Create a Web-to-Lead Form in NetSuite

Build a NetSuite Online Customer Form that turns website submissions into leads, with lead status, lead source, duplicate handling, auto-reply and the Publishable Form URL.

The quick answer

Go to Setup > Marketing > Online Customer Forms, click New Online Lead Form and pick Default Form Template. Give it a Title, add the fields visitors fill in on Select Fields, and use Set Up Workflow to set the lead status, lead source, redirect page and duplicate handling. Save, click View, and copy the Publishable Form URL from the External subtab. That's the link for your website. Submit one test entry and check the Leads list before you share it.

The screenshots show sample data. Person and company names are fictional. Use your own fields and values when following the steps.

Before you start

In this example, Tallpine Analytics wants website visitors to request a product demo without anyone retyping their details into NetSuite. The form is called Request a Product Demo, and every submission should land as an unqualified lead credited to the CAM21 Spring Demo Webinar campaign.

NetSuite doesn't call it a web-to-lead form. The record is an Online Customer Form, and the button says New Online Lead Form. The walkthrough uses the Administrator role. Online forms are turned on from the CRM subtab of Setup > Company > Enable Features (the exact feature names vary by account), and other roles need permission to set up online customer forms. With Marketing Automation on, Set Lead Source lists your marketing campaigns, so create the campaign first if you want web leads credited to it. The auto-reply uses a marketing email template, which also has to exist before you pick it.

01. Check the Leads list

Go to Lists > Relationships > Leads and note what's there before the form exists. Here the list shows Total: 5: Alder Point Clinic, Brookfield Logistics, Cedarline Foods, Marrow Lane Architects and Quillon Freight. Nobody from Harborlight Studio is a lead yet, which makes the test submission easy to spot later.

Before: five leads, and none from Harborlight Studio.

02. Start a Default Form Template form

Go to Setup > Marketing > Online Customer Forms. This account already has two forms, Newsletter Sign-up and Partner Inquiry. Click New Online Lead Form.

Two existing forms. New Online Lead Form starts another.

NetSuite asks for the form type first. Default Form Template builds the public page from the form's own settings. Custom HTML Template drops the fields into an HTML page you supply. Click Default Form Template.

Pick Default Form Template to let NetSuite lay out the page.

Enter the Title Request a Product Demo. It names the form and heads the public page. Enter the Message Tell us about your team and we will set up a demo. It prints under the title. Leave Enable Online checked, or the public address won't work.

Title and Message are filled in, and Enable Online stays checked.

03. Choose the fields

On Select Fields, this OneWorld account starts the form with a hidden Subsidiary row. Records the form creates get the form's Default Subsidiary unless a subsidiary is passed to the form. The note above the grid says that when First Name and Last Name are on the form, NetSuite first tries to find an existing contact before it creates a new one.

Add First Name, Last Name, Company Name and Email, checking Mandatory on each. Choosing a Field fills its Label, which is the text visitors read. Click Add after each row. On Email, also check Search. Fields marked Search are what NetSuite compares against existing records when it checks for duplicates in step 04. If your account refuses to save without Search on First Name and Last Name, check it on those rows too. Add Phone Number without Mandatory so visitors can leave it blank.

Four mandatory fields, and Search on Email so duplicates are matched by email address.

On Detail Message, enter We reply within one business day. It prints at the bottom of the public form.

The Detail Message prints under the form fields.

04. Decide what a submission creates

Set Up Workflow is where the form decides what kind of record a visitor becomes. Leave Create Customers as Companies checked. When a visitor enters a Company Name, NetSuite creates a company lead and adds the visitor as its contact. This form makes Company Name mandatory, so every submission here becomes a company. On a form where Company Name is optional, a submission without one creates an individual.

Set Set Lead Status to Lead - Unqualified and Set Lead Source to CAM21 Spring Demo Webinar. Status names come from your account's customer statuses, so yours may differ. The Allow Update checkboxes beside them decide whether those values can overwrite a matching record that already exists. Enter the Redirect to URL, the page visitors land on after they submit. The example uses https://www.tallpineanalytics.example/thanks; use a real, public page on your own site.

Set Handle duplicate records to Update the first record created and check Use Duplicate Detection Criteria. Now a returning visitor updates the lead that already exists instead of creating a second one. The default, Do not search for duplicates, creates a new record for every submission. Without Use Duplicate Detection Criteria, NetSuite matches on the fields you marked Search. With it, NetSuite applies the account's duplicate detection rules, if the Duplicate Detection feature is set up.

Lead status, lead source, redirect page and duplicate handling for every submission.

Further down, under Customer Notification, choose the Send Auto-Reply Email template Demo Request Received and enter the Subject Thanks for requesting a demo. Under Sales Rep Notification, check Send Notification Email and enter the Cc sales-desk@tallpineanalytics.example. The notification goes to the sales rep assigned to the lead, if the submission ends up with one, and copies the Cc address. How a rep gets assigned depends on your account's lead routing and defaults.

An auto-reply to the visitor and a notification to the sales rep, with the sales desk on Cc.

05. Set the look and save

On Set Up Appearance, choose the Color Theme Basic : Blue & Silver. Leave Button Alignment at Right for now. You'll see why that's a problem in step 06.

Color Theme Basic : Blue & Silver, with Button Alignment still Right.

