Create a Standard WMS Cycle Count Plan for One Item

Create a reusable NetSuite WMS cycle count plan for one item at one location, save it, and check the saved plan. Saving a plan does not create a count.

The quick answer

Open the new WMS Cycle Count Plans form, enter a Name, choose the Subsidiary and Location, check the Account, and narrow the plan with the item and bin filters you need. Choose Save. The saved plan holds only those filters. It does not create a count: you generate the count from the plan afterwards.

The screenshots show sample data. Person, company, location, item and account values are fictional.

Before you start

You need NetSuite WMS and a role that can create cycle count plans, such as WMS Warehouse Manager. Menus differ by role and WMS setup, so open the cycle count area in your WMS inventory menu and choose the option that creates a plan. Know which warehouse location and which item, item group or bins the plan should count, and have the variance account for your counts ready.

This guide stops once the plan is saved. Generating, releasing, starting and approving a count are separate steps.

01. Open the new plan form

The form has three sections: Main for the name, subsidiary, location and account, Items for the item filters, and Bins for the warehouse filters. Leave Custom Form as it is.

The new plan form: Main, Items and Bins.

02. Fill in Main

Enter Rotor Coupling Weekly Count in Name. Choose Northstar Holdings as Subsidiary and North Warehouse as Location. Account is already filled in with Inventory Variance, the account used for count variances in this example. Leave Department, Class, Memo and Assigned To empty unless your setup needs them. Your accounting preferences can make Department or Class mandatory.

Name, subsidiary and location are set; Account is filled in.

03. Choose the item

Under Items, click Item, type RT-2208 and press Tab. The box resolves to RT-2208 Rotor Coupling. The double arrow beside the box is for picking several items, and Item Classification, Item Family and Item Group count whole groups of items instead. Leave them blank here, so the plan counts only this one item.

One item in the Item box; the other item filters stay blank.

04. Check the bin settings and save

Under Bins, leave Zones, Aisle and Bins blank, so no bins are excluded. Count Bin Rows with Zero Quantity adds item and bin rows that show no stock. It stays cleared here, so generation is generally limited to rows that have stock. Sort Rows by Bin only changes the order of the rows when you generate. Choose Save.

No bin filters, and zero-quantity rows are not included.

05. Review the saved plan

The saved record shows the name, an ID, the subsidiary, location, account and item. On this form it also has an Inventory Count subtab. It is empty because no count exists until you generate one from the plan.

No count exists yet, so the Inventory Count subtab is empty.

Check the result

  1. The record shows the name, subsidiary, location, account and item you entered.
  2. Item Classification, Item Family, Item Group and the bin fields are blank on purpose.
  3. The Inventory Count subtab has no records, because no count has been generated.

Common questions

Does saving the plan create a cycle count?

No. Saving stores only the plan's filters. A separate step, Generate Cycle Count from Plan, builds the inventory count from the plan. The on-hand snapshot is taken when a count is started, and an adjustment follows only after approval.

Which fields are required?

On this form Name, Location and Account are marked required, and the plan also needs the subsidiary that matches the warehouse. Account is the account used for count variances and often fills in from a default inventory count account preference. Your accounting preferences can make Department and Class required too.

How do the filters combine?

A filled-in filter in one category is combined with the filled-in filters in the others, so each one narrows the plan further. Several values picked inside one field act as alternatives. A blank filter does not restrict the plan. With only a location and an item filled in, the plan is expected to return the bins at that location that hold the item. Some bins can still drop out, for example when they are excluded from cycle counting or are already in an open count, so check the rows when you generate.

What does Count Bin Rows with Zero Quantity do?

It adds item and bin rows whose on-hand quantity is zero, which helps catch stock that was not recorded. Leave it cleared if you only want rows that currently have stock.

What does Use Item Frequency do?

It makes generation compare each item's next count date with the start and end dates you enter when you generate the count. Nothing is scheduled when you save the plan.

Can I assign a counter on the plan?

Yes. Assigned To sets a default employee that carries into generation. You can change the assignment when you generate and release the count.
