How to schedule an invoice saved search email in NetSuite

Create a transaction saved search for invoice due dates, review its criteria, and configure it for recurring email alerts in NetSuite.

The quick answer

Create a Transaction saved search, filter it to invoices with the required due-date criteria, then use the Email tab to configure recipients, frequency, subject, and result format. Use Save & Run to save the search and open its current results; this doesn't prove that a scheduled email was delivered.

The screenshots show sample data. Person and operating-company names are fictional. Use your own records and values when following the steps.

Before you start

Use a role that can create transaction searches and has at least Create access to Publish Search for the Email tab. Choose an authorized recipient with a usable email address. Decide whether your filter should use a fixed date or move forward each day, and whether invoices must still be unpaid.

Open a new saved search and choose Transaction. Give it a title that describes its criteria. The recording uses Overdue Invoices — Daily Alert, but a due-date filter alone can include paid invoices.

The Transaction saved search has a descriptive title.

02. Check the invoice criteria

Set Type to Invoice and Main Line to true for one row per transaction. Add Due Date/Receive By on or before your chosen date. The sample uses July 21, 2026; a daily schedule will keep using that fixed cutoff until you change it. Use a suitable relative date for a moving cutoff and add an open or unpaid criterion when that is your intent.

The criteria limit results to invoices, main lines, and the selected due-date cutoff.

03. Enable scheduled email

Open Email and select Send Emails According to Schedule. Decide whether to summarize results and whether to send an email when there are no results.

Scheduled email is enabled on the Email tab.

04. Add the recipient

On Specific Recipients, select the intended recipient and click Add. Confirm the recipient appears in the committed row before setting the schedule. Check that their email is appropriate for the invoice information you’re sending.

The selected recipient is added to the search’s email recipients.

05. Set the daily schedule

Open Schedule and choose Daily Event. Review the start date, recurrence, and start time. Confirm the relevant time zone; scheduled processing does not guarantee a particular delivery minute.

The Schedule tab is configured as a Daily Event.

06. Review the message and result format

Open Customize Message and enter the subject. Select the result format required by the recipient; the recording uses Excel. Review the format and any no-results behavior before saving.

Customize Message provides the subject and result-delivery settings.

07. Save and inspect the current results

Select Save & Run to persist the definition and open its current results. This example returns one invoice row. Review the criteria and saved email configuration separately; the result page does not prove that a scheduled message was delivered.

The saved search opens its current invoice results.

Check the result

  1. The saved criteria match the intended invoices and date behavior.
  2. The recipient, schedule, subject, and result format were reviewed before saving.
  3. Save & Run opens the current results; future delivery is checked separately.

Common questions

How do I create a daily saved-search email for invoices due by a date?

Create a Transaction saved search with Type = Invoice, Main Line = Yes for one row per invoice, and Due Date/Receive By set to on or before the intended date. In the Email tab, enable scheduled emails, add permitted recipients, choose a daily frequency and start time, select Excel output if available, then save the search.

Does a due-date filter return only unpaid or overdue invoices?

No. A due-date criterion includes invoices matching the date, even if they are paid or otherwise closed. If “overdue” means unpaid in your process, add the appropriate open, unpaid, remaining-balance, or status criterion available in your account.

How do I make the search use today’s date automatically?

Choose a supported relative date such as Today or the account’s equivalent dynamic date option. A manually entered date is fixed and will not advance automatically; available date values and time-zone behavior can vary by account configuration.

Why did the scheduled email or Excel attachment not arrive as expected?

Enabling scheduled email creates a future evaluation; it does not prove that an email was sent or delivered. Check the recipient’s permission and email address, account email preferences, subsidiary visibility, schedule time zone, search results, and whether Excel output is available in that account; delivery timing and attachment behavior can vary.
