How to set up a full year of accounting periods in NetSuite

Generate a calendar-month fiscal year in NetSuite, inspect its quarter and month hierarchy, and compare it with a year created manually.

The quick answer

Open Manage Accounting Periods under Setup → Accounting, using the Manage G/L submenu if your account shows it. Check the target year and fiscal calendar first. For the January–December example, choose Set Up Full Year, select January, fiscal year end 2028, and Calendar Months, then save in a sandbox or other authorized test account. Return to the list and expand the year and quarters to verify their monthly children and dates.

The synthetic example generates FY 2028 with 4 quarters and 12 monthly positions, then builds a deliberately incomplete FY 2029 with one quarter and one January base period. The screenshots use sample data and fictional person and operating-company names. Enabled features, role, fiscal-calendar assignment, and subsidiary can change the fields and actions. Creating a hierarchy does not close periods or post transactions to them.

Before you start

Use a test account and a role with Manage Accounting Periods permission and sufficient access to create periods; the required level and subsidiary restrictions depend on the account. Decide which fiscal calendar the year should serve and check its subsidiary assignment. If Multiple Calendars is enabled in a OneWorld account, year and quarter rollups can be calendar-specific while base periods may be shared or reused. Twelve visible monthly positions need not mean twelve new calendar-exclusive records.

This January–December example uses Calendar Months, fiscal year end 2028, and no extra one-day year-end adjustment period. If that option appears, decide whether to use it and verify any extra period’s name, dates, parent, and status separately. Do not use this walkthrough to change an existing year or move periods containing transactions without an accounting plan.

01. Inspect the existing calendar

Open Manage Accounting Periods and select the applicable Fiscal Calendar if that filter is available. Check its subsidiary assignment, target-year dates, quarter and base-period boundaries, open or locked state, and whether affected periods contain transactions. Resolve an existing year or overlapping periods before creating anything. The synthetic example starts with FY 2027 and no FY 2028; your account will have its own starting state.

02. Configure Set Up Full Year

Choose Set Up Full Year. On Accounting Periods for Full Year, confirm the applicable fiscal calendar, First Fiscal Month January, Fiscal Year End 2028, and Period Format Calendar Months. Review the displayed year-end naming choice and any optional one-day adjustment period; the example leaves adjustment off. Confirm dates and calendar do not duplicate or conflict with existing periods, then choose Save. Wait for the new year to appear in Manage Accounting Periods before treating creation as complete.

If the year or base periods already exist, NetSuite may reject a duplicate or overlap. Inspect the existing structure and resolve the account-specific validation before another save.

The example form displays January, fiscal year end 2028, and Calendar Months before saving.

03. Expand the generated hierarchy

Return to Manage Accounting Periods and expand FY 2028, then each quarter. For this January-start year, Q1 should contain January–March, Q2 April–June, Q3 July–September, and Q4 October–December. The example list has those twelve monthly positions. Check their actual start and end dates, parent relationships, fiscal-calendar assignment, and any unexpected adjustment or unassigned base period. 04. Compare the manual parent-child path

New Year Only creates a parent without automatically filling its quarters and months. The synthetic walkthrough uses a separate unused FY 2029. Choose New Year Only, enter the year name, January 1–December 31 dates, and applicable fiscal calendar, then Save and confirm the year appears. Choose New Quarter Only, enter Q1 2029 with January 1–March 31 dates, select FY 2029 as its Sub-period of parent, then save and confirm it appears.

Next choose Base Period. Enter Jan 2029 and January 1–31 dates, select the applicable fiscal calendar if available, and choose Q1 2029 in Sub-period of. Save, reopen the list, and expand FY 2029 → Q1 2029 → Jan 2029. The parent must exist before it can be selected. On a different form the creation action or parent field may have another label.

The January base period has Q1 2029 selected in Sub-period of before the save.

The final list has FY 2029 → Q1 2029 → Jan 2029. It is sparse by design: the other quarters and months are absent. Such a structure may be unsuitable for normal reporting, posting, and close. Use a planned complete set of parents and date boundaries if you need a manual calendar.

The example's manual FY 2029 has one quarter and one monthly child after saving.

Check the result

  1. Generated year: confirm its fiscal calendar, four quarter parents, twelve monthly positions, date boundaries, and any adjustment period.
  2. Manual year: reopen the list and confirm its parent, Q1, January, dates, and intentionally missing children.
  3. Operations: creation does not prove periods are open, closed, locked, reconciled, approved, or available for posting in every subsidiary.

Common questions

What does Set Up Full Year create for a January-start calendar?

With Calendar Months and no adjustment period, the example creates a year parent, four quarters, and twelve monthly positions. Expand the saved hierarchy and verify dates and calendar assignment; an alternate fiscal year or account setup may produce different labels.

Why does New Year Only have no monthly children?

It saves only the year parent. Create quarter and base-period children separately, assigning each to an existing parent, if a manual calendar is intended. One quarter and one month do not complete the fiscal year.

Does saving accounting periods close or lock them?

No. Creation establishes the period structure. Open, locked, and closed states, close tasks, reconciliation, and transaction posting require separate controls and permissions.

How do Multiple Calendars and existing base periods affect the list?

In an account with Multiple Calendars, select the applicable fiscal calendar and confirm subsidiary assignment. Year and quarter parents can belong to a calendar while monthly base periods may be shared or reused. Inspect existing dates and unassigned periods before creation.

Should I add an adjustment period?

Use the option only when your accounting process requires it and the form offers it. An extra period can change the expected monthly count or overlap a final-day boundary. Verify its name, dates, parent, and status in a test account.
