The quick answer
Open Advanced Manufacturing > Planning Reports > Material Shortage Report - Summary. It lists each work order starting in the next four weeks that is short of at least one component, with an Items Short count. Click a work order number to see its short items, then open Material Shortage Report - Detail for Qty Needed, Committed and Qty. Var., the quantity still missing.
The screenshots show sample data. Person and company names are fictional. Use your own work orders and items when following the steps.
This guide reads two reports. It doesn't commit inventory, create a purchase order or change a work order.
Before you start
In this example, Alex Morgan at Example Supply Co. checks which open work orders will stall for lack of components. You need:
- Advanced Manufacturing enabled, so the Advanced Manufacturing menu has a Planning Reports group.
- A role that can run the saved searches in that group. Menu labels can vary by version and role.
- Work orders with components that are not fully committed, in a status the report supports (Released at minimum). Without any, the reports come back empty.
- Inventory commitment set up so that components are committed to work orders. Allocation features, bins, lots, units and subassemblies can change the quantities shown.
- Planned start dates populated, if you filter by AM Planned Start Date. The exact defaults and labels here can vary by release.
01. Open the Material Shortage Report - Summary
Go to Advanced Manufacturing > Planning Reports > Material Shortage Report - Summary. The results page opens with Location set to - All -, AM Planned Start Date set to next four weeks and Style set to Normal. The date filter uses the work order's planned start date for Advanced Manufacturing, and it only decides which work orders are listed.
Each row is a work order that is short of at least one component. In this example eight work orders appear and the Total row shows 17 items short. WO3118, which is In Process, accounts for seven of them.
02. Drill into the work order
Click WO3118. The page titled Summary: WO3118 Results lists one row per short item: FAS-900, HSG-120, IMP-205, MTR-310, PCB-330, SEAL-040 and WIR-150. A warning says that only searches filtered to the main line support editing, so use these pages for reading. Click Return To Summary to go back.
03. Read the quantities in the detail report
Go to Advanced Manufacturing > Planning Reports > Material Shortage Report - Detail. It uses the same filters and lists one row per short component, 17 rows in this example, the same as the summary total.
Each row shows Qty Needed, the quantity the work order requires, Committed, the quantity committed to it, and Qty. Var., which is Qty Needed minus Committed. On WO3118, MTR-310 Bilge Pump Motor needs 20 and has 10 committed, so Qty. Var. is 10. WIR-150 Wire Harness needs 20 and has nothing committed, so the whole 20 is short. Expedite the lines with the largest variance first.
Check the result
- The summary lists eight work orders and its Total row shows 17.
- Clicking WO3118 lists seven short items.
- The detail report shows 17 lines, the same as the summary total.
- On each line, Qty. Var. equals Qty Needed minus Committed.
Common questions
What is the difference between the summary and the detail report?
The summary has one row per work order with an Items Short count and a Total. The detail has one row per short component with the quantities.
What does Qty. Var. mean?
In the reviewed account it is Qty Needed minus Committed: the quantity of that component the work order still lacks, and a blank Committed value meant nothing was committed. Check a zero, a partial and a blank example in your own account before relying on it.
Which work orders appear in the report?
Work orders with at least one component that cannot be fully committed and whose planned start date falls in the filter range. Released work orders are the standard case. In the account this guide was checked against, In Process work orders also appeared, so confirm the statuses in your own account and release.
What does the AM Planned Start Date filter do?
It limits the report to work orders whose Advanced Manufacturing planned start date is in the range, four weeks from the coming Sunday by default. It doesn't change any quantity.
Does the report fix the shortage?
No. It shows the gap at the time it runs. Expediting a purchase, receiving stock or committing inventory is done elsewhere, and you run the report again to see the effect.
Can I edit data from these pages?
Don't plan on it. In the reviewed account the detail and drill-down pages warn that only searches filtered to the main line support editing, and the Edit switch was off. Open the work order itself to change it, if your role allows.
