Attach a customer PDF and find it in NetSuite File Cabinet

Attach a prepared PDF to a NetSuite customer and locate it in File Cabinet. Compare the filename, folder, type and size while keeping the file private.

The quick answer

Upload the PDF from the customer’s Communication → Files subtab, then compare the saved attachment with its File Cabinet search result. The record attachment points to the stored file.

The screenshots show a recorded demonstration with sample data. Use your own records and values when following the steps.

Before you start

Use an existing customer, the prepared document, and an accessible File Cabinet folder. Your role needs the relevant customer and Documents and Files access. Keep a private agreement’s Available Without Login setting clear.

01. Check the prepared agreement

Review Alder Service Agreement.pdf and confirm its customer and scope belong to Alder Retail. This is an existing example document, not a newly signed agreement.

Review the prepared customer agreement before attaching it.

02. Inspect the customer attachment list

Open Alder Retail from Recent Records, then Communication → Files. Check for the document first. The example has no existing attachment; click New File.

The customer’s Files sublist is empty before the upload.

03. Select the file and destination

In the File window, use Computer, name the document Alder Service Agreement.pdf and choose Customer Documents. Select the same PDF with Choose File and check its filename. Leave Inactive, Available Without Login and Company-wide Usage clear, then Save.

The selected PDF and destination folder agree with the intended attachment.

04. Verify the customer attachment

On Communication → Files, find the new row. Compare Alder Service Agreement.pdf, Customer Documents, PDF File and the displayed 1.99 KB size. Visibility to you does not establish another employee’s access.

The customer now has the PDF attachment in Customer Documents.

05. Find the same stored file

Open Documents → Files → File Cabinet. Search for the document name. Compare the result’s folder, PDF type and 1.99 KB size with the attachment row. Names can repeat, so use those details too.

File Cabinet returns the same document, folder and displayed size.

Check the result

  1. The document belongs to the intended customer.
  2. The attachment and File Cabinet result have matching file details.
  3. The file was not made publicly available as part of the upload.

Common questions

How do I attach a PDF agreement to a NetSuite customer?

Open the customer record, go to Communication > Files, and click New File. Select the accessible destination folder, choose the prepared PDF from your computer, then click Save. Confirm the new row by checking the file name, folder, size, and PDF type.

Where does NetSuite store a file attached to a customer?

The PDF is stored in the File Cabinet. The customer’s Communication > Files sublist shows the file’s association with that customer; it is not a separate copy stored inside the customer record.

How can I find the customer attachment in File Cabinet?

Go to Documents > Files > File Cabinet, enter the document name in the Search field, and click Search. Compare the result’s folder, file type, and size with the attachment shown on the customer record because file names can repeat.

Do I need Available Without Login for a private customer document?

No. Leave Available Without Login cleared for an ordinary private attachment. The user still needs access to the destination folder. An attachment alone does not prove the agreement was signed or delivered.
