The quick answer
Match one eligible imported bank line to the corresponding saved transaction, select Make Auto-Create Rule From Selected Transactions, and submit the match. Inspect the generated rule's account, conditions, and actions. A later matching bank line can appear in Review with an account transaction marked To Be Generated. Check that proposal before submitting it.
The screenshots use sample data. Person and operating-company names are fictional. Use your own records, account, and amounts.
Before you start
You need access to bank-data import and matching, Matching Rules for Online Banking permission at Create level, and a supported file for the selected account. The matching pages must be enabled for that account. This example uses 2480 Office Credit Card, a saved credit-card charge for Harbor Office Services, and one imported credit of 87.00. The charge has one Expenses line to 6420 Office Supplies. An eligible one-to-one pair has a nonzero amount, zero difference, a payer/payee or memo on the bank line, and no tax code on the expense line. Check the tax code when your form exposes it. This recording's form does not; the enabled checkbox signals eligibility without revealing a hidden value.
01. Check the existing transaction
Open Transactions > Bank > Bank Matching and Reconciliation, choose the account, and open Match Bank Data. On To Be Matched, compare the imported line and the saved transaction. In the example, both name Harbor Office Services and show 87.00. Open transaction 215 and check its account, payee, amount, and single expense line before using it as a template.
02. Create the rule from a match
Select exactly the imported line and its corresponding account transaction. Confirm Difference 0.00, then select Make Auto-Create Rule From Selected Transactions. If that option is disabled, check the eligibility conditions rather than selecting extra rows to force a match. The recording uses Match, then Submit; your interface may offer Match and Submit or another combined action. Verify the rule-generation confirmation.
03. Inspect the rule
Open Reconciliation Rules. Check that Accounts names only the intended credit-card account. On Conditions, the example uses Imported Credits and Payor/Payee Name equals Harbor Office Services. On Actions, inspect the expense account, payee, date and memo behavior, and required classifications. The generated name does not prove the accounting is right.
04. Import a later line
Use Upload File with the parser or financial-institution profile your account requires, and select the same credit-card account. The recording uses the default CSV parser to import another Harbor Office Services credit for 96.00. Return to bank data, update it, and confirm the 96.00 line appears. Run reconciliation rules if your account does not apply them during the update. An import-submitted notice alone does not establish that the line is available for matching.
05. Review the proposal
Open Review and inspect Matched Transaction. The imported Credit shows -96.00 from the bank perspective; its proposed CardChrg shows 96.00 and To Be Generated. Compare the payee, date, amount, and rule Actions. The popup does not show every accounting field, and the visible proposal alone does not prove which matching rule produced it. Stop here until the proposal is approved for submission. This recording does not show a posted transaction, clearing, or completed statement reconciliation.
Check the result
- The generated rule is fixed to the intended account and its Conditions and Actions match the template.
- The later imported line appears for the same merchant and account after update or rule processing.
- Review shows a proposed transaction marked To Be Generated. Submission remains a separate action.
Common questions
When is Make Auto-Create Rule available?
The checkbox requires a qualifying one-to-one match with a nonzero amount, zero difference, a supported transaction type, a bank payer/payee or memo, and an eligible single-line transaction without a tax code. The recording shows the option enabled for one imported credit and one saved credit-card charge. It does not show the hidden Tax Code value.
What do Conditions and Actions do?
Conditions select future imported bank lines. This rule looks for Imported Credits whose Payor/Payee Name equals Harbor Office Services. Actions specify the proposed accounting transaction, including the expense account, payee, date, memo, and configured classifications.
Does To Be Generated mean the transaction posted?
No. The later imported line has a proposed CardChrg marked To Be Generated in Review. The recording stops before final submission. Inspect the proposal and its accounting treatment before submitting it; posting and reconciliation need separate checks.
Why are the imported credit and proposed charge opposite signs?
The imported line is displayed from the bank-data perspective as Credit -96.00; the proposed account transaction is CardChrg 96.00. Compare the signs and transaction direction shown in your account rather than assuming that matching numbers alone mean the accounting is right.
