The quick answer
Create a Contact for the external person and save its email address. Edit the saved search, open Email > Specific Recipients, select that Contact and click Add. Save the search and reopen it to verify the recipient. This walkthrough keeps both email triggers disabled and stops at saved configuration.
Person and operating-company names in these screenshots are fictional example data.
Before you start
Use a role that can create and view Contacts, view the vendor record, and edit this saved search’s email settings. The Contact must also be visible to that role when you select recipients. Account features, form requirements, role visibility and subsidiary restrictions can affect what you see.
This example starts with the Supplier Open Orders saved transaction search and an existing company-type vendor, Cedar Stone Supplies. Taylor Reed has no Contact record. The task is to add the named person, rather than use the vendor’s shared office address.
The Specific Recipients picker can expose contacts, customers, employees, groups, partners and vendors, depending on account, role, record visibility and search context. A vendor is not excluded simply because it is external. Linking a Contact’s Company describes the relationship; that association is not a universal recipient eligibility requirement.
01. Inspect the current recipients
Edit Supplier Open Orders, then open Email > Specific Recipients. Leave Send Email Alerts When Records are Created/Updated and Send Emails According to Schedule clear.
Open Recipient. The existing vendor and employee appear. Taylor is absent in this example because the Contact record has not yet been created.
Select the existing Cedar Stone Supplies vendor to inspect that option, then click the recipient sublist’s Cancel to clear the draft. Do not click Add for this baseline inspection.
02. Create the external contact
Open Lists > Relationships > Contacts > New. Enter Taylor Reed in Contact, with Taylor and Reed in the name fields. Select the existing Cedar Stone Supplies vendor in Company.
Enter taylor@cedarstone.example in Email. The address belongs on the Contact record; the search recipient sublist selects that record.
Select Example US in Subsidiary, which this displayed form marks as required. Complete any other required fields shown by your account’s form. Creating this Contact for email does not require granting login access or assigning an access role.
Click Save. Verify the saved Contact’s name, company and email address.
03. Add the saved contact
Return through Reports > Saved Searches > Supplier Open Orders > Edit, then open Email > Specific Recipients. Select Cedar Stone Supplies : Taylor Reed in Recipient. The company-qualified label identifies the Contact and its associated vendor in this example. Displayed labels can vary by account and form.
Click Add and verify the committed recipient row. Leave Bcc and Send on Update clear.
Keep both email triggers disabled. Open the save button’s arrow and choose Save only. Do not choose Save & Email.
04. Reopen and verify
From the resulting search page, click Edit this Search, then return to Email > Specific Recipients. Confirm the same contact remains in the saved recipient row.
Confirm both record-change alerts and scheduled emails remain disabled.
The result is a saved Contact and retained recipient configuration. No saved-search email is invoked in this walkthrough, and these checks do not prove delivery. If the person is absent from the picker, check that the Contact has an email address, is visible to your role, is available in the selected recipient list, and is not excluded by account, role or subsidiary restrictions.
Common questions
Can a vendor receive saved-search email directly?
Yes, a vendor can be selected as a Specific Recipient when the account and role expose vendor records in that picker. Create a separate Contact when you need the named person and their address rather than the vendor record’s shared email.
Does the contact need a NetSuite login or access role?
The Contact does not need NetSuite login access or an assigned login role. It must still have a usable email address and be visible to the user configuring the search. Your operator still needs permission to create the Contact and edit the search.
Is Company required for every external recipient?
No. Here it connects Taylor to the existing vendor. Required Contact fields depend on the account and form; this example also requires Subsidiary. Company association should not be treated as a universal email eligibility rule.
When should I use Recipients from Results instead?
Use Specific Recipients for records selected in advance. Use Recipients from Results when the search results provide the email-capable recipient value. That is a separate configuration from the fixed Contact shown here.
Does saving a recipient send the email?
Saving the recipient stores the recipient configuration. This walkthrough leaves record-change alerts and scheduled email disabled and uses Save, so it invokes no saved-search email. Enabling either trigger or choosing a sending action is outside this walkthrough.
