Show a Saved Search in the NetSuite Reports Menu

Find a saved search that's missing from Reports > Saved Searches, check Show In Menu, and confirm it's listed. Show In Menu adds a link; it doesn't share the search.

The quick answer

Reports > Saved Searches lists the searches you can access that have Show In Menu checked. A search saved without it still exists. You just have to get to it another way. Type its title into Global Search, or go to Reports > Saved Searches > All Saved Searches. Click Edit on the search, check Show In Menu, and click Save. The next time you open the menu, the search is there. Show In Menu only adds a menu link. Who can open the search is still controlled by Public, the Audience subtab, and each role's permissions on the records it returns.

The screenshots show sample data. Person and company names are fictional. Use your own search and values when following the steps.

Before you start

In this example, Avery Collins at Driftwood Freight Co. saved a private Transaction search called Freight Accrual Review. It lists three freight bills. Avery can't find it under Reports > Saved Searches because it was saved with Show In Menu unchecked. Avery owns the search and uses the Administrator role, so editing it isn't a problem.

To change Show In Menu, you need to be able to edit the search, not just run it. You can edit searches you own, and administrators can edit others. If you only need to run the search, steps 02 and 03 are enough.

01. Confirm the search is missing from the menu

Point to Reports, then Saved Searches. The flyout starts with All Saved Searches, followed by the searches that have Show In Menu checked, in alphabetical order. Clicking an entry runs its search. If you can edit the search, its flyout also has an Edit link.

Freight Accrual Review isn't in the list. It would sit between Churn - Customers and Item Revenue Trend.

Before: the Saved Searches flyout has five searches and no Freight Accrual Review.

Click the Global Search box at the top of the page and type part of the title. Here that's Freight Accrual. Under Global Search Results, the dropdown shows Search: Freight Accrual Review. Global Search finds a saved search you can access by its title, whether or not Show In Menu is checked. Current Page Results is a separate section that searches the page you're on, so No results found there is expected. For more ways to narrow what it returns, see how to use prefixes and wildcards in NetSuite Global Search.

Global Search finds the search by its title: Search: Freight Accrual Review.

Click the result. NetSuite runs the search and opens Freight Accrual Review: Results. The search returns main-line bills, so its three rows are three freight bills. Avery can edit the search, so Return To Criteria and Edit this Search are both there. If you only needed the results, you're done.

The Global Search result runs the search and opens its results.

03. Open it from All Saved Searches

The Saved Searches list is the other way in, and it doesn't depend on Show In Menu. Point to Reports > Saved Searches and click All Saved Searches, the first entry in the flyout from step 01. Some roles also reach the same list through Lists > Search > Saved Searches.

The list shows Freight Accrual Review with ID customsearch947, Type Transaction, Owner Avery Collins, and Access Private. Each row has Edit and View links. View runs the search. Click Edit to change it.

If a search you expect isn't in this list, check the filters above it. Type and Access Level narrow the list. Administrators also get Show All Private Searches, which decides whether other users' private searches are included. Inactive searches only show when Show Inactives is checked.

Freight Accrual Review is in the list as a private search owned by Avery Collins. Click its Edit link.

04. Check Show In Menu and save

The search definition opens as Saved Transaction Search. On this form, Show In Menu is in the column of checkboxes on the right, below Available for Reminders. Check it and click Save.

Leave Public and the Audience subtab alone unless you mean to share the search. Show In Menu doesn't change who can open it.

Show In Menu is checked. Public is left unchecked.

In this example, saving the existing search runs it and opens its results page.

05. Confirm the search is in the menu

Point to Reports > Saved Searches again. Freight Accrual Review is now listed between Churn - Customers and Item Revenue Trend. Click it to run the search, or point to it for the Edit link.

After Show In Menu is saved, Freight Accrual Review is listed in alphabetical order.

Check the result

  1. Global Search shows Search: Freight Accrual Review when you type Freight Accrual.
  2. All Saved Searches lists Freight Accrual Review, owned by Avery Collins, with Access Private.
  3. The search definition has Show In Menu checked, and Public is still unchecked.
  4. Reports > Saved Searches lists Freight Accrual Review between Churn - Customers and Item Revenue Trend.

If the search still isn't in the menu after you save, first check that it's active and that you can open it from All Saved Searches. In one busy account we tested, the menu already listed 100 searches and a newly enabled one didn't appear, even after reloading. Global Search and All Saved Searches still found it. That's one account's behavior, not a documented limit. If your menu is that long, use those two routes instead, or put the search on your Home page with a Custom Search portlet.

Common questions

Why isn't my saved search showing in the Reports menu?

The most common reason is that it was saved without Show In Menu checked. Reports > Saved Searches only lists searches that have it, after the All Saved Searches entry. The search still exists. Find it with Global Search or All Saved Searches, edit it, check Show In Menu, and save.

What does Show In Menu do?

It adds the search to Reports > Saved Searches, where searches are listed alphabetically. Clicking the entry runs the search. It doesn't change the search's criteria, results, or who can open it.

Does Show In Menu share my saved search with other users?

No. A private search stays private with Show In Menu checked. To share it, check Public or add roles or people on the Audience subtab. Even then, each user only sees the records their role allows.

Can Global Search find saved searches?

Yes, if you can access the search. Type part of its title and look for the result labeled Search: followed by the title. Clicking it runs the search, and it shows up whether or not Show In Menu is checked.

How do I find a saved search I created?

Go to Reports > Saved Searches > All Saved Searches and look for its title. If it isn't there, clear the Type and Access Level filters and check Show Inactives. Administrators can also use Show All Private Searches to include other users' private searches.

Why can't I find my saved search in the menu even with Show In Menu checked?

First make sure the search is active and that it opens from All Saved Searches. If it does and the menu already has a lot of searches, the menu may just not be showing it. In one account whose menu already listed 100 searches, a newly enabled search didn't appear, but Global Search and All Saved Searches still found it. That isn't a documented limit, so use those two routes instead of counting on the menu.
