The quick answer
When Void Transactions Using Reversing Journals is enabled, open the approved check and choose Void. Review the generated journal's Void Of link, reversal lines, date, posting period, and memo, then save it. Follow the link back to the check. The check should show Voided while retaining its original amount; the journal offsets its accounting effect. Check approval and posting status before calling the reversal posted.
The screenshots use sample data. Person and operating-company names are fictional. Confirm the check and accounting policy in your own account.
Before you start
You need permission to view and void the intended check and to save the resulting journal. Confirm the check number, payee, bank account, amount, expense lines, and any matched, cleared, or reconciled state. The recording uses check CHK-4102 for 240.00 and a reversal dated 10/03/2026 in Oct 2026. The account's reversing-journal preference was already enabled. Do not change a company-wide accounting preference just to follow a recording.
01. Inspect the check
Open the check approved for voiding. Review its number, payee, account, date, amount, posting period, and expense lines. Record any clearing or reconciliation state before making a change. This check is CHK-4102 for Northfield Office Supply, 240.00.
02. Check the voiding preference
Open Setup > Accounting > Accounting Preferences > General and inspect Void Transactions Using Reversing Journals. In the recording it is enabled. Return to the check without changing the setting. The preference determines which accounting path you should expect.
03. Review the voiding journal
On the check, choose Void. The recording shows that action in check view; some forms expose it from Edit. The demonstrated form opens a Voiding Journal. Confirm that Void Of points to CHK-4102 and that the generated debit and credit lines reverse the original 240.00 impact. Set the approved date, posting period, and explanatory memo, subject to your account's period and role rules. Do not rewrite the origin link or generated lines to make a different transaction fit.
04. Save and verify both records
Save the journal. The example saves JE5101. Review its Void Of link, date, period, amount, and approval or posting status. A saved journal that still needs approval is not proof of posting. Follow Void Of back to CHK-4102. It shows Voided while retaining 240.00; compare the original and reversal GL impacts where your role exposes them. The reversal may need separate clearing or matching.
Check the result
- The saved journal points to the intended check and has the approved date and posting period.
- The check is Voided and still displays its original 240.00 amount.
- Approval, posting, and reconciliation are checked separately from the saved status.
If your account uses direct voiding
When the preference is off, open the check in Edit and use Void there. Read the confirmation and any clearing or reconciliation warning. Reopen the check afterward: a direct void normally zeroes its total and expense amounts, and a previously matched, cleared, or reconciled check may need reconciliation review. That variant is described for comparison; the recording shows the reversing-journal path. A NetSuite void also does not send a stop-payment instruction to the bank.
Common questions
Why does the voided check still show 240.00?
The account uses Void Transactions Using Reversing Journals. The original check retains its amount and GL detail, while a separate journal offsets that accounting effect. The 240.00 figure is the sample check's amount, not a required result for other checks.
Does saving the voiding journal prove it posted?
No. Journal approval settings may leave it pending. Check the saved journal's approval or posting status and compare its GL impact with the original check before reporting a posted reversal.
What changes if the preference is off?
A direct void changes the original check and expense-line amounts to zero instead of creating a reversing journal. A cleared or reconciled check may become unmatched or unreconciled, so review that state afterward. The direct variant is described here but is not shown in this recording.
Where is Void, and does it stop the bank payment?
The action may appear on the check's view, in Edit, or under Actions, depending on the form and role. The recorded check exposes it in view. A NetSuite void changes the accounting record; request a bank stop payment separately when one is needed.
