How to close a partly built WIP work order in NetSuite

Close a WIP work order that stopped short of plan, then check that Built stays where it was and the Committed and Back Ordered component quantities on the Items subtab fall to 0.

The quick answer

Open the WIP work order and click Close, then save the Work Order Close. The close finalizes the order even though Built is below Quantity. It doesn't build the remaining units. Built stays where it was, the status becomes Closed, and on that order's Items subtab the Committed and Back Ordered quantities go to 0 while Used in Build keeps what the finished units consumed. In the example, work order WO5731 for 10 benches has 3 built. After the close, the 7 benches' worth of committed components are released and the hinge shortfall of 6 disappears.

Before you start

This is a WIP work order, with Manufacturing WIP turned on and the WIP box checked. In the example it has been issued and partly completed, though a WIP order can be closed without either. You need permission to open the work order and create a Work Order Close, and the posting period has to be open. Close short only when the rest of the order is cancelled, which is a production decision and not a NetSuite rule. If the remaining units are still expected, leave the order open. A closed WIP work order is final, so if you need the other units later you'll create a new work order for them.

The close does two things this guide doesn't follow. It reconciles whatever is left in WIP for the order, and what it posts depends on your costing setup, so open the close's GL Impact subtab to see what, if anything, it posted. It also doesn't touch purchase orders. If you ordered the short component, review that order separately.

Menu names, action names and Items columns depend on your release, role and form.

01. Check the order before closing it

Open work order WO5731. Its status is In Process, Quantity is 10 and Built is 3. The action bar still offers Close.

Built is 3 and the work order is still In Process.

On the Items subtab, read Committed, Back Ordered and Used in Build for each component. Committed is 7, 7, 8 and 28, so the order is still holding stock for the seven benches that won't be built. These are total quantities for the order, not amounts per bench. SB-123 Hinge Set has Back Ordered 6, because only 8 are on hand against the 14 still needed. Used in Build is 3, 3, 6 and 12, which is what the three finished benches consumed.

Committed and Back Ordered still hold the unbuilt part of the order.

02. Click Close and look at the form

Click Close in the action bar. The Work Order Close form opens already filled in from the work order. Reference # shows To Be Generated, Work Order Quantity is 10, and Created From is Work Order #WO5731. The date and posting period default to 10/14/2026 and Oct 2026.

Work Order Quantity is 10 and Created From points to WO5731.

03. Save the Work Order Close

Click Save. The Work Order Close opens in view mode as WCL2218 with a Confirmation band that says Transaction successfully Saved. Built Quantity and Quantity Scrapped read 0 on the close. It records the close and doesn't build or scrap anything itself, and the work order's own Built isn't reset.

The close saved as WCL2218.

04. Check the work order and its Items subtab

Click the Work Order #WO5731 link beside Created From. The status is now Closed. Built is still 3 against a Quantity of 10, and the Close, Issue Components and completion buttons are gone from the action bar.

Built stays at 3 and the work order is Closed.

On the Items subtab, Committed is 0 on every line and Back Ordered on SB-123 Hinge Set is 0. Used in Build still reads 3, 3, 6 and 12. The stock that was committed to the order can be used by other orders again, subject to their own commitments and availability rules.

Committed and Back Ordered are 0. Used in Build is unchanged.

Check the result

  1. The work order status is Closed.
  2. Built is still 3 and Quantity is still 10.
  3. Committed is 0 on every line of the Items subtab and Back Ordered is 0.
  4. Used in Build still reads 3, 3, 6 and 12.

If a purchase order is still open for the short component, check it separately. Closing the work order removes this order's demand and doesn't cancel the supply.

Common questions

What happens when I close a work order that isn't fully built?

The close finishes the order anyway. The status becomes Closed, Built stays at the quantity already built, and the order stops asking for components. The missing units are not created.

Does closing a work order release the committed components?

Yes. The Committed quantities on the Items subtab go to 0, and the stock that was committed becomes available to other orders again. Check the item's Available quantity if you want to see it.

Why is a component still back ordered on a work order I closed?

It shouldn't be on that order. The close removes this work order's back-ordered demand and nothing else. If the item still shows as short, look for other open orders that need it. A purchase order you already placed stays open until you cancel or reduce it.

Does closing a work order change the Built quantity?

No. Built stays at what the completions recorded, 3 in the example. The close doesn't build, scrap or reverse anything.

Does the Used in Build quantity change when I close a work order?

No. It records what the finished units consumed, and the close leaves it alone.

Can I reopen a closed WIP work order?

Treat it as final. Reopening applies to non-WIP work orders. If you need the remaining units, create a new work order for them.

Should I close a work order short or reduce its quantity?

Close it when the rest of the order is cancelled and you want the commitments, back orders and open WIP cleared. Check whether the order quantity can be reduced instead, but that can be restricted once production has been recorded, so don't count on it. If the remaining units are still expected, leave the order open.

Does closing a work order create scrap or return components already issued?

No to both. The close isn't a scrap transaction and doesn't send issued components back to inventory. It releases the order's remaining demand and reconciles what is left in WIP.

Does closing a work order post to the general ledger?

The Work Order Close is an accounting transaction. It reconciles what is left in WIP for the order, and what it posts depends on your costing and variance setup. The completions you already saved stay posted. Open the close's GL Impact subtab to see what it posted.

Does closing a work order cancel the purchase order for its components?

No. It removes the work order's demand, but the purchase order stays open until you cancel or reduce it.
