Allocate an unassigned expense between departments in NetSuite

Create a fixed allocation schedule that distributes an unassigned expense between departments and review the resulting journal history.

The quick answer

Use a fixed allocation schedule to distribute an expense between departments. Review the generated journal and its approval or posting status, then refresh the same Income Statement to verify the department amounts and unchanged total.

The screenshots show sample data. Person and operating-company names are fictional. Use your own records and values when following the steps.

Before you start

Expense Allocation and Accounting Periods must be enabled, and your role needs permission to create allocation schedules and journals. Confirm the approved source filters, departments, percentages, subsidiary, and an open posting period.

01. Check the starting expense balance

Open the Income Statement for August 2026 with Cedar Harbor Supply as the subsidiary context and Department as the column. The replay displays 6515 Promotion at 6,400 before the allocation; use this as the starting figure for the approved allocation.

02. Set the allocation schedule details

Create a new Allocation Schedule and enter the schedule name, subsidiary, frequency, next date, and remaining allocation count. In the replay, the schedule uses Promotion by department, Cedar Harbor Supply, End of Period, 08/31/2026, and five remaining allocations.

03. Define the source account

On Source, use 6515 Promotion and the No Department source filter. Check the location and class filters. Leave Credit Account blank for this example: the journal credits the same source account while debiting that account in the destination departments.

04. Add the destination department weights

On the Destination section, add 6515 Promotion for Field Operations with a weight of 65. Add a second row using 6515 Promotion for Corporate Services with a weight of 35, then confirm that the percentages total 100 before saving the schedule.

05. Check the saved schedule

After saving, review the schedule summary before generating the journal. Confirm the subsidiary, frequency, next date, remaining allocations, allocation mode, and source account; saving the schedule defines the rule but doesn't post the expense allocation by itself.

06. Inspect the generated journal

Choose Create Journal Entry. Check the generated journal: credit 6,400 to 6515 Promotion with no department, debit 4,160 to Field Operations, and debit 2,240 to Corporate Services in the same account. This run shows Approved. Complete any required save or approval in your account before checking the report.

07. Verify the department balances

Once the journal is posted, refresh the August Income Statement using the same subsidiary and Department columns. No Department is now 0, Field Operations is 4,160, and Corporate Services is 2,240. Total Promotion expense remains 6,400.

08. Review the journal history

Use the History section to confirm the generated journal's date, amount, and status. The replay displays an amount of 6400.00 with an Approved status; this confirms what the schedule history shows, not independent verification of the accounting accuracy.

Check the result

  1. Confirm the allocation schedule history contains an entry dated 08/31/2026 for 6400.00 with the expected journal status.
  2. Refresh the same August 2026 Income Statement with Department columns and verify that No Department is 0, Field Operations is 4,160, and Corporate Services is 2,240.
  3. Confirm the total Promotion expense remains 6,400 after the journal is posted; the department distribution changes, but the total should not.

Common questions

How do I allocate a shared expense across departments in NetSuite?

Create and save a fixed allocation schedule, select the eligible source account and filters, then add destination departments with percentage weights totaling 100%. Generate the journal separately; saving the schedule alone does not change the Income Statement. Availability depends on enabled features, account configuration, subsidiary access, and role permissions.

Does saving an allocation schedule change the Income Statement?

No. The schedule defines the allocation rule, but the generated journal creates the accounting impact. The report changes only after the journal is created and meets the account’s approval, posting, period, subsidiary, and reporting requirements.

How do I verify a 65/35 expense allocation?

Review the generated journal and confirm that it credits the original unassigned balance and debits the destination departments according to the weights. For example, 65% of 6,400 is 4,160 and 35% is 2,240. Refresh the same-period Income Statement with Department columns and confirm the unassigned amount is zero while total expense remains 6,400. Results can differ if source filters, destination accounts, credit-account settings, currencies, or rounding rules differ.

Why is an allocation journal missing from my report?

Check that the journal was actually generated, has the intended date and subsidiary, is approved and posted where required, and falls within the report’s period and accounting context. Also review the schedule’s History and source filters; an empty eligible balance, restricted account, inactive department, closed period, or different credit-account setup can produce different results.
