Re-cost Posted Work Order Labor Charges in NetSuite with Update Costs for Manufacturing Charges

Filter Update Costs for Manufacturing Charges to one work order's Labor Run lines, set a Custom Unit Cost, mark and submit, then confirm the new cost on the work order completion's GL Impact.

The quick answer

Open Transactions > Manufacturing > Update Cost for Manufacturing Charges, choose the Subsidiary, then narrow the list with Related Work Order # and Cost Category until only the lines you mean to change remain. Clear Item's Purchase Price, enter a Custom Unit Cost, click Mark All and Submit, and follow Process Status to Complete. Then open the work order completion: its Projected Value and the labor lines on GL Impact show the new cost. In the example, a labor run cost of 18.50 an hour became 21.00, and the completion's Projected Value rose from 345.10 to 352.60.

The screenshots show sample data. Person and operating-company names are fictional. Use your own records and values when following the steps.

Before you start

You need Advanced Manufacturing with work order completions that already carry labor or machine charges, and at least Edit permission on the production transactions you will change, here Work Order Completion. The Allow Bulk Update Costs for Production Charges preference under Setup > Manufacturing > Manufacturing Preferences is described as required, so check it first if the menu entry or the page is missing. Eligible charge lines belong to Service, Non-Inventory or Other Charge items with a Purchase or Resale subtype, and some cost categories, such as Outsourcing Charge, Landed and Service, are excluded. The transactions you change are expected to be in an open posting period, so check the Posting Period column before a large batch. Whether a closed work order blocks the update is not established here, so try a small sample first.

01. Read the completion before the update

Open Work Order Completion WCO2208. It completed all 8 units of work order WO3306 across both operations, and its Projected Value is 345.10.

Work Order Completion WCO2208 before the update: Projected Value 345.10.

Open the GL Impact tab and note the lines you expect to change. Finished Goods is debited 345.10 and WIP is credited 345.10, and each of the two operations posts a labor line of 27.75 plus labor burden lines of 6.00 and 18.00.

GL Impact before the update: each operation posts a labor line of 27.75.

02. Open Update Costs and choose the subsidiary

Open Transactions > Manufacturing and choose Update Cost for Manufacturing Charges in the Bulk Actions group. The page is titled Update Costs for Manufacturing Charges. In the account observed, Submit, Mark All and Unmark All are disabled and Subsidiary is required. Choose Harborview US.

The list fills with posted charge lines, 50 at a time, here 1 to 50 of 66, with Current Unit Cost, New Unit Cost, Current Cost and New Cost on every row. A warning asks you to select at least one transaction line before submitting. Nothing is marked yet, so nothing will change. The Transaction Type filter offers Assembly Build, Work Order Completion and Work Order Issue.

After choosing the subsidiary the grid lists posted charge lines, 1 to 50 of 66.

03. Narrow the list to the labor lines

Type WO3306 in Related Work Order # and press Tab. The grid shows the six posted charge lines of WCO2208: for each operation one Labor Run line and two Labor Run Overhead lines. Then click Labor Run in Cost Category. Two lines remain, both Work Order Completion #WCO2208, one for Stitch and Assemble and one for Quality Inspection. Each is 1.5 Hours of the LAB-RUN item with a Current Unit Cost of 18.50 and a Current Cost of 27.75. The other filters, Location, Charges, Transaction Date From and To, Posting Period and Operation Name, narrow the list in the same way.

Filtered to WO3306 and Labor Run: two lines, each 1.5 hours at 18.50.

04. Set the new unit cost

Item's Purchase Price is checked by default. It re-costs each line to the charge item's current purchase price, which here is 18.50, so New Unit Cost still reads 18.50 and nothing would change. Clear Item's Purchase Price. A warning asks you to define a Custom Unit Cost before submitting.

Type 21.00 in Custom Unit Cost and leave Unit Cost Using on Cost per base unit. New Unit Cost now reads 21.00 and New Cost reads 31.50 on both lines. Check these two columns before you mark anything: they preview the result for every listed line, not only the marked ones.

Custom Unit Cost 21.00: New Unit Cost 21.00 and New Cost 31.50 on each line.

