How to run an A/P aging report in NetSuite

Run NetSuite A/P Aging Summary, check the reporting date and aging settings, and review open vendor balances before planning payments.

The quick answer

To run an A/P aging report in NetSuite, open Reports > Vendors/Payables > A/P Aging. Confirm the as-of date and aging options, refresh, then review vendor balances and the dates shown above each bucket.

A/P aging helps you review what remains payable by vendor. It is a useful starting point for investigating old balances, but the date and report settings need to be right before you plan payments from it. The screenshots use sample data and fictional person and operating-company names.

Before you start

Your role needs financial-report permissions and access to the relevant payable data. Know the as-of date and company scope you need. Aging preferences and filters can change the balances shown.

01. Open A/P Aging

Go to Reports > Vendors/Payables > A/P Aging. Confirm the page title is A/P Aging Summary and wait for the results.

This report groups open payable balances. It does not create or approve a bill payment.

Open A/P Aging from the payables reports menu.

02. Confirm the reporting date

Check As of in the footer. The example uses 7/21/2026. Review Aging Options and any available scope filters.

After changing the date or filters, click Refresh. Interpret the bucket labels using the selected aging basis; do not assume every older transaction is overdue by the same number of days.

Confirm the date and aging settings before reviewing vendors.

03. Review the vendor row and total

Read the vendor balances across the dated columns. The example shows a total of 8,944.00, entirely in the displayed 30-day bucket.

For an unexpected balance, review the underlying bills, credits, and payments. A summary total tells you where to investigate; it does not prove that every included bill is ready to pay.

The vendor balance appears in the report’s dated aging bucket.

Check the result

  1. The report date and scope match the review.
  2. The bucket headings are understood in the selected aging basis.
  3. Unexpected vendor balances are checked against their transactions.

Use this view to prioritize the next bill review. Confirm payment eligibility and existing applications before creating a payment.

Common questions

How do I open the A/P Aging Summary report in NetSuite?

Go to Reports > Vendors/Payables > A/P Aging. The exact menu label and availability depend on your role, account configuration, and permissions. Confirm that the page is the summary report, not the A/P Aging Detail report, before reviewing balances.

How are vendor balances grouped into A/P aging buckets?

The report groups open payable balances by age, commonly using due date or transaction date. Bucket labels and intervals can vary by account configuration. Review the report’s aging basis, date, subsidiary context, and filters before interpreting current or overdue amounts.

Why does the A/P Aging total change when I change the date or subsidiary?

Changing the report date changes which payable activity is open as of that point. Changing subsidiary or scope changes the included population. In OneWorld or multi-book accounts, role permissions, accounting preferences, reporting-by-period settings, and currency configuration can also affect the displayed total.

Does viewing A/P Aging pay, approve, or reconcile vendor transactions?

No. Running or refreshing the A/P Aging Summary is a read-only reporting action and does not approve bills, post transactions, make payments, or reconcile accounts. If available, drilling into detail only opens underlying records; editing or processing those transactions requires a separate action and appropriate permissions.
