The quick answer
Read the Voiding Journal before you click Generate Insight: its Date, Reversal #, Reversal Date, Void Of, and the debit and credit lines. Then check each sentence in Narrative Insights against those fields. Follow Void Of to the bill payment, which should show Voided with a Voided On date, and use its Apply subtab to reach the bill. The bill should be Open again, with the voided payment at 0.00 under Related Records > Payments. The insight is AI-generated text. Trust the fields, not the summary.
The screenshots use sample data. Person, company, and vendor names are fictional. The insight text in the recording is example output for these sample values, so the wording in your account will differ.
Before you start
This walkthrough covers a bill payment voided with a reversing journal. In that setup NetSuite keeps the original payment, marks it Voided, and creates a Voiding Journal that posts the reversal on the void date. That is the Void Transactions Using Reversing Journals accounting preference. Check it in Setup > Accounting > Accounting Preferences before you assume the same records exist in your account, and don't change a company-wide preference just to follow along. A direct void works differently: it changes the original transaction instead of creating this journal.
You need access to journals, bill payments, and bills, and you need Generate Insight on the journal form. Whether the button appears can depend on your account, role, and form. The example voids Bill Payment #1142, a 4,318.50 payment to Cedar Point Packaging dated 09/14/2026. The void is dated 10/02/2026, which created voiding journal 214. Your numbers will differ.
The labels and rows here are what the example account showed. Posting-period rules, journal approval, OneWorld and currency setup, electronic payment files, and your role and form can change what you see. A NetSuite void also doesn't stop a check or recover money the bank already moved.
01. Read the voiding journal first
Open the voiding journal. The page title is Voiding Journal and the status is Reversal Payments Applied. In the example, Date is 10/02/2026 and Posting Period is Oct 2026. That is when the reversal posts. Reversal # is 1142 and Reversal Date is 09/14/2026, which is the original payment's date. Under Classification, Void Of names Bill Payment #1142.
Write those four facts down before you read the AI text. They are what you'll check it against.
Then open the Lines subtab. The voiding journal debits 1010 Operating Checking for 4,318.50 with the memo Void Of Bill Payment #1142, and credits 2000 Accounts Payable for 4,318.50. Cedar Point Packaging is the Name on both lines. Cash goes back into the bank account and the amount owed to the vendor is restored.
02. Generate the insight
Click Generate Insight. While the summary is prepared the button is unavailable and the window reads "Please wait while your summary is being prepared." When it finishes, the Narrative Insights window opens with five sections: Account Logic, Documentation & Consistency, Transaction Association, Financial Reporting Impact, and Miscellaneous Unusual Activity. It ends with Was this Insight helpful?
03. Check the claims the journal supports
Go sentence by sentence.
- Account Logic says this is a journal with 4318.50 USD. The Lines subtab debits and credits 4,318.50, so that holds.
- Transaction Association says it is a reversal of Bill Payment #1142, dated 2026-09-14. Reversal # and Reversal Date on the same journal say 1142 and 09/14/2026. That date is on the voiding journal, in Reversal Date, so it holds.
- Financial Reporting Impact says the Bank and Accounts Payable accounts change. The lines debit the bank and credit Accounts Payable, which matches.
04. Flag the claims it does not support
Two statements don't hold up.
First, Transaction Association says the journal is linked to Bill Payment #1142 "and acts as its source." That's backwards. Void Of shows the journal was created by voiding the payment. The payment is the original transaction, and the journal is the reversal.
Second, Miscellaneous Unusual Activity says the creation date and transaction date are the same, with no unusual timing. You can't confirm that from this view, because the main page doesn't show when the record was created. What the page does show is a transaction Date of 10/02/2026, 18 days after the 09/14/2026 payment and in a later posting period. That doesn't prove or disprove the creation date, but the narrative leaves the gap out. A gap like this is expected when you void an earlier payment, and it matters for period close and bank reconciliation. If you need the creation date itself, look at System Information on the journal. The recording doesn't open that subtab.
05. Follow Void Of to the bill payment
Close the window and click Bill Payment #1142 next to Void Of. The payment has status Voided. It keeps its own Date, 09/14/2026, and its own Posting Period, Sep 2026, and its Amount is still 4,318.50. Voided On shows 10/02/2026 and links back to the journal.
Open the Apply subtab. The bill, reference CPP-88412 and due 09/27/2026, now has a Payment of 0.00 and 4,318.50 in Amt. Due. Journal 214 is listed below it with 4,318.50 applied. The payment is no longer paying the bill.
06. Open the bill and confirm it is owed again
Click Bill on the Apply subtab. Bill 3307 for Cedar Point Packaging has status Open and an Amount of 4,318.50. Voiding the payment doesn't void the bill.
Then open Related Records > Payments on the bill. Bill Payment 1142 is still listed, with status Voided and an amount of 0.00, and the payments Total is 0.00.
Check the result
- The journal's Void Of and Reversal # name the payment, and its Reversal Date is the payment's date.
- The payment is Voided in its original period, and Voided On links back to the journal.
- The bill is Open with a 0.00 payment, so NetSuite shows the vendor owed 4,318.50 again.
In NetSuite the bill is unpaid, with no effective payment applied. If the liability is still valid, record a new bill payment. If it isn't, resolve the bill through your company's approved credit or correction process rather than just closing it. Correct the narrative's source and timing statements before you share it.
Common questions
Is the Narrative Insights summary of a voiding journal accurate?
Parts of it can be. In this example the amount, the reversal of Bill Payment #1142, and the date 2026-09-14 all match fields on the journal. Two statements don't: that the journal acts as the payment's source, and that the creation and transaction dates are the same. It's generated text, so check each claim against a field or subtab before you rely on it.
Does a voiding journal act as the source of the bill payment?
No. The bill payment is the source transaction. NetSuite created the voiding journal when the payment was voided, which is what Void Of records. The journal reverses the payment, not the other way around.
Why does the voiding journal's Reversal Date show the original payment date?
Reversal Date is the date of the payment being reversed, 09/14/2026 in this example. The journal's own Date and Posting Period, 10/02/2026 and Oct 2026, are when the reversal posts. The two can be weeks apart.
What happens to the bill when I void a bill payment with a reversing journal?
The bill reopens. In this example Bill 3307 is Open again, and Related Records > Payments keeps Bill Payment 1142 as Voided at 0.00. Voiding the payment does not void the bill, so it still needs a new payment or an approved correction.
Why does my voided bill payment show the journal on the Apply subtab?
With a reversing-journal void, the Apply subtab can show the bill with a Payment of 0.00 and the voiding journal applied for the payment amount. The recording shows that display, but the exact layout can vary by account and form. Use it together with the payment's Voided status and the bill's Open status.
Where do I see that a bill payment was voided on the bill record?
Open the bill and go to Related Records > Payments. A voided payment stays in the list with status Voided and an amount of 0.00. For the void date, open the payment itself and read Voided On.
