How to create a work order from a sales order in NetSuite

Select Create WO on an eligible assembly sales-order line, save the order, and verify the generated special-order work order links back to customer demand.

The quick answer

On an eligible assembly line of a NetSuite Sales Order, enter the quantity and location, select Create WO, add the line, and save the order. If your account requires approval, complete it before expecting the work order. Check the Processed Orders result for the generated Work Order, then confirm its Created From field points back to the Sales Order.

This example orders 12 units of Helio Fan for Summit Hardware at Reno. The Processed Orders result links sales order SO-7420 to work order WO-7421. Transaction numbers and the person and operating-company names in the screenshots are fictional example data.

Before you start

Confirm that Assembly Items and Work Orders are enabled, the assembly is valid for the selected subsidiary and location, and its effective BOM setup supports production. Your role needs permission to enter sales orders and access work orders. The selected sales-order form must expose Create WO for an eligible assembly line; a customized form may hide or rename it. This example selects Create WO manually. An item-level special-work-order setting can affect whether it is selected automatically. Approval and custom workflows can delay work-order creation.

01 · Enter the sales order

Go to Transactions > Sales > Enter Sales Orders. Select the customer and check the subsidiary, currency, terms, addresses, tax treatment, and any required classifications that the form sets. In this example, choose Summit Hardware and Reno.

Check the customer and location before adding the assembly line.

02 · Select Create WO on the assembly line

On Items, choose Helio Fan, enter quantity 12, set the line location to Reno, and enter the requested ship date, September 30, 2026. Check that the assembly and components can use Reno. Select Create WO, then click Add to commit the line. Recheck the completed row before saving the order. The expected ship date expresses the customer’s request; NetSuite scheduling or custom automation may use that date, but the field alone does not define the work-order start or completion date.

The added line retains quantity 12, Reno, the requested date, and the Create WO selection.

Click Save. NetSuite creates the work order on save or after approval according to account configuration. If the order remains Pending Approval, complete the configured approval process before expecting the link.

The Processed Orders confirmation lists SO-7420 as the original Sales Order and WO-7421 as the processed Work Order, with status Succeeded. This is the visible result of the save in this walkthrough. If no work order appears, check the order’s approval status, line eligibility, whether you added the line before saving, and any workflow that creates work orders later. Check for an existing work order before trying again.

The processed result connects the saved sales order to its generated work order.

04 · Verify the production request

Open WO-7421 from the result. Confirm Created From is SO-7420, the assembly is Helio Fan, quantity is 12, and location is Reno. Record the production dates and initial status assigned by your account. This example shows Planned and Built 0; another account may assign a different initial status. Depending on BOM and item sourcing setup, NetSuite may create child work orders for manufactured subassemblies. Verify the parent order linked to this sales-order line.

The work order is linked and ready for the next production step; Built is still zero.

Check the result

  1. Source: Created From points to SO-7420.
  2. Request: Helio Fan, quantity 12, and Reno match the order line.
  3. Production: Built is 0 in this example. The work order itself does not record a build or GL posting.

Common questions

When is a sales-order assembly line eligible for Create WO?

The account needs Assembly Items and Work Orders, an eligible assembly and BOM, valid subsidiary and location values, and a form and role that permit the action. Item settings, approval rules, and custom forms can change whether Create WO appears or is selected automatically.

When does NetSuite create the work order?

It can create the work order when the sales order is saved or after approval, according to account configuration. The Processed Orders result in this example shows SO-7420 generating WO-7421.

Why is there no work order in the processed result?

Check that the order was saved and, if required, approved. Then confirm the correct assembly line was added with Create WO selected, its subsidiary and location are valid, and your role can view work orders. Check whether a workflow, script, or approval process delays creation. Look for an existing work order before trying again.

Does the sales-order expected ship date set the work-order completion date?

The expected ship date records the requested customer shipment date. It does not by itself set a work-order completion date. Scheduling rules or custom automation may use order dates, so check the dates on the generated work order.

Does the generated work order mean the item was built or posted?

No. The work order records the production request and is nonposting. WO-7421 shows Built 0 in this example. A later Assembly Build or applicable WIP transaction records production and its accounting impact.
