Publish a NetSuite Home Dashboard to a Role and Check the Result

Add a saved-search queue to Home, publish it to another role with the existing-user override, and verify the role's dashboard.

The quick answer

Configure the publisher role's Home dashboard first. From its Settings portlet, open Publish Dashboard, add an active role in the same center, choose whether to override existing users' settings, and select Home under Apply To Tabs. Save, then open Home under the target role to check the portlet. A saved publication proves the assignment; the target role's Home shows the result.

The screenshots use sample data. Person and operating-company names are fictional. The one employee in this example is assigned both roles, so the walkthrough compares their two role contexts; it does not verify another employee's dashboard.

Before you start

The publisher needs access to Publish Dashboard and the intended role and center. The target role must be active, assigned to the employee, and use a compatible center. The saved search must be shared with that role and available for dashboard use; the role also needs permission for the search, underlying records, and displayed fields. Publication does not grant those permissions. This example uses Administrator and Operations Viewer roles in Classic Center.

01. Check the role's Home before publishing

Switch the employee to Operations Viewer using the role menu in the upper-right header. The menu lists roles assigned to this employee, not every role in the account. Confirm the header says Operations Viewer and look at Home. The main dashboard area has no Ready for Dispatch queue yet.

The dispatch queue is missing from Operations Viewer Home before publication.

02. Add the saved-search portlet

Switch the same employee to Administrator. On Home, choose Personalize → Standard Content → Custom Search. Open the new portlet's Set Up menu, choose the existing Fulfillments Awaiting Dispatch search, set Custom Portlet Title to Ready for Dispatch, and save. Check that the portlet shows the expected fulfillment rows. In this example, the visible items are picked or packed; configuring the dashboard does not change their transaction status.

The search is working on Administrator Home before it is published to another role.

03. Publish Home to the role

In the Settings portlet, click Publish Dashboard. Name the publication Operations Home. On Apply To Roles, choose Operations Viewer, leave Override existing user's settings at Yes, and click Add. Yes is intentional here because the employee already had the role before publication; it can replace recipients' existing Home personalization. Choose it deliberately when publishing to real users.

On Apply To Tabs, select Home only and leave the mode Unlocked so recipients may personalize it. Save the definition and confirm the role and Home tab on the saved record.

Check the target role and override choice before saving the Home publication.

04. Switch back and check Home

Use the upper-right menu to switch back to Operations Viewer. Confirm the role in the header and refresh Home if needed. The published Home should now contain Ready for Dispatch in the formerly empty area. In the recording, the portlet shows three example fulfillment rows, but the rows a real user sees can differ with permissions and data. The visible portlet and its working search are the result to verify for this employee; another recipient may have different settings or access.

The same employee's Operations Viewer Home now has the published dispatch queue.

Common questions

Why does the target role not see the saved-search portlet?

Check that the publication targets its role and Home, then check the search audience, dashboard availability, and the role's record and field permissions. Refresh or start a new role session after publication.

What does Override existing user's settings do?

Yes applies the published dashboard over applicable personal Home customizations for existing users of the target role. It can replace their portlet layout, so review that choice before publishing broadly.

Does dashboard publication grant access to the search?

No. The saved search must be shared with the role, and its users still need permission to view the search and underlying records. Their results can differ from the Administrator's.
