The quick answer
Run the summary search and click the value in a Group column, such as a customer name. NetSuite opens a drill-down page for that group, titled with the search and the group value, for example September Invoice Review: Alder Retail Results. It lists the rows behind the total, filtered by the same criteria. In a main-line search with no joins that repeat rows, their amounts add up to the summary row's Sum and the row count matches its Count. Click Return To Summary to go back. Drilling down doesn't change the saved search or the records.

Before you start
In this example, Alex Morgan at Example Supply Co. has a saved Transaction search called September Invoice Review. Its criteria are Type is Invoice, Main Line is true, Date is within 09/01/2026 to 09/30/2026, and Amount is greater than or equal to 2,000. Main Line keeps one row per invoice, and every invoice is in the same currency. On the Results subtab, Name has a Summary Type of Group, Amount is Sum, and Document Number is Count. Date and Status have no Summary Type, and Show Totals isn't checked.
That gives one row per customer. Alder Retail shows 7,000.00 and Birch Supply shows 6,000.00, but the grouped page doesn't say which invoices make up either number. You need a summary search you can run, and your role needs to see the invoices behind it. If the search has Disallow Drill Down checked on the Results subtab, the group values aren't links and this won't work.
01. Run the summary search
Point to Reports > Saved Searches and click September Invoice Review. It's in this menu because the search has Show In Menu checked. If yours isn't there, go to Reports > Saved Searches > All Saved Searches and click View next to the search. For the menu route, see how to show a saved search in the Reports menu.
September Invoice Review: Results has three columns: Name, Sum of Amount and Count of Document Number. Total: 2 at the right of the toolbar counts the rows on the page, one per customer. It isn't an amount. Alder Retail has 7,000.00 from 2 invoices, and Birch Supply has 6,000.00 from 2 invoices. The customer names are links. The invoice numbers aren't on this page yet.
02. Drill into one customer
Click Alder Retail in the Name column. NetSuite opens September Invoice Review: Alder Retail Results, with a Return To Summary button instead of Return To Criteria.
The page lists the invoices that make up Alder Retail's total. INV9631 is dated 09/03/2026 for 2,500.00, and INV9632 is dated 09/10/2026 for 4,500.00. Date and Status weren't on the summary because they have no Summary Type. They show up on this drill-down page, along with an Edit | View column for opening each invoice. Whether you get Edit, View or both depends on your access. The heading for the summed column is the plain field name, Amount, and Document Number shows each invoice's own number. Page titles, button labels and headings can vary a little by release.
The drill-down keeps the search's criteria and limits the rows to the group you clicked. An invoice the criteria exclude, such as one under 2,000 or dated in August, doesn't show up here either. Summary criteria work differently: they filter the grouped totals, not individual rows.
03. Reconcile the rows to the total
Add up the Amount column: 2,500.00 plus 4,500.00 is 7,000.00, the same as Alder Retail's Sum of Amount on the summary. Total: 2 on this page counts rows. Main Line is true, so each row is one invoice, and the count matches Alder Retail's Count of Document Number, 2. The two invoices account for the whole customer total.
There's no Total row under the invoices because Show Totals isn't checked on the Results subtab. Checking it adds a Total row to the drill-down page. Without it, you add the amounts yourself.
If the numbers don't match, don't trust either one yet. Check whether the search returns line rows instead of main lines, look for joins that repeat a transaction on several rows, and check currency and what your role can see. Count of Document Number counts result values, so repeated rows inflate it too.
04. Return to the summary
Click Return To Summary. The grouped page comes back with both customer rows, Alder Retail at 7,000.00 and Birch Supply at 6,000.00, and Total: 2.
05. Check the second customer
Click Birch Supply. Its drill-down page lists INV9633 for 3,200.00 and INV9634 for 2,800.00. Together they make 6,000.00, which matches Birch Supply's Sum of Amount, and Total: 2 matches its count. Click Return To Summary to finish on the grouped results.
Check the result
- The summary page shows Alder Retail at 7,000.00 and Birch Supply at 6,000.00, each with a count of 2.
- Alder Retail's drill-down lists INV9631 and INV9632, and their amounts add up to 7,000.00.
- Birch Supply's drill-down lists INV9633 and INV9634, and their amounts add up to 6,000.00.
- Total: 2 on each drill-down page matches that customer's Count of Document Number.
- Return To Summary brings back the grouped page, and the saved search definition is unchanged.

Common questions
How do I see which transactions make up a total in a summary saved search?
Run the search and click the value in the grouped column, such as the customer name. NetSuite opens a drill-down page for that group with the rows behind the total. In this example, Alder Retail's page lists INV9631 for 2,500.00 and INV9632 for 4,500.00, which add up to its 7,000.00.
Why can't I see invoice numbers in my grouped saved search results?
On a summary page, only columns with a Summary Type show. Document Number is set to Count here, so the summary shows how many invoices each customer has, not which ones. Drill into the customer to see each invoice number.
How do I get back to the summary from the drill-down page?
Click Return To Summary at the top of the drill-down page. The grouped results come back with every customer row.
Why doesn't the drill-down show an invoice I expected?
The drill-down keeps the search's criteria, so an invoice they exclude isn't there either. In this example, an invoice under 2,000 or dated outside September 2026 wouldn't qualify. Summary criteria are different: they filter the grouped totals, not the individual rows.
Why is there no Total row on my saved search drill-down page?
Show Totals isn't checked on the search's Results subtab. Without it, the drill-down lists the rows and you add the amounts yourself. Total: 2 in the toolbar is a row count, not an amount.
Does drilling down change the saved search?
No. Drilling down opens a view of rows the search already returns. It doesn't change the criteria, the summary types or the invoices.
How do I turn off drill-down links in a summary saved search?
Edit the search and check Disallow Drill Down on the Results subtab. The group values then aren't clickable, which is also the first thing to check when a group value you expect to click isn't a link. The Drill Down Fields subtab is for results viewed on a published web or intranet site. It doesn't set the columns on this drill-down page.
