Show Customer Credit Context Beside Sales Orders in NetSuite

Add customer Unbilled Orders and Credit Limit to a sales-order saved search. Filter the customer value without confusing it with each order’s billing state.

The quick answer

In a Transaction saved search, use Type is Sales Order and Main Line is true. On Results, add the customer's Unbilled Orders and Credit Limit through the customer-field join. To keep orders for customers with positive Unbilled Orders, add that customer field on Criteria and set greater than with Value 0. The filter tests the customer. It can still return a billed order belonging to that customer.

The screenshots use fictional person, company, customer and order data. Use your own records when following the steps.

Before you start

This example edits an existing Transaction saved search called Sales Order Overview. It has six sales-order header rows and already shows Name, Document Number, Amount and Status. You need permission to edit the search, see the orders and read the joined customer fields. Role and subsidiary restrictions can affect the returned values.

The customer join can appear as Customer Fields... or Customer (Main Line) Fields.... Use the group that exposes the customer's Unbilled Orders and Credit Limit; the exact label can vary by account. The search reads these customer fields at search time; they are not values stored on each order when it was created. Currency, subsidiary, role and account configuration affect the displayed values. Confirm their context before comparing them across currencies or subsidiaries.

01. Check the customer values

Open Lakefront Works and select Financial. In this example, Credit Limit is 18,000.00 and Unbilled Orders is 7,800.00. Your customer’s values will differ. Check a customer by hand first so you have known values to compare with the joined columns.

The customer has Credit Limit 18,000.00 and Unbilled Orders 7,800.00.

Unbilled Orders is separate from unpaid invoices and the customer's receivables Balance and Overdue Balance. Putting it beside Credit Limit does not calculate available credit or enforce a credit hold.

02. Check the order criteria

Go to Reports > Saved Searches > Sales Order Overview, then choose Edit this Search. That's the menu path in this example; you can also open the search through your saved search list.

On Criteria > Standard, check Type is Sales Order and Main Line is true. This example keeps one header row per order. Item and Quantity belong to line rows, so use an appropriate line search when you need those values. Other one-to-many joins can also introduce repeated rows.

03. Add the customer columns

Open Results. Add a new Field row, choose Customer Fields..., and select Unbilled Orders in the customer-field popup. In this example, the popup closes and the field becomes Customer : Unbilled Orders. Your account may display a different customer prefix. Click Add to commit the row.

Choose Unbilled Orders in the Customer Field popup.

Repeat for Credit Limit, then click Preview. The total is still six: adding result columns does not add a criterion. The two Granite Studio rows show Customer Unbilled Orders 0.00.

Adding a column has not filtered the orders: the last two customer values are still 0.00.

04. Filter the customer value

Click Return To Criteria, then open Criteria. In a new Filter row, choose Customer Fields... and Unbilled Orders. Set the operator to greater than, enter 0 in Value, and click Set. The row is added immediately in this example. If your account leaves it as an uncommitted row, click Add.

Customer Unbilled Orders greater than 0 restricts customers.

The criterion reads Customer : Unbilled Orders is greater than 0. Confirm the joined fields are present on Results and the customer condition is committed on Criteria. Rename Search Title to Sales Orders with Customer Credit Context. Open the arrow beside Save and choose Save & Run.

This is a customer-level filter. If your requirement is to find only orders with remaining unbilled amounts, add separately verified order-level billing criteria. Do not treat this customer condition as that test.

05. Verify the saved result

In the example result, Total: 4 appears. Granite Studio's two orders are absent. SO-9471 has Amount 2,600.00 and SO-9474 has Amount 1,800.00. Both Lakefront Works rows show Customer Unbilled Orders 7,800.00 and Credit Limit 18,000.00. The other two retained orders are SO-9482 and SO-9487 for Cedar Bridge Services; their customer values are Unbilled Orders 4,200.00 and Credit Limit 12,500.00.

The two Lakefront Works order rows repeat one customer value: 7,800.00.
Credit Limit 18,000.00 also belongs to the customer, so both order rows show it.

SO-9474 still has Status Billed. It remains because Lakefront Works has positive customer Unbilled Orders; the criterion does not inspect that individual order's billing state.

Use Edit this Search to confirm the saved customer criterion and Main Line is true, then run it again. With the example data unchanged, the same four rows return. Your result count depends on your account data and access. Do not sum the repeated 7,800.00 or 18,000.00 values across order rows: each is one customer's value shown twice.

Common questions

Why can a billed sales order still appear?

The criterion tests the customer's Unbilled Orders, not the individual order's billing status. In the example, SO-9474 is Billed but Lakefront Works still has customer Unbilled Orders of 7,800.00. The search therefore keeps that order. Finding only orders with remaining unbilled amounts needs separately verified order-level criteria.

Why do the same customer amounts repeat on several orders?

Each order reads the related customer's fields. Lakefront Works has one Unbilled Orders value of 7,800.00 and one Credit Limit of 18,000.00; both order rows display them. Do not sum those repeated customer values across transaction rows.

Does Unbilled Orders mean unpaid invoices?

No. Unbilled Orders is separate from unpaid invoices, the customer's receivables Balance and Overdue Balance. The search does not turn an order amount into an accounts receivable balance.

Does showing Credit Limit calculate available credit or enforce a hold?

No. These columns show customer fields. They do not calculate available credit or enforce a credit hold. Interpret the values in the relevant currency, subsidiary and account configuration.

Why are Item and Quantity blank with Main Line true?

This search returns sales-order header rows. Item and Quantity describe item lines, so use an appropriate line search when those values are required. Customer values can then repeat across more line rows as well.