Custom Code can attach a SuiteScript file and map its functions, such as page initialization or save validation, for extra behavior on the public page. This form doesn't need one, so leave Script File blank and click Save. In this account, NetSuite returns to the Online Customer Forms list, which now shows Request a Product Demo with Enable Online Yes. Some accounts open the saved form instead.

Request a Product Demo is saved and online.

06. Open the Publishable Form URL

Click View on Request a Product Demo. The saved form has a new External subtab with Number of Requests 0, Number of Submits 0, and two links. The Internal Form URL is for use inside NetSuite. The Publishable Form URL is the public address to link from your website.

The Publishable Form URL is the one to put on your website.

Click the Publishable Form URL. The page shows the title in a blue band, the Message, the five fields with the four required ones starred, and the Detail Message. The Submit and Reset buttons sit at the far right of the page, a long way from the fields visitors just filled in.

With Button Alignment Right, Submit and Reset end up at the far right edge.

07. Move the buttons

Go back to the form, click Edit, open Set Up Appearance and change Button Alignment to Left. Click Save.

Button Alignment changed to Left.

Click View and open External again. Number of Requests now shows 1, counting the first visit to the public page. Number of Submits is still 0.

One request from the first visit, no submits yet.

Click the Publishable Form URL again. The buttons now sit on the left, right under the fields.

With Button Alignment Left, Submit and Reset sit under the fields.

08. Submit a test lead

Fill in the form as a visitor would. Here Daniel Osei enters First Name Daniel, Last Name Osei, Company Name Harborlight Studio, Email daniel.osei@harborlight.example and Phone Number (612) 555-0183, then clicks Submit.

A test visitor fills in all five fields.

The browser goes to the Redirect to URL, Tallpine Analytics' thank-you page. If a required field is left blank, the form lists the missing labels and won't submit until the visitor fills them in. The recording doesn't show that message, so try it once on your own form.

After Submit, the visitor lands on the Redirect to URL.

09. Confirm the new lead

Go back to Lists > Relationships > Leads. The list now shows Total: 6. Harborlight Studio is new, with Status LEAD-Unqualified, Daniel Osei as its Primary Contact, the email and phone from the form, and Nora Blake as sales rep. That's the rep this account assigns to new leads, so yours may differ.

After: six leads, including Harborlight Studio from the form.

Open Harborlight Studio. The record is headed Lead, its Type is Company because a Company Name was submitted, and its Status is LEAD-Unqualified.

A company-type lead with the status the form set.
The Marketing subtab shows the campaign set on the form as Lead Source.

Check the result

  1. The Leads list has one more lead than before: Total: 6 instead of 5.
  2. The new lead, Harborlight Studio, has Status LEAD-Unqualified and Daniel Osei as Primary Contact.
  3. Its Type is Company, because Create Customers as Companies was checked and a Company Name was submitted.
  4. Its Marketing subtab shows Lead Source CAM21 Spring Demo Webinar.

On the Marketing subtab, Lead Information shows Lead Source CAM21 Spring Demo Webinar, the campaign set on the form. Where that field sits depends on the lead's entry form. Whether the auto-reply and sales rep emails go out depends on the email template, a valid recipient address and an assigned sales rep. The lead's Communication subtab shows what NetSuite sent, but only the recipient's inbox proves it arrived. Before you share the link, also submit the same email address a second time and check that the existing lead is updated rather than duplicated.

Common questions

Where do I find the public URL of a NetSuite online form?

Save the form, click View and open the External subtab. Copy the Publishable Form URL and link it from your website, an email or an ad. The External subtab only appears after the first save.

What's the difference between the Internal Form URL and the Publishable Form URL?

The Publishable Form URL is the public address for website visitors, who aren't logged in to NetSuite. The Internal Form URL is for use inside NetSuite. Put the Publishable one on your site.

How do I stop the form from creating duplicate leads?

Check Search on the fields NetSuite should compare, such as Email, on Select Fields. Then set Handle duplicate records on Set Up Workflow to one of the update options, like Update the first record created. Check Use Duplicate Detection Criteria if you'd rather use the account's duplicate detection rules. Submit the same email twice to confirm it updates instead of duplicating.

What does Create Customers as Companies do?

When it's checked and the visitor enters a company name, NetSuite creates a company record and adds the visitor as its contact. Without a company name, the submission creates an individual. If you make Company Name mandatory, like this form does, every submission becomes a company.

How do I credit web leads to a marketing campaign?

Pick the campaign in Set Lead Source on Set Up Workflow. With Marketing Automation on, that list shows your marketing campaigns. Each new lead then shows the campaign as Lead Source on its Marketing subtab.

Can the form send an auto-reply and notify the sales rep?

Yes. Under Customer Notification, pick a marketing email template in Send Auto-Reply Email and enter a subject. Under Sales Rep Notification, check Send Notification Email and add a Cc if someone else should get a copy. The rep email only goes out if the lead ends up with an assigned sales rep, so test it with a real submission.

How do I change the color theme or button alignment?

Edit the form and open Set Up Appearance. Pick a Color Theme and set Button Alignment to Left or Right. Save and reload the Publishable Form URL to see the change. With Right, the buttons sit at the far edge of the page, away from the fields.

Why didn't a website submission create a new lead?

Check that Enable Online is still on and that the visitor filled in every mandatory field. If duplicate handling is set to update, a matching record was probably updated instead of a new one being created, so search for the visitor's email.
