The quick answer
To run a general ledger report in NetSuite, open Reports > Financial > General Ledger. Confirm the reporting range, refresh, then review transactions by account using their dates, document numbers, debits, credits, and running balances.
The General Ledger report shows the transaction activity behind account balances. This walkthrough opens the report and reads the transaction columns without changing any accounting records. The screenshots use sample data and fictional person and operating-company names.
Before you start
Your role needs general-ledger report access and visibility into the relevant accounts. Know the date or period range and company scope you need. Large ranges can produce many rows, so begin with the range that answers your question.
01. Open the General Ledger
Go to Reports > Financial > General Ledger. Confirm the report title and wait for the results.
The report groups transaction activity by account. Use the account heading to keep track of which balance you are reading as you move through the rows.
02. Confirm the reporting range
Review From and To in the footer. The recording shows Jul 2026 through Jul 2026. Confirm any available subsidiary or classification filters.
Click Refresh after changing settings. Match the range and scope to the account balance you are investigating.
03. Read the transaction rows
Read Type, Date, Document Number, Name, Debit, Credit, and Balance together. The example shows activity under 1000 - Checking, including bill payments.
Use the document reference to identify a transaction for further investigation. The recording reviews the report; it does not demonstrate opening or correcting every underlying entry.
Check the result
- The report covers the intended range and scope.
- The account heading is identified before interpreting a row.
- Document references and debit or credit amounts support the investigation.
You now have the transaction detail for the selected range. Keep the report context with any follow-up, and inspect the source record before deciding that an entry needs correction.
Common questions
How do I open the General Ledger report in NetSuite?
Go to Reports > Financial > General Ledger. The exact menu label or availability may vary by role, enabled features, and account configuration. After the report loads, confirm the displayed period, subsidiary, accounting book, currency, and other filters before interpreting the results.
What does the General Ledger report show?
The General Ledger displays transactions and account-level postings, typically grouped or subtotaled by general ledger account for a selected reporting period. Available columns, totals, and detail depend on report customization, permissions, accounting configuration, and—where applicable—subsidiary or accounting-book context.
Does a General Ledger total automatically reconcile to the financial statements?
No. A displayed General Ledger total represents the report’s current filters and reporting context; it does not prove reconciliation to the Balance Sheet, Income Statement, or another report. Differences may reflect period, subsidiary, currency, accounting book, classification, or report-layout choices and require separate analysis.
Why might two users see different General Ledger results?
Users may see different results because their roles provide different permissions, subsidiaries, accounting books, or reporting access. Results can also differ when filters, periods, currencies, classifications, or saved customizations differ. In OneWorld or Multi-Book accounts, confirm both users’ reporting context before comparing outputs.
