The quick answer
If the eligible source Sales Order exposes Authorize Return, use it and save a linked Return Authorization for the expected quantity. When only part arrives, use the authorization’s available Receive action, enter the quantity physically received, and save the Item Receipt. Compare the authorized, received, and closed quantities and check both source links to find what remains.
The example begins with a Sales Order that exposes an eligible return action. It authorizes 2 Field-service kits and receives 1. The screenshots use illustrative records and fictional person and operating-company names. Actions, fields, statuses, and required inventory detail can differ in your account. A receipt records goods in NetSuite; any credit or refund has its own decision and workflow.
Before you start
Have the eligible source transaction, customer, item and its transaction unit, return quantity, physical arrival count, and receiving disposition ready. Return Authorizations and the relevant sales and receiving features must be available. Your role needs access to view and transform the source, create or edit a Return Authorization, create an Item Receipt, and enter any required inventory detail. The linked workflow assumes your account allows returned inventory to be received from the authorization; Advanced Receiving and other settings can change the available action and form. Approval, source-transaction state, subsidiary, and custom forms can also matter.
Check whether the item should be restocked, and whether its location was inherited or needs to be entered. A damaged unit may need a different disposition or inventory status. Lot, serial, bin, and inventory-status fields appear only when the item and account require them. If the item named “Field-service kit” is configured as a kit/package rather than an inventory item, check the component-return rules too. Do not enter two received units merely because two were authorized.
01. Authorize the return from the Sales Order
Open the intended Sales Order and verify the customer, item type, eligible quantity, and returnable state. In the example, SO-7200 belongs to Juniper Field Supply and includes one Field-service kit line of quantity 2. If Authorize Return is available, choose it and check the source link after saving. If it is absent, use the return process configured for your account; a standalone authorization may not retain this source relationship. The example starts from a Sales Order, rather than an invoice or cash sale, so later financial linkage can differ.
On the return line, keep the intended item and enter authorized Quantity 2 in the transaction unit, without exceeding the eligible return quantity. Review customer, subsidiary, location, and other required fields before saving.
02. Check the saved authorization
In this example, saved RA-1 shows Created From SO-7200, authorized quantity 2, and Pending Receipt. Inspect the line and related transactions for earlier receipts or closed quantity before proceeding; the header status alone is insufficient. If an approval workflow leaves the authorization pending, complete the configured approval before receiving. Your source field and status label may differ.
03. Receive the one unit that arrived
When the Return Authorization is approved or otherwise eligible for receiving, choose its available Receive action. On the Item Receipt, check Created From RA-1 and the customer. Select the Field-service kit line and enter Quantity 1. The example form labels the available line quantity Remaining 2 before this first receipt; your form may instead default a quantity or use another label. Check every selected line against what physically arrived.
Set the receipt’s location field to the actual receiving site, here North Warehouse. The example exposes Restock on the line and selects it because the unit is fit for inventory. Its inventory status is Available; select an appropriate status only if Inventory Status is enabled. Complete required bin, lot, serial, or inventory detail for exactly one unit. Review the selected-line total and choose Save. Receiving alone issues no credit memo or refund; if the sale was invoiced, follow your configured financial process separately.
04. Verify the receipt and remaining return
The saved example IR-1 shows one Field-service kit, North Warehouse, Restock Yes, and Created From RA-1. Check item, quantity, location, disposition, required inventory detail, and source link on the saved record. The synthetic screen also displays on-hand 21 after restocking; that number is illustrative. Use your account’s inventory inquiry to verify actual on-hand or available quantities, which can differ by timing and inventory status.
Return to RA-1 and compare authorized, received, and closed quantities. The example line labels them Quantity 2 and Returned 1, while Related Records lists IR-1 with quantity 1. Other forms can use different labels or show the information elsewhere. With no earlier receipts or closed quantity, 1 unit remains: 2 authorized minus 1 recorded receipt. The synthetic status reads Pending Refund/Partially Received; it is account-dependent wording and does not prove a refund or credit was issued. Check any financial follow-up as a separate related transaction.
Check the result
- Source: RA-1 links to SO-7200, and IR-1 links back to RA-1.
- Receipt: the saved item, quantity 1, receiving location, and disposition match the arrived unit.
- Remainder: compare authorized, received, and closed quantity. The example leaves 1 open unit if there was no other receipt or closure.
- Financial follow-up: verify a credit memo or refund separately if one is intended.
Common questions
Can I receive only one unit from a two-unit Return Authorization?
Yes, when the authorization is eligible for receiving. Select the arrived line, enter quantity 1, check its location and disposition, and save the Item Receipt. Compare the saved receipt with the authorization before assuming the other unit is still open.
Where do I find the unit that is still outstanding?
Compare authorized quantity, prior receipts, and any closed quantity on the Return Authorization and its linked receipts. In the example, 2 authorized − 1 received = 1 open. Your form may use a different label for received or remaining quantity.
Does receiving a return restock it or refund the customer?
Restocking depends on the line’s disposition and inventory settings. Receiving the unit does not itself issue a credit memo or refund. Check the saved inventory choices and handle any financial follow-up separately.
Why is Receive missing or the return status different?
The source transaction, approval state, role, return setup, receiving features, and custom form can change available actions and labels. Check that the authorization is eligible to receive and that your role can create its receipt. A refund-related status is not proof of payment.
What inventory detail might be required?
For relevant items, the form may require a receiving location, bin, lot, serial number, or inventory status. Complete the detail for the one unit received and choose Restock only if it should return to inventory.
