Find a Failing Vendor in the NetSuite Quality Management Scorecards

Use the Quality Management Vendor Scorecard to find the vendor with failed inspections, then the Inspection Field Scorecard to find the failing field and open the failed sample record.

The quick answer

Open Quality > Reports > Vendor Scorecard and look for a vendor with a value in Fail and a low Pass %. Click the vendor to list its inspections; red rows failed. Then open Inspection Field Scorecard, set Specification to the one that failed, click the field with the lowest % Pass, and click View on a Failed result to open the sample record.

The screenshots show sample data. Person and company names are fictional. Use your own vendors, items and specifications when following the steps.

Before you start

In this example, Alex Morgan at Example Supply Co. wants to know which supplier is causing rejects at Reno Plant. The inspections have already been done:

  • The Oracle Quality Management SuiteApp is installed, and receiving inspections have been recorded on the Quality tablet and finished.
  • Specifications, inspections and fields exist, and item receipts have queued the inspections. The vendor is populated on each queue record, which the Vendor Scorecard needs.
  • Your role can open the Quality reports, the Quality Management records behind them, and the subsidiary, location, vendor and item data they cover. Role names vary by account, so check access rather than assuming a Quality Manager role.
  • The reports are saved searches, so an administrator can change their filters, columns, formulas and links. This guide describes the labels and defaults the current release shows in the example account, so check yours. The Vendor Scorecard filters Last Modified to this month to date, so a vendor whose inspections were last modified earlier does not appear until you widen the dates.
  • In the example account Pass % is Pass divided by Pass plus Fail. Pending and In Work inspections are not counted against a vendor, and a vendor with no finished inspections has a blank Pass %.

01. Open the Vendor Scorecard

Go to Quality > Reports > Vendor Scorecard. The page is titled QM Vendor Scorecard: Results. It lists one row per location and vendor with Ttl Tests, Pass, Fail, Pending, In Work, Cancelled, Hold, Complete, Error and Pass %, and a Total row.

Read the Fail and Pass % columns. Northgate Electronics has 5 tests, 3 pass, 2 fail and a Pass % of 60.0%. Halden Fasteners is at 75.0% and Ridgeway Castings at 100.0%. Alder Coatings has only pending inspections, so its Pass % is blank.

Vendor Scorecard and Inspection Field Scorecard are in the Reports group of the Quality menu.
Northgate Electronics has two failed inspections and a Pass % of 60.0%.

02. Drill into the vendor

Click Northgate Electronics. The title changes to QM Vendor Scorecard: Northgate Electronics Results and the page lists that vendor's inspections, one row each, with PO Number, Item Receipt, Quality Specification and Item. Rows are green when the specification passed and red when it failed, and a legend under the list says so. Treat the Status column, not the colour, as the authoritative result.

The two red rows are for item SPN-440 under the specification Receiving SPN-440, from purchase orders PO6175 and PO6183. That tells you the supplier, the item and the specification. It does not tell you which measurement failed. Click Return To Summary to go back.

The two red rows are the failed inspections, both for SPN-440 under Receiving SPN-440.

03. Find the failing field

Go to Quality > Reports > Inspection Field Scorecard. Under Filters, set Specification to Receiving SPN-440. The list narrows to the fields of that specification, with Tests, Pass, Fail and % Pass for each.

Proper Ground Wire Connection, part of the Electrical Check inspection, has 4 tests, 2 pass, 2 fail and 50.0%. Every other field is at 100.0%.

With the Specification filter set, Proper Ground Wire Connection stands out at 50.0%.

04. See the individual results

Click Proper Ground Wire Connection. The title becomes QM Inspection Field Scorecard: Proper Ground Wire Connection Results and the page lists the four recorded results with Script ID, Result Status, Actual Value and the Quality Inspection Queue number. Two are Passed with Actual Value true. Two are Failed with Actual Value false. For a yes/no field the value shows as true or false.

Two of the four results are Failed with Actual Value false.

05. Open the failed sample

On a Failed row, click View, if your results show the link and your role can open the record. The Quality Data Samples record opens. It shows Result Status Failed, Actual Value false, the Validation that expected true, the field Instructions, the Lot Number, the Sample ID and the Quality Inspection Queue entry it belongs to. QM Test Fail is 1.

You now have the vendor, the item, the specification, the field and the recorded value to take to the supplier. A failed sample is not the same as a failed specification. Conformance rules decide the final status and any action, such as quarantine or return to vendor.

The failed sample shows the recorded value, the rule and the instruction.

Check the result

  1. The Vendor Scorecard showed Northgate Electronics with 2 fails and Pass % 60.0%.
  2. The vendor drill-down listed two red rows for SPN-440 under Receiving SPN-440.
  3. The Inspection Field Scorecard, filtered to that specification, showed Proper Ground Wire Connection at 50.0%.
  4. The field drill-down listed two Failed results with Actual Value false.
  5. The Quality Data Samples record showed Result Status Failed and QM Test Fail 1.

Common questions

How do I find which vendor has failed inspections in NetSuite Quality Management?

Open Quality > Reports > Vendor Scorecard and read the Fail and Pass % columns for each vendor. Click a vendor to list its inspections; red rows are failed specifications.

How is Pass % calculated on the Vendor Scorecard?

It is Pass divided by Pass plus Fail. Pending, In Work and Cancelled inspections are not counted, so a vendor with no finished inspections has a blank Pass %.

Why is a vendor missing from the Vendor Scorecard?

In the example account the Last Modified filter defaults to this month to date, so a vendor whose inspections were last modified earlier does not appear until you widen the date range. Also check the Location, Specification and Item filters, whether the vendor is populated on the inspection queue, whether the queue is an ad hoc queue without the transaction reference the search expects, and whether your role can see that vendor, location and subsidiary.

What happens when I click a vendor name on the scorecard?

The page drills down to that vendor's inspections, one row per inspection, with the purchase order, item receipt, specification and item. Return To Summary goes back to the scorecard.

How do I find which inspection field is failing?

Open Quality > Reports > Inspection Field Scorecard, set Specification to the one that failed, and look for the field with the lowest % Pass. Click the field name to list its individual results.

Where do I see the actual failed value?

Click View on a Failed result. The Quality Data Samples record shows Result Status, Actual Value and the Validation the value was compared with.

Why do my scorecard counts look stale or blank?

The scorecards depend on Quality Management workflows that populate the vendor and the pass and fail counters. Check that those workflows are released and have finished without errors, and confirm the filters, dates and criteria on the saved search. The result may also be pending, in work or outside the selected status, or hidden by your role's access.

Does a failed scorecard return the goods to the vendor?

Viewing or filtering a scorecard does not return anything. A failed inspection can trigger a configured action, such as Quarantine or Return To Vendor, through the specification's conformance rules and your workflows. Check the queue's action and the resulting transaction or workflow status to confirm what happened.
