How to fulfill a make-to-order sales order in NetSuite

Fulfill a NetSuite sales order after its manufactured assembly is available, then verify the Item Fulfillment, inventory detail, and order status.

The quick answer

Confirm the manufactured assembly is available or otherwise eligible under the account’s commitment and fulfillment settings at the sales-order location. Open the account’s Fulfill Orders page or use the eligible sales order’s fulfillment action, verify the Item Fulfillment quantity and required inventory detail, select the shipment stage that matches the real operation, and save. Then reconcile the fulfillment with the sales order.

This example ships all 12 Aurora Control Units on SO-7440 for Summit Hardware after production has made them available at Reno. The screenshots use sample data and fictional person and operating-company names.

Before you start

The sales order must be approved and eligible for fulfillment. The finished assembly build or work-order completion must be saved or posted and place the assembly at the source location. Confirm the available or committed quantity under the account’s rules and any allocation, hold, approval, or workflow rule that could block the order. Enter inventory detail when required by the item and location, including bins, lots, serial numbers, or inventory status.

This walkthrough assumes Advanced Shipping is enabled, so fulfillment and billing are separate. Without it, fulfillment and invoicing may be combined. The Fulfill Orders queue and available shipment stages also depend on the role, Pick/Pack/Ship, and account preferences.

01 · Find the fulfillable order

Open the account’s Fulfill Orders page, which may be available through a dashboard reminder or an account- and role-dependent menu path. You can also open an eligible sales order and choose its fulfillment action. Filter by customer and location when needed. Locate SO-7440 for Summit Hardware and confirm the ship-to destination, shipping method, and quantity before choosing Fulfill. If the queue presents a submit or process step, complete it before reviewing the Item Fulfillment.

Match the customer, order, location, destination, method, and quantity before opening the fulfillment.

02 · Check the Item Fulfillment

On the new Item Fulfillment, confirm Created From is SO-7440, Customer is Summit Hardware, the Items line location is Reno, and the date and the shipping method on the Shipping subtab match the shipment. The example uses the native Shipped stage because the operational handoff has reached that point.

On Items, verify that the line is selected for fulfillment. Compare the displayed ordered, committed, fulfilled, remaining, and fulfillment quantities where those columns are available. The example fulfills all 12 units and uses BIN-FG-02 for the required inventory detail.

Check the selected item, committed and remaining quantities, fulfillment quantity, and inventory detail.

03 · Save the shipment stage

Select Shipped only when it matches the real warehouse state, then click Save. The saved transaction in this example is IF-7441, linked to SO-7440, with quantity 12 at Reno and BIN-FG-02.

In this example, saving the fulfillment as Shipped records the shipment and applicable inventory impact.

Shipped in NetSuite does not by itself prove carrier acceptance, label purchase, tracking activation, customer email, delivery, invoicing, or payment. Verify those events in the systems and records that own them.

04 · Verify the sales order

Return to SO-7440. Confirm the item line shows Fulfilled 12 of quantity 12 with nothing backordered, then open the related-records area and verify IF-7441 is linked with the expected status. With Advanced Shipping enabled, all fulfillable quantities shipped, and no invoice or cash sale created, this example shows Pending Billing. Billing preferences, billing schedules, payment flows, workflows, and other account settings can produce a different status.

The sales order is fully fulfilled and now waits for its separate billing step.

Check the result

  1. Fulfillment: IF-7441 retains the source order, quantity, location, stage, and inventory detail.
  2. Order: Fulfilled is 12 of 12, nothing is backordered, and the related fulfillment is linked.
  3. Next process: Pending Billing reflects the unbilled example; carrier and customer-notification evidence remain separate.
