The quick answer
With the Bank Feeds SuiteApp installed, go to Setup > Accounting > Financial Institution > List, view Bank Feeds, and on Format Profile: Configuration click Edit next to the U.S. and Canada profile. On Connectivity Configuration, click Connect New Institution, find your bank in the pop-up, consent to share Accounts and Transactions, and sign in at the bank. Then open Account Linking, pick a Linked GL Account for every bank account the connection found, one GL account each, and click Save. The connection alone imports nothing. Saving the links starts the first import.
The screenshots show sample data. Person, company and bank names are fictional. Use your own bank and accounts when following the steps.
Before you start
Fernhill Provisions wants its Bluefen Bank transactions to come into NetSuite for matching on Match Bank Data, without downloading statement files. It has three Bank accounts and one Credit Card account in its chart of accounts, and none of them gets a bank feed yet.
You need the Bank Feeds SuiteApp installed. It provisions a financial institution named Bank Feeds with preinstalled format profiles. Which profiles you see depends on the SuiteApp version and your account. This example uses the Administrator role; a custom role needs the Bank Feeds permissions. In some accounts the menu path runs through Setup > Accounting > Financial Statements > Financial Institution, and the U.S. profile name varies by SuiteApp version and account, for example U.S. and Canada Accounts (MX) while accounts with earlier installations may still show U.S. and Canada Accounts (Yodlee).
Connect New Institution opens a pop-up window, so allow pop-ups for NetSuite first. Have the bank's online banking sign-in ready. Some banks also ask for multifactor authentication or let you pick which accounts to share.
01. Check the bank accounts in the chart of accounts
Go to Lists > Accounting > Accounts and decide where each feed should land before you connect anything. Fernhill has three accounts of Type Bank, 1010 Operating Checking, 1020 Payroll Checking and 1030 Reserve Savings, and one Credit Card account, 2150 Corporate Card.
02. Open the U.S. and Canada format profile
Go to Setup > Accounting > Financial Institution > List and click View next to Bank Feeds.
Click the Format Profile: Configuration subtab. In this account it lists four profiles. Click Edit next to Connect to U.S. and Canada Accounts, the one whose Connectivity Method is US and CA Bank Feeds Connectivity.
03. Check what's connected today
Click Account Linking. It shows No results found, so no bank account feeds a GL account yet.
Click Connectivity Configuration. The Connections grid shows No records to show.
04. Connect the bank
Click Connect New Institution. If NetSuite asks you to accept a data-processing notice the first time, accept it to continue. A pop-up window opens with Find your bank and a set of banks. The format profile waits behind it with the message Proceed to the pop-up window to perform the next steps.
The screens inside the pop-up come from the bank and the data access provider, so the wording, buttons and sign-in steps differ from bank to bank. Here, type bluefen in Find your bank and click Bluefen Bank Business Online. The bank lists separate entries for personal, business and wealth sign-ins, so pick the one your company banks through.
The consent screen says Bluefen Bank will provide the following standard information to Oracle NetSuite: Accounts and Transactions. Click Continue.
The window redirects to Bluefen Bank's sign-on page. Enter the bank username and password and click Sign On. Depending on the bank, you may sign in at the bank or inside the pop-up, and you may get an MFA prompt.
The pop-up closes. The Connections grid now shows Bluefen Bank, Connection ID 73518303, and Accounts 3. That count is the accounts the connection retrieved. Nothing imports yet. If the bank lets you choose accounts, include only checking, savings and credit card accounts you want in Bank Feeds; loans, mortgages and investment accounts may not work.
05. Link each bank account to its GL account
Click Account Linking. Under Bluefen Bank it lists Business Checking (x6204) and Payroll Checking (x6212) with Account Type Checking, and Business Credit Card (x9051) with Account Type Credit Card, all in USD. Each Linked GL Account is empty.
Set Linked GL Account to 1010 Operating Checking for Business Checking (x6204), 1020 Payroll Checking for Payroll Checking (x6212), and 2150 Corporate Card for Business Credit Card (x9051). Leave 1030 Reserve Savings unlinked. It's held at another bank, so it would need its own connection.
Use each GL account only once. Two bank accounts linked to the same GL account give you wrong balances on Match Bank Data. Check each GL account's currency and, in OneWorld, its subsidiary. The profile shows a No subsidiary restrictions message because the Linked GL Account list isn't filtered by subsidiary, so getting it right is on you. One provisioned profile can link up to 20 accounts, and accounts you don't link aren't imported.
Click Save. NetSuite returns to the Bank Feeds financial institution.
06. Confirm the links
On Format Profile: Configuration, click Edit next to Connect to U.S. and Canada Accounts again and open Account Linking. The three links are still there.
Check the result
- The Connections grid shows the bank with the number of accounts you expected.
- Every bank account you want imported has a Linked GL Account.
- No GL account is linked twice.
- Accounts at other banks, like 1030 Reserve Savings here, stay unlinked.
Saving the links starts the first import in the background, and NetSuite may show a progress message with a Track your status link. Newly linked accounts usually get the last 60 calendar days of transactions, unless an earliest import date or the bank's own history limits it, and later imports run daily. Once it finishes, the transactions show up on Transactions > Bank > Bank Matching and Reconciliation > Match Bank Data for each linked account. If they don't, check Transactions > Bank > Banking Import History and expand the import row for its status and any errors.
Common questions
Why don't my bank feed transactions show on Match Bank Data?
The connection alone imports nothing. Each bank account has to be linked to a GL account on Account Linking and the profile saved, and then the background import has to finish. If they still don't show, open Transactions > Bank > Banking Import History and expand the import for its status and errors.
Can I link two bank accounts to the same GL account?
Don't. Link one bank account to one NetSuite Bank or Credit Card account. Two feeds on one GL account mix their transactions on Match Bank Data and the imported balance stops agreeing with either bank.
How many days of transactions does the first import bring in?
Newly linked accounts normally get the last 60 calendar days, or less if an earliest import date or the bank's own history limits it. After that, imports run daily.
Where is Connect New Institution, and why doesn't anything open?
It's on the Connectivity Configuration subtab of the format profile you edit from the Bank Feeds financial institution. It opens a pop-up window, so if nothing appears, allow pop-ups for NetSuite in your browser and click it again.
What if the bank asks for MFA again, or the connection stops working?
Complete the MFA prompt in the pop-up during setup. For an existing connection, the Connections grid has Update MFA for when the bank wants new authentication and Rebuild Connection for a connection that's broken or needs to fetch the accounts again. Check Account Linking afterward and save.
How do I add an account that's at a different bank?
Edit the same format profile and click Connect New Institution again for the other bank. Once its accounts show up on Account Linking, link the right one, for example 1030 Reserve Savings, and save.
