Record Crew Labor on NetSuite Production Data Entry

Enter a crew's hours against a work order operation on Production Data Entry, save and refresh the Production Labor list, then find the hours in the Labor Report and see why Labor Hrs is the duration times the Resource Count.

The quick answer

Open Advanced Manufacturing > Data Collection > Enter Results/Loss/Downtime/Labor, type the Work Order and Operation No, open the Labor tab, enter a Duration (hrs), a Labor Code and a Resource Count, click Save above the Production Labor list and then Refresh. In Manufacturing Reports > Labor Report, Labor Hrs is the duration times the Resource Count, so an entry saved without a Resource Count reports 0 hours.

The screenshots show sample data. Company, person, work order, item and work center names are fictional. Use your own records and values when following the steps.

Before you start

You need Advanced Manufacturing, a WIP work order whose routing contains the operation, labor codes set up for Advanced Manufacturing, and a role that can open Production Data Entry and the Labor Report. The work order, operation, hours and labor codes below are example values, so use your own. This example uses work order WO3162 for assembly PMP-200 and operation 20, Pump Assembly, at Assembly Cell 1. The period default, the empty-report wording and the Start Time default can differ by release, role and customization.

The walkthrough records two entries. A crew of three assemblers worked two hours, and the lead inspector worked one and a half hours alone. Resource Count is the number of labor resources, for example people, that the duration applies to, so the crew is one entry with a Resource Count of 3, not three entries. It is a separate field from Employee, which is optional. This walkthrough records labor for reporting. Whether labor entries also drive work order completion costing depends on your Advanced Manufacturing settings, and no costing effect is shown here.

01. Check the Labor Report

Go to Advanced Manufacturing > Manufacturing Reports > Labor Report. Start Date Time is set to yesterday, with From and To both showing yesterday's date. Every other filter is - All - and Style is Report. With nothing recorded for yesterday, the report says No results found and the count at the top reads Total: 0.

Before the entries: yesterday shows No results found and Total: 0.

02. Choose the work order and operation

Go to Advanced Manufacturing > Data Collection > Enter Results/Loss/Downtime/Labor. The Production Data Entry page identifies the operation at the top and has Results, Material Loss, Downtime and Labor tabs underneath.

Type WO3162 in Work Order and press Tab. Assembly Item fills in as PMP-200. Type 20 in Operation No and press Tab. Operation Name fills in as Pump Assembly and Work Center as Assembly Cell 1. Those three fields are read-only.

Work order WO3162 and operation 20 fill in the assembly, operation name and work center.

03. Record the crew's hours

Open the Labor tab. In the account reviewed, Start Time already held the current date and time, so check it matches when the work happened. Enter 2 in Duration (hrs), choose Assembler in Labor Code and enter 3 in Resource Count. Leave Asset Name and Employee empty.

The Labor tab with Duration 2, Labor Code Assembler and Resource Count 3.

The buttons that save the entry are on the toolbar above the Production Labor list, not at the top of the page. Click Save. In the account reviewed, Duration (hrs), Labor Code and Resource Count cleared and Start Time showed a new time, while the list stayed empty. Click Refresh and it showed one row: WO3162, Operation Seq 20, Operation Name Pump Assembly, the start time, Duration (hrs) 2, Labor Code Assembler and Rsrc Count 3.

04. Record the inspector's hours

The lead inspector worked one and a half hours alone. Enter 1.5 in Duration (hrs) and choose Lead Inspector in Labor Code. This time leave Resource Count empty, as it is easy to do for a single person. Click Save and then Refresh. The list now has two rows. The second row shows Rsrc Count 0 even though nobody typed a count.

Ignore the Add and Cancel buttons under the list. They belong to the blank line at the bottom and do not save an entry.

The Production Labor list with both entries. The second shows Rsrc Count 0.

05. Find the hours in the report

Go to Advanced Manufacturing > Manufacturing Reports > Labor Report again. It still opens on yesterday and says No results found, because both entries were recorded today. Click Start Date Time. The popup has Quick Filters (Day, Week, Month, Quarter and Year), a Favorites list with All, and Available Selectors. Click Day, which narrows the Available Selectors to day-based choices, and choose today. From and To change to today's date.

The report lists two rows for WO3162. The Assembler row shows Resource Count 3 and Labor Hrs 6, which is 2 hours times 3 in the account reviewed. The Lead Inspector row shows no Resource Count and Labor Hrs 0, so the inspector's hour and a half is not counted. Work Center shows - None - on both rows. The Total row reads 6 and the count at the top reads Total: 2.

Today's labor: 6 hours for the crew and 0 for the inspector, because no Resource Count was entered.

Check the result

  1. The report reads Total: 2 and lists WO3162 operation 20 twice, once for each labor code.
  2. Assembler shows Resource Count 3 and Labor Hrs 6, the 2 hours from step 03 times 3.
  3. Lead Inspector shows Labor Hrs 0 and the Total row reads 6. To have those 1.5 hours reported, the entry needs a Resource Count.

Common questions

Why does my labor entry show 0 in Labor Hrs on the Labor Report?

In the account reviewed, Labor Hrs was the duration times the Resource Count, and an entry saved with a Duration but no Resource Count showed a blank Resource Count and Labor Hrs of 0, which added nothing to the Total row. Nothing on the page warned about it. Treat that as what the account did, not as a documented rule, and enter a Resource Count of at least 1 for every labor entry, even when one person did the work, so its hours are reported.

What is Resource Count on the Labor tab?

It is the number of labor resources, for example people, that the duration applies to. It is separate from the optional Employee field. Three assemblers working two hours is one entry with Duration (hrs) 2 and Resource Count 3, which reported 6 labor hours in the account reviewed.

Why is my labor entry missing from the Labor Report?

The report opens on Start Date Time set to yesterday in the account reviewed, so an entry recorded today does not appear. Click Start Date Time, click Day and choose today, or choose All in Favorites to clear both dates. Also check that Work Order, Work Center and Charge Type are set to - All -, and whether your report is a customized copy or is limited by location, subsidiary or role. Open the report again after saving, because it lists saved entries.

Why does Production Data Entry show nothing after I click Save?

Save stores the entry, but the list under the fields only changes when you click Refresh. If you check Refresh Lists After Save/Edit near the top of the page, the list refreshes as soon as you save. In the account reviewed, that box was unchecked by default.

Why does the Labor Report show - None - for Work Center?

In the account reviewed, the report showed - None - in Work Center for entries saved on Production Data Entry, and the Work Center column of the list under the fields was blank, even though the work center was filled in at the top of the page. That means the report did not resolve a work center for them. What it resolves can depend on the work order, routing, operation and report setup, so check those before drawing other conclusions, and test a Work Center filter in your own account before relying on it to find these entries.

Why does the Labor Report show nothing when Charge Type is Regular?

In the account reviewed, the report's Charge Type was blank for entries saved on Production Data Entry, and the Labor tab has no Charge Type field. With Charge Type set to Regular and today's date range the report said No results found, and with Charge Type set to - None - the same entries came back. This guide does not show where a charge type is set. If you filter by Charge Type, check whether your entries have one before concluding that labor is missing.
