List Every Scheduled Saved Search and Its Recipients in NetSuite

Build a saved search of Saved Search records, filter it to Scheduled is true, and add SearchSchedule : Recipient to see which searches email on a schedule, who owns them, and who gets them.

The quick answer

Build a saved search whose record type is Saved Search, a search of the searches themselves. From Reports > Saved Searches > All Saved Searches, click Search at the top of the list, then Create Saved Search. On the Criteria subtab, set the Scheduled filter to Yes so the row reads Scheduled is true. On the Results subtab, add Title, Owner, SearchSchedule : Recipient (under SearchSchedule Fields...), and Last Run On, then click Preview. You get the searches that have scheduled email turned on, their owners, and the recipients the schedule join exposes. A search with several recipients can take several rows. Scheduled means the schedule is set up, not that an email was delivered, and the recipient column can miss some addresses, so open a search's Email subtab before you turn it off.

The screenshots show sample data. Person and company names are fictional, and the counts come from this sample account. Use your own searches when following the steps.

Before you start

In this example, Sienna Okoro is an administrator at Bramblecote Home Goods. The account has 12 saved searches, and some of them email people on a schedule. Owners have changed jobs, and nobody's sure which emails anyone still reads. Before turning any off, she wants one list of what's scheduled, who owns it, and who gets it.

You need a role that can create saved searches and see searches other people own. Working with saved-search email settings, including the Email subtab, usually takes the Publish Search permission, so an administrator is the simplest case. Private searches can be left out of the list or the results depending on your role. Where Show All Private Searches is offered, use it before you treat the list as complete. Some roles reach the same list through Lists > Search > Saved Searches.

This walkthrough only previews the search. If you want to rerun it after each cleanup, give it your own title and save it.

01. See which searches are scheduled

Go to Reports > Saved Searches > All Saved Searches. The list shows Total: 12, and each row has an Owner and a Scheduled value. Scheduled reads Yes for A/R Aging Weekly, Daily Deposit Summary, Items Below Reorder Point, and Unapproved Vendor Bills, and No for the other eight.

That tells you what's scheduled and who owns it. Nothing in this list view says who receives the email, so that's the column you're going to add.

Four of the 12 searches read Yes under Scheduled. No column shows who receives their emails.

Click Search at the top right of the Saved Searches list. The Saved Search Search page opens. Its filters describe the searches, not the records they return.

Scheduled and Send Triggered Emails are separate filters. Scheduled matches searches with Send Emails According to Schedule turned on. Send Triggered Emails is for searches that send alerts when records are created or updated. One search can do both, and both use the same recipient settings, so someone on the schedule may also get the alerts.

Scheduled and Send Triggered Emails are separate filters.

Click Create Saved Search at the top of the page. The Saved Saved Search Search page opens, with Search Title filled in as Saved Search Search. That's the real page name, not a typo. Change the title to something you'll recognize if you plan to save it.

Create Saved Search opens a saved search you can set criteria and columns on.

03. Filter to Scheduled is true

On the Criteria subtab, choose Scheduled in the Filter list. A popup opens with Either, Yes, and No. Choose Yes and click Set.

Choose Yes, then click Set.

The criteria row reads Scheduled is true.

The only criterion is Scheduled is true.

04. Add the recipient column

Open the Results subtab and click Remove all to clear the default columns. Click Add Row, choose Title in Field, and click Add. Do the same for Owner.

Click Add Row again and choose SearchSchedule Fields... in Field. A popup opens. Choose Recipient in SearchSchedule Field. The popup closes and the row reads SearchSchedule : Recipient. Click Add.

In the SearchSchedule Fields... popup, choose Recipient.

Add Last Run On the same way you added Title. The Columns list now reads Title, Owner, SearchSchedule : Recipient, Last Run On.

SearchSchedule : Recipient sits between Owner and Last Run On.

05. Preview the scheduled searches

Click Preview. Saved Search Search: Results shows Total: 4, the same four searches that read Yes on the list:

  • A/R Aging Weekly, owned by Paul Aldana, goes to Theo Brandt.
  • Daily Deposit Summary, owned by Theo Brandt, goes to Theo Brandt.
  • Items Below Reorder Point, owned by Grace Nakamura, goes to Omar Haddad.
  • Unapproved Vendor Bills, owned by Paul Aldana, goes to Theo Brandt.

Theo Brandt gets three of the four. He and the owners are the people to ask which of these emails are still needed before you turn any off.

The four scheduled searches with their owners and recipients. Theo Brandt receives three of them.

Check the result

  1. All Saved Searches shows Total: 12, with Scheduled Yes on four rows.
  2. The criteria row reads Scheduled is true.
  3. The Columns list reads Title, Owner, SearchSchedule : Recipient, Last Run On.
  4. The preview shows Total: 4, the same four titles, and a recipient on every row.

What the list doesn't prove

Each search in this example has one person on its recipient list, so each shows up once. A search with several recipient entries can show up on several rows, so the row count can be higher than the number of searches. Recipients picked from the results, typed email addresses, groups, and Bcc copies may not come through the SearchSchedule join, so a blank recipient doesn't mean nobody gets the email.

Scheduled says the schedule is configured. Whether an email actually goes out still depends on the search being active, the schedule's dates, the results, and the recipients. Last Run On records that the search ran, and a scheduled run counts, but it doesn't say why it ran or whether anything was delivered. The Execution Log subtab on each search has more run detail, but it's a rolling history, not a delivery record.

Inactive searches keep their schedule settings but don't send while inactive. The search usually returns active searches, so add Inactive as a filter or column if the cleanup should cover both. Saved-search email is sent from the owner's address by default unless the search names another sender, so the owner is a good first contact. Confirm who owns the business process before you change anything, and check the search's Email subtab for the full recipient setup.

Common questions

How do I list all scheduled saved searches in NetSuite?

Create a saved search whose record type is Saved Search. From All Saved Searches, click Search, then Create Saved Search. Set the Scheduled filter to Yes, add Title, Owner, SearchSchedule : Recipient, and Last Run On as columns, and click Preview.

How can I see who receives a scheduled saved search email?

Add SearchSchedule Fields... > Recipient as a result column on a Saved Search search. It shows the recipients the schedule join exposes. Recipients from results, typed email addresses, groups, and Bcc copies may not appear, so check the search's Email subtab for the complete setup.

Is there a saved search of saved searches?

Yes. Saved Search is a record type you can search, and its results are saved searches, not the transactions or customers those searches return. You can filter on fields like Scheduled, Owner, and Inactive and add schedule fields through SearchSchedule Fields....

Why is the recipient blank for a scheduled saved search?

The recipient join doesn't cover every way a search can send email. Recipients picked from the results, typed email addresses, groups, and Bcc copies may not show up in SearchSchedule : Recipient. A blank value doesn't mean nobody gets the email. Open the search and check its Email subtab.

Does Scheduled mean the email was sent?

No. Scheduled means Send Emails According to Schedule is turned on. It doesn't prove the search ran, that an email was delivered, or that anyone read it. Last Run On shows the latest recorded run, and the Execution Log has a rolling run history, but neither is a delivery record.

How do I find saved searches to review before someone leaves?

Use the same Saved Search search and filter or sort by Owner, or look for the person under SearchSchedule : Recipient. Add Inactive as a column so you can see which searches are still active. Depending on your role, private searches may be missing, so use Show All Private Searches where it's offered.

How do I find saved searches that send alerts instead of scheduled emails?

Use the Send Triggered Emails filter on the Saved Search search. It's separate from Scheduled and covers searches that email when records are created or updated. One search can do both, and the alerts and the schedule use the same recipient settings.
