The quick answer
Keep the journal identifier attached to every status and audit observation. An ApprovalMax Approved label describes that request’s external workflow. A Push decision audit entry records an integration event. Follow that same journal’s native link before drawing a conclusion about NetSuite. This walkthrough compares two different requests and follows only the imported one, which displays Pending Approval in NetSuite.
The examples use UTIL-1026, a 500 British pound journal created in ApprovalMax, and JOU00000480, a separate 100 British pound journal imported from NetSuite. Their different references, origins and amounts remain separate throughout the inspection. The illustrations reconstruct historical source states with fictional person, company and transaction values; they do not demonstrate a current integration test.
Before you start
You need permission to view both existing ApprovalMax journal requests, their lines and audit histories, and the imported journal’s linked NetSuite record. The integration is already configured. No request is created, submitted, approved or edited during this walkthrough. Both requests and their existing histories are already present.
The illustrated historical example shows a native Approval Status field. Available fields and approval controls depend on the account’s form, enabled approval process and role. Use the journal’s own link and identifier to establish which native record you are inspecting.
01 · Identify the approved external request
In ApprovalMax, open Journal Entries > Approved and select UTIL-1026. Its header identifies the submitter and shows Approved. Its two displayed lines total 500.00 on each side. Equal debit and credit totals describe the displayed balance; approval and posting need separate evidence.
Scroll to Approval workflow and Audit trail. The Any of step is complete. The existing audit history records submission at 11:16, approval and request closure at 11:17, and Push decision for Journal Entry to Oracle NetSuite at 11:18.
Read those events as observations about UTIL-1026 in ApprovalMax. No native record for UTIL-1026 is inspected here. Its native existence, approval state and GL posting remain unverified.
02 · Compare the imported journal
Select On approval under Journal Entries. Open JOU00000480 and confirm that its identifier and amount differ from the earlier request. The header says Created in Oracle NetSuite. The 100.00 debit and credit lines belong to this imported journal.
Scroll to its workflow and audit trail. Approval step 1 is Active, with Approval condition: Any of. Its existing audit entry says Pulled request from Oracle NetSuite. This is the imported journal’s audit history. It is not a later state of UTIL-1026.
03 · Follow the matching native record
Click Open in NetSuite from the imported JOU00000480 request. Keep that identifier in view when the native record opens.
Confirm that the native header and Entry No. show JOU00000480. The reconstructed historical native view shows Pending Approval in its header and Approval Status field. This does not establish that the field appears on your current form. Cross-check its currency and 100.00 line amounts.
The Lines tab shows 100.00 debited to WIP and 100.00 credited to IT Equipment. Stop after this comparison. No approval action or GL Impact inspection occurs.
Common questions
Does a push-decision event prove a journal posted in NetSuite?
It records an integration event in ApprovalMax. Inspect the native record for that same journal, if a link is available, and the relevant integration result before concluding that NetSuite received or accepted the decision. GL posting needs its own evidence.
Why does the native journal still show Pending Approval after the earlier request was approved?
The earlier approved request and the native journal shown here are different records. UTIL-1026 is 500.00; JOU00000480 is 100.00, has a different origin and remains on approval externally. JOU00000480’s historical Pending Approval state provides no result for UTIL-1026.
Does a pulled-request audit entry mean the journal is approved?
The entry records an import event. In this example the imported request’s approval step is still Active, and its linked native journal is historically shown as Pending Approval.
Do matching debit and credit totals prove approval or posting?
They establish balance of the displayed lines. Check workflow completion, the same native record’s status and any required posting evidence separately.
