Delete a Memorized Transaction Definition in NetSuite

Delete an obsolete memorized estimate definition in NetSuite: find it with Show Inactives, edit it, use Actions > Delete, and check that the estimate it generated is untouched.

The quick answer

The Delete action is not on the estimate. Go to Transactions > Management > Enter Memorized Transactions > List, check Show Inactives if the definition is inactive, click Edit beside it, then choose Actions > Delete and click OK when the browser asks. Deleting the definition removes the template. It does not delete, void or change the estimates it already generated, which stay as separate transactions. Your role needs the Memorized Transactions permission at Full level.

The screenshots show sample data. Person and company names are fictional. Use your own definition and values when following the steps.

Before you start

In this example, Alex Morgan at Example Supply Co. has a customer, Summit Service Group, with an old memorized estimate called Annual service estimate. The definition is inactive and its Action is Template Only, so it never creates anything by itself. EST1724, an estimate for 840.00, was entered from it earlier. Alex wants the obsolete template gone and EST1724 left alone.

Deletion removes the definition for good. If the schedule might be needed again, or someone may want to review it later, mark it inactive instead (see Delete or inactivate below). The menus, list controls, columns, confirmation wording and customer views you see can vary by role, features, form and account customization. Before you delete, check the definition's name, Transaction Type, Action and Transactions subtab so you are removing the right record.

01. Tell the template from the estimate

Open the customer and go to Sales > Transactions. Two estimates are listed for Summit Service Group. EST1724 is an ordinary estimate for 840.00. The other row has Memorized where a document number would be. That row is the template, shown here because the definition still exists.

The template row shows Memorized in place of a document number. EST1724 is the generated estimate.

Click the Memorized row. The estimate opens marked Memorized Transaction. It is the template transaction, and the definition that manages it is a separate record, so this form is not where you delete the definition. Click Cancel and open EST1724 to see the generated estimate on its own.

Opening the Memorized row shows an estimate marked Memorized Transaction. It is the template, not the definition.

02. Find the definition

Go to Transactions > Management > Enter Memorized Transactions and pick List, not the Enter queue. The queue is for entering transactions that are due, and submitting it could create one. The list opens with active definitions only: Monthly maintenance journal is there and Annual service estimate is not.

Check Show Inactives. An Inactive column appears. Annual service estimate is listed with Transaction Type Estimate, Inactive Yes and Action Template Only. If you cannot find a definition, open Filters and check Has Remaining, Next Date, From, To and Action, since a filter can hide a definition that exists.

With Show Inactives checked, Annual service estimate appears: Inactive Yes, Estimate, Template Only.

03. Check what it generated

Click View on the row. The definition opens read-only. The name, Transaction Type, Action and Inactive setting are at the top, and a Template Only definition has an empty schedule. Click the Transactions subtab. It lists EST1724, dated 09/15/2026 for 840.00. These are separate transactions. Deleting the definition will not touch them.

The definition's Transactions subtab lists EST1724, 09/15/2026, 840.00.

04. Delete the definition

Go back to the list, check Show Inactives again, and click Edit beside Annual service estimate. Confirm the heading is Memorized Transaction Definition and the name is the one you mean. Open Actions and choose Delete. NetSuite shows a browser confirmation. In this example it reads Are you sure you want to delete this record. Click OK.

Actions > Delete on the edit form raises a confirmation. OK deletes this definition.

If Delete is missing, ask an administrator to check that your role has Memorized Transactions at Full level. A definition that an auto-create rule uses cannot be deleted until that rule is deleted, so have the rule's owner deal with it first. Do not delete a generated estimate instead.

05. Check what remains

NetSuite returns to the list. Check Show Inactives again and confirm the definition no longer appears. In this example Annual service estimate is gone and only Monthly maintenance journal remains, so the total reads 1.

After the deletion, only Monthly maintenance journal is left. Total: 1.

Open the customer's Sales > Transactions again. This is a secondary check: the Memorized template row has disappeared in this example, and EST1724 is still there. Customer views vary by role and form, and a stale view may show different rows, so rely on the definitions list.

The Memorized row has disappeared from the customer view. EST1724 remains.

Open EST1724 to finish. The number, customer, item and 840.00 total are unchanged.

EST1724 still shows its number, customer and 840.00 total.

Delete or inactivate

Inactivating a definition stops it from creating more transactions and keeps the definition and its history. Deleting removes the definition. Choose inactivation when the schedule may come back or someone may need to audit it, and delete only an obsolete definition that someone has authorized you to remove. If you may need its details later, note them or take an export before you delete it.

Common questions

How do I delete a memorized transaction in NetSuite?

Go to Transactions > Management > Enter Memorized Transactions > List, click Edit beside the definition, open Actions and choose Delete. Click OK when the browser asks you to confirm. Check Show Inactives first if the definition is inactive.

Does deleting a memorized transaction delete the estimates or invoices it already created?

No. The definition and the transactions generated from it are separate records. In this example, EST1724 kept its number, customer and 840.00 total after the definition was deleted. Deleting a definition does not reverse or void anything it created.

What is the difference between deleting and inactivating a memorized transaction?

Inactivating stops the definition from creating more transactions and keeps it, with its history, for later. Deleting removes the definition. Inactivate it if the schedule may come back or someone may need to review it.

Why can't I find an inactive memorized transaction?

The list hides inactive definitions until you check Show Inactives. If it still isn't there, open Filters and check Has Remaining, Next Date, From, To and Action. A filter can hide a definition that exists.

Why is there no Delete option on the estimate?

An estimate generated from a memorized transaction is its own record, and the memorized definition is a separate record. Delete for the definition is on its edit form under Actions, reached from the Memorized Transactions list.

Why is Delete missing from the Actions menu?

Your role may not have enough access. Deleting a memorized definition needs the Memorized Transactions permission at Full level. Ask an administrator to check it. Don't raise a production role just to test.

Can I delete a memorized transaction that an auto-create rule uses?

No. An auto-create rule has to be deleted before the memorized transaction it uses can be deleted, so ask the rule's owner to deal with it first. Don't delete a generated transaction in its place.

How do I see which transactions came from a memorized transaction?

On Transactions > Management > Enter Memorized Transactions > List, click View on the definition and open its Transactions subtab. In this example it lists EST1724, dated 09/15/2026, for 840.00.

Why does a Memorized row show on my customer's Transactions list?

In this example, the customer's Sales > Transactions showed the template estimate with Memorized in the Document Number column, because the definition still existed. After the definition was deleted, that row disappeared and the generated estimate remained. Your view can differ by role, form and customization, so treat the definitions list as the authoritative check.

Can I get a deleted memorized transaction back?

There is no restore action for a deleted definition, so treat deletion as permanent. If you need it again, open an estimate and use Actions > Memorize to create a new definition, then set its Action and schedule again. Note what you need before you delete, or inactivate instead.

What is the difference between Template Only, Reminder and Automatic?

Template Only stores the transaction for you to enter on demand and creates nothing recurring. Reminder lists the transaction when it is due so a person can review and enter it. Automatic creates the transaction on its schedule without a manual step.
