The quick answer
Create a Service For Sale item with the required accounting and tax fields, then add it to an invoice and enter the rate manually when no item price is configured. After saving, open the service item’s Related Records > Transactions area to find invoices that use it.
The screenshots show sample data. Person and operating-company names are fictional. Use your own records and values when following the steps.
Before you start
You need permission to create service items and invoices, access to the intended subsidiary and income account, and an existing customer record. Required fields, tax treatment, pricing controls, locations, and available subtabs vary by account configuration.
01. Check the Service For Sale form
Start on a new item form labeled Service for Sale. Enter the approved service name in Item Name/Number and confirm the intended subsidiary is selected. The available fields can differ by role, enabled features, and account configuration.
02. Enter the service item name
Enter Equipment setup visit in Item Name/Number. Keep the item type as Service For Sale and review the applicable Subsidiary field. This creates an item record that can later be selected on a sales transaction; it doesn’t create inventory quantity.
03. Set the income account and tax schedule
In Accounting, select the intended Income Account, such as 4325 Installation Services in this example. Complete the required Tax Schedule using the tax treatment appropriate for your account. Income Account and Sales / Pricing are separate settings, so don’t treat the income account as the item’s selling price. Open Sales / Pricing and inspect List Price. Leave it blank for this example; you will enter the selling rate on the invoice.
04. Check the saved item’s related transactions
After saving the item, confirm that the saved page shows Equipment setup visit and the Service For Sale type. In Related Records, the Transactions list initially shows no records in this example because the item hasn’t been used on a transaction yet.
05. Enter the invoice header
Create a new Invoice and select the intended customer, Willow Creek Studio in this example. Complete the required date, posting period, subsidiary, and location fields shown by your form. The example uses Service Center as the location, but your account may require a different value.
06. Add and manually price the service line
On the Items subtab, select Equipment setup visit and enter On-site equipment setup as the description. Enter quantity 4 and rate 145.00, using the form’s manual or custom pricing control if required. Because no item price is configured in this example, the displayed line amount is calculated as 580.00.
07. Check the saved invoice
On Communication, leave To Be Emailed unchecked for this example, then save after reviewing the line. The saved example is INV-84690 for Willow Creek Studio, with quantity 4, rate 145.00, and total 580.00. Check the customer and amount before using the invoice.
08. Trace the invoice from the service item
Open the service item from the invoice and select Related Records > Transactions. Find the invoice by its document number, customer, and amount. The example row shows INV-84690 for Willow Creek Studio with the same quantity, rate, and amount.
Check the result
- The saved item page identifies Equipment setup visit as a Service For Sale item.
- The invoice line displays quantity 4, rate 145.00, and amount 580.00.
- The service item’s Related Records > Transactions list identifies the invoice, and the opened transaction shows the same service line values.
Common questions
How do I create a service I can select on invoices?
Create a Service For Sale item and enter its name, applicable subsidiary scope, income account, and required tax settings. Required fields and available options vary by role, subsidiaries, tax features, and account configuration.
Is the income account the same as the service item’s sales price?
No. The Income Account controls where applicable sales revenue is posted; Sales/Pricing controls default pricing. An item can have an income account but no configured price.
How do I manually price a service invoice line?
Add the service item to the invoice, enter the quantity, and type the desired rate in the line’s Rate field. If the form applies a price level or prevents editing, select its manual or custom pricing option; available controls depend on the form and account settings.
How do I find the invoice that used a service item?
Open the saved service item and review Related Records > Transactions. Locate the invoice by document number, customer, quantity, rate, and amount, then open it to confirm the line details; the relationship alone does not verify tax, GL impact, revenue recognition, or email delivery.
