view, return to the task card and choose Mark complete as the creator. Inspect the resulting thread history. Suggested complete by Alex Morgan at 3:18 PM remains separate from Marked complete by you at 3:19 PM.

The recorded history separates the assignee suggestion from the creator completion action.

Common questions

Does Mark complete approve a native NetSuite vendor bill?

This example establishes Workiro task completion. Nothing in this walkthrough demonstrates creation or approval of a native vendor bill, a change to Approval Status, posting or payment authorization. Verify those outcomes separately in the relevant records and processes.

Why is an invoice task visible on a Customer record?

In this example, the Workiro business connection is displayed in the Customer context. Verify the configured relationship in your account; a shared name does not prove it or determine the invoice's accounting owner.

Does the PO-mismatch comment mean automated matching ran?

No. Here it is text supplied by the review template. The example does not execute a matching calculation or inspect a native matching result.

What is the difference between suggested and marked complete?

The recorded assignee suggests completion first. The creator then uses Mark complete. The thread preserves both events with separate labels and example times; it does not demonstrate every possible permission or task-completion path.

What if the Workiro subtab is missing?

If the subtab is missing, the Customer-view portion cannot be followed as shown in that account or role. Ask your administrator to verify the installed integration, the Customer form's exposed subtabs, role access and the configured connection-to-Customer relationship. This guide assumes those prerequisites are already in place.
