Reassign customer sales reps with a NetSuite mass update

Reassign customer Sales Rep values with a NetSuite mass update. Preview the selection, exclude an exception and verify both customer records afterward.

The quick answer

Define the Customer mass update’s criteria and replacement Sales Rep, then preview the matching records. Exclude exceptions before Perform Update and verify both an included and excluded customer afterward.

The screenshots show a recorded demonstration with sample data. Use your own records and values when following the steps.

Before you start

Use a role with permission to search and mass-update the customer Sales Rep body field. Confirm the authorized scope before execution; Perform Update cannot be stopped once started. This procedure does not replace Sales Team sublist members. Individual Apply checkboxes require fewer than 1,000 preview results; narrow the criteria if that column is absent.

01. Define the customer selection

Open Lists → Mass Update → Mass Updates → General Updates → Customer. Name the action Customer representative reassignment. Under Criteria, add Sales Rep any of Taylor Reed. Include Name and Sales Rep under Results so the assignments can be reviewed.

The criterion selects customers assigned to Taylor Reed.

02. Specify the replacement field

On Mass Update Fields, select Apply for Sales Rep and choose Jamie Rivera. Leave unrelated fields untouched. Save the definition; this does not execute the changes.

The saved definition proposes Jamie Rivera as Sales Rep.

03. Preview and exclude the exception

Open Lists → Mass Update → Saved Mass Updates and Preview the saved action. Check the proposed replacement and both matching customers. Clear Apply for Pinegrove Supplies; leave Alder Retail selected.

Pinegrove Supplies is excluded from this run while Alder Retail remains selected.

04. Perform the reviewed update

Once the scope is correct, click Perform Update. Review completion and the reported count. Here the confirmation reports one record, matching the single selected customer.

The mass update reports one updated record.

05. Inspect the included customer

Open Alder Retail and check Sales Rep. It now shows Jamie Rivera. This checks the executed change rather than relying only on the preview or process status.

Alder Retail now has Jamie Rivera as Sales Rep.

06. Verify the excluded customer

Open Pinegrove Supplies and check Sales Rep. Taylor Reed remains assigned, matching the cleared Apply checkbox.

The excluded customer retains Taylor Reed.

Check the result

  1. The processing count matches the reviewed selection.
  2. The included customer has the replacement representative.
  3. The excluded customer retains its original representative.

Common questions

How do I reassign several customers to another sales representative?

Create a Customer mass update, filter Sales Rep to the current representative, and set the new representative under Mass Update Fields. Preview the results, confirm the proposed values, then select Perform Update.

Does saving a mass update execute it?

No. Saving stores the mass-update definition for later use. The customer records change only when you perform the update.

How do I exclude one customer from the update?

Open the saved mass update and select Preview. Clear the customer’s Apply checkbox, then perform the update with the remaining customers selected. The Apply column is available when there are fewer than 1,000 preview results. If it is absent, narrow the criteria before excluding individual records.

How do I verify that the update changed only the intended customers?

Check the processing status and reported results, then open at least one included customer and the excluded customer. Confirm that the included customer has the new Sales Rep and the excluded customer still has its original assignment; permissions, validations, or account automation may cause individual records to fail or be skipped.