05. Mark the lines and submit

Click Mark All. It marks the lines that are listed at that moment, here the two Labor Run lines, and Submit becomes enabled. Click Submit.

Both Labor Run lines marked and Submit enabled.

06. Follow the submission

Submit opens Process Status with submission 21307, Update Costs For Manufacturing Charges, Not Started at 0.0%. Click Refresh until Submission Status is Complete. It moves to In Progress and then to Complete at 100.0%, with a Message of 0 Errors.

Process Status: submission 21307 is Complete at 100.0% with 0 Errors.

Click Complete. Processed Records lists one line, Work Order Completion #WCO2208, with the Line Status Complete and the Result Success. In the example, two marked lines on one transaction give a single processed record, and Result Record stays empty, so there is no separate record to open.

Processed Records: one line for WCO2208, Complete, Success.

07. Confirm the result on the completion

Open Work Order Completion #WCO2208 again. Projected Value is now 352.60, up by 7.50. In this example that is 2 lines times 1.5 hours times the 2.50 increase in the hourly cost.

WCO2208 after the update: Projected Value 352.60.

Open GL Impact. Finished Goods is debited 352.60 and WIP is credited 352.60, both labor lines read 31.50, and the labor burden lines are still 6.00 and 18.00. Only the lines you marked changed.

GL Impact after the update: both labor lines are 31.50, labor burden unchanged.

Check the result

  1. Process Status shows the submission as Complete at 100.0% with 0 Errors.
  2. Processed Records lists the transaction with Line Status Complete and Result Success.
  3. On the work order completion, Projected Value and the GL Impact lines for the marked charges show the new cost, and the lines you did not mark are unchanged.

Common questions

What is Update Costs for Manufacturing Charges, and where is it?

It is a bulk page that re-costs manufacturing charge lines already posted on Work Order Completion, Work Order Issue and Assembly Build transactions. Open Transactions > Manufacturing and choose Update Cost for Manufacturing Charges in the Bulk Actions group. The page title reads Update Costs for Manufacturing Charges.

Why is Submit disabled?

In the account observed, Submit stays disabled until Subsidiary is chosen and at least one line is marked. With Item's Purchase Price cleared and no Custom Unit Cost, a warning also blocks the submission. Mark All and Unmark All are disabled until a subsidiary is chosen.

What does Item's Purchase Price do?

When it is checked, each line is re-costed to its charge item's current purchase price. If that price already equals the posted cost, New Unit Cost equals Current Unit Cost and submitting changes nothing. Clear it to enter a Custom Unit Cost instead.

What is the difference between Cost per base unit and Fixed Cost?

Unit Cost Using chooses how the Custom Unit Cost is read. Cost per base unit is the default and is converted for other units of measure. Fixed Cost uses the amount as entered. The example uses Cost per base unit, and its lines are in hours.

Why do New Unit Cost and New Cost show a value on lines I have not marked?

They preview the result for every line in the list, not only the marked ones. With a Custom Unit Cost of 21.00, a Labor Run Overhead line whose Current Unit Cost is 4.00 would also preview 21.00. Only marked lines are submitted, so filter to the lines you mean to change before you use Mark All, and read New Unit Cost before you submit.

What does Processed Records show for this page?

In the example, one line per transaction rather than per charge line: two marked lines on WCO2208 give one record with Line Status Complete and Result Success. Result Record is empty, so check the transaction's GL Impact tab to confirm the change. If a submission finishes with errors, open the error link and read the messages.

Is the change always lines times hours times the rate difference?

That is how the example works out, because both marked lines are 1.5 hours of the same labor item. Other cost categories, setup charges, units of measure, currency, rounding and the costing method can all change the arithmetic. Read the transaction's GL Impact tab rather than inferring the result from the rate difference alone.

Can I update a transaction in a closed posting period?

Plan on not being able to. The transactions you change are expected to be in an open posting period, so check the Posting Period column and try a small sample before a large batch. The page also lists Posting Period as a filter, which helps you keep to open periods.

Does it change the item, the routing or the work order?

It changes the cost of the posted charge lines on the transactions you marked. It is not described as changing the charge item, the routing, the cost template or the work order, and the completion's quantity, the work order's Built quantity and its status stay as they were. The item record was not reopened in the example, so check it yourself if that matters.
