The quick answer
Create a Personal Information Removal request for the exact customer and supported fields. Choose History and Fields when the approved scope includes current values, then save and review the request. Approval starts processing. Wait for Complete and inspect the selected fields and request details before saying the work is done.
The screenshots use sample data. Person and operating-company names are fictional. Apply your own approved scope and retention rules.
Before you start
An administrator must enable Remove Personal Information under Setup > Company > Enable Features > SuiteCloud. Remove Personal Information Create permits request creation; Remove Personal Information Run controls approval and execution. Obtain the approved customer, field, and history scope first. The operation is irreversible, and supported record and field types vary. The recording uses a customer named Jordan Vale — Pine Harbor Tools and selects Email, Phone, and Name with History and Fields. No workflow is selected.
01. Define the request
Open Lists > Mass Update > Remove Personal Information and select New. Choose Customer, then the exact record. Select only fields covered by the request. History Only changes selected history; History and Fields also attempts to replace the selected current field values. Review the history replacement text, field replacement rules, and any workflow histories you intend to process.
02. Save and review the scope
Select Save. The request now shows Created. Check its record and field counts and correct the request if the scope is wrong. Saving does not run the removal.
03. Approve the request
Approve only after the irreversible scope has been checked. Read the warning before continuing. The request can show Pending while NetSuite processes it; approval alone does not prove that field values have changed. Do not edit the customer manually to imitate a completed result.
04. Verify the result
Wait for Complete, then inspect the request details and reopen the customer. The illustrated replay uses fixture replacements of removed@example.test for Email and 000-000-0000 for Phone. Oracle documents standard replacements of PI_removed@example.com and 000000000, respectively. Check Field Value Replacement in your request and verify each selected field on the actual customer record; the illustrated values are not NetSuite defaults. Review relevant System Information > System Notes and selected workflow histories when your form and role expose them. PI Removal can replace personal values in selected history without deleting the audit-log structure. This recording does not show a populated System Notes result, and it selected no workflows.
An address-book entry or protected address component may remain when the feature cannot update it. Sublist fields are unsupported, and address components required for tax or shipping need separate handling. If NetSuite Analytics Warehouse is in use, arrange its corresponding data refresh separately. A Complete status confirms processing of this request's configured scope; it does not establish that information was removed from every related record, integration, export, or external system.
Check the result
- The request reached Complete and its processing details show the intended records and fields.
- Each selected customer field has the intended replacement value.
- Any history, workflow, address, or out-of-system scope has been checked separately.
Common questions
Does saving the request remove customer information?
No. Save creates the request with Created status. Review its selected record and fields before approval. Approval queues processing; wait for Complete before checking the result.
What is the difference between History Only and History and Fields?
History Only processes selected personal information in supported history. History and Fields also attempts to replace the selected current record values. The example uses the latter and shows sample Email and Phone replacements after completion.
Does Complete mean the information is gone everywhere?
No. It means the request finished processing its configured scope. Protected address components, unsupported sublists, other records, integrations, exports, and Analytics Warehouse copies need separate review. Check request details for any field-level failure.
Does removal delete System Notes?
No. The feature replaces selected personal values in supported history while retaining the audit structure. The recording shows no populated System Notes result, so it does not establish which note values changed. No workflow history was selected in this example.
