The quick answer
Open a new Claude chat with the NetSuite connector available, then ask read-only questions about inventory, customer data quality, and financial reporting. Review each response for its records, scope, dates, subsidiary, and stated limitations before relying on it.
The screenshots show sample data. Person and operating-company names are fictional. Use your own records and values when following the steps.
Before you start
Have an active Claude account and a configured NetSuite connector. The connected NetSuite role must be able to read the required inventory, customer, subsidiary, and report data; this workflow does not create or modify records.
01. Check the new chat and connector context
Start in a new Claude conversation and confirm that the intended NetSuite connector is available. Check the visible user and company context before asking questions, because the connector can only return data permitted by the authorized user, role, and connector scope.
02. Ask for item availability
Enter a plain-language question about the inventory items you want to review, such as asking which items exist and how many units are on hand. Include a location, subsidiary, or other inventory scope when the account has more than one applicable context.
03. Review the inventory response
Check the returned item names and quantities, along with any stated scope or access limitation. A blank or em-dash quantity isn't necessarily the same as a confirmed zero, so inspect how Claude describes the result before using it for an inventory decision. Here, 251 is the sum of the two known quantities, 171 and 80. The two blank quantities are not confirmed zeros or proof that no receipts exist.
04. Request a customer data-quality review
In the same conversation, ask Claude to review the customer list for possible duplicates and incomplete fields. This is an analysis request only; it doesn't merge, edit, deactivate, or delete customer records.
05. Separate possible duplicates from confirmed issues
Review the records and matching fields Claude identifies, including names, email addresses, phone numbers, creation dates, and transaction history when returned. Treat the result as a list of possible issues rather than proof that records should be merged or retired. Check missing contact fields and transaction history directly in NetSuite. The response recommends deleting a record based on its own transaction check; do not treat that claim as proof that deletion is safe.
06. Request the Balance Sheet
Ask for the Balance Sheet as of the relevant date, including the subsidiary, currency, and accounting book where applicable. Review any tool permission request under your organization’s policy; persistent authorization is optional.
07. Inspect the displayed financial scope and figures
Review the returned report date, subsidiary, currency, assets, liabilities, equity, and any limitation message. The figures shown are a retrieved summary, not independently verified accounting results; compare them with the Balance Sheet in NetSuite before relying on them for financial reporting.
Check the result
- The inventory response identifies the items considered and shows a quantity or clearly states when a quantity is unavailable.
- The customer review identifies the records and fields used to suggest possible duplicates without changing any customer record.
- The Balance Sheet response states its reporting date, subsidiary or accounting context, and displayed figures or explains why the requested result wasn't available.
Common questions
How can I ask Claude for on-hand inventory by item?
Ask Claude to list the selected items and report each quantity on hand, specifying the location or subsidiary when relevant. Results depend on the connected role’s inventory permissions and the account’s item and location data; a blank or null quantity is not necessarily the same as zero. This request reads inventory; it does not change it. Other connector tools may support changes if the authorized role permits them.
Can Claude find duplicate or incomplete customer records?
Yes. Ask Claude to compare customer names, email addresses, phone numbers, addresses, and other available fields, then identify potential duplicates or missing data. The quality of the review depends on which customer records and fields the connected role can access; findings are suggestions for review, not confirmed duplicates, and this review request does not merge, edit, deactivate, or delete records.
How can I request a Balance Sheet summary?
Ask Claude to retrieve or summarize the Balance Sheet for a specific accounting period or date, subsidiary, currency, and company scope. The result depends on financial-report permissions, subsidiary access, accounting configuration, and available report data, so confirm the returned period, filters, subsidiary, currency, assets, liabilities, and equity in NetSuite before relying on it.
What should I verify before relying on Claude’s NetSuite answers?
Confirm that the intended NetSuite connector, user, role, and company account are connected, and check the scope stated in each response. Access may vary by role permissions, subsidiary restrictions, report permissions, enabled features, and the records returned; a successful connection does not guarantee complete data, and read-only access does not create, update, approve, or post NetSuite records.
