The quick answer
When Take Ownership has already posted value to inventory in transit, physical receipt is a separate step. Open the inbound shipment, select Receive, verify the lines and quantities, and save the receiving request. Follow its completed processing results to the generated item receipt. In this example, that receipt’s GL Impact debits inventory in stock and credits external inventory in transit for 460.00.
These images come from a recorded practice workflow with sample values and fictional person and company names. The source demonstration used an older NetSuite account. A current account inspection confirmed the shipment and receiving-form layout; it did not confirm this ownership-to-receipt posting in production. Check your generated records and account setup before relying on the same GL result.
Before you start
You need Inbound Shipment Management, access to receive inbound shipments, an approved and linked purchase order with open quantities, and a valid date in an open posting period. The selected lines must have completed Take Ownership processing if you expect the receipt to clear inventory in transit. That earlier ownership process is a prerequisite here, not an action repeated in this walkthrough. Items may also require lot, serial, bin, or inventory-status detail before receipt can save.
The example shipment is 6803, still In Transit with Quantity Received at zero. It has two purchase-order lines at Reno Warehouse. The walkthrough receives 2 Each on each line, then traces the first line through receipt IR9301. Your account may create a different number of receipts or use different GL accounts.
01. Check the shipment
Open the inbound shipment and check its status, purchase-order lines and received quantities. In Transit and zero received quantity mean this example has not yet recorded warehouse receipt. Confirm the prior ownership transfer separately; the shipment status alone does not prove that ownership changed.
02. Receive the lines
Select Receive. Choose the open Posting Period, check the Date, then confirm which lines are selected. Here PO6801 / FM-120 and PO6802 / HP-340 each have Quantity to be Received of 2 at Reno Warehouse. The form’s header Receiving Location is blank in this example; the line-level locations are populated. Check every selected line and any required inventory detail before selecting Save.
03. Check processing
After Save, refresh Process Status if the request is still running. The example reaches Complete, 100%, and 0 Errors. That confirms the receiving process reported success; it does not establish what posted to the GL.
Open the completed process and inspect Processed Records or its result-record links. Two successful rows here link to IR9301 and IR9302. Count distinct receipt links rather than assuming one receipt per shipment line; several result rows can point to the same receipt in another workflow.
04. Open the receipt
Open IR9301. Its Created From field points to PO6801, and its item line shows two filter modules going to Reno Warehouse. Reconcile each distinct receipt against its source PO, quantities and location before interpreting the accounting.
05. Check GL Impact
Open the receipt’s GL Impact tab. This example shows a 460.00 debit to 1210 Inventory In Stock and a 460.00 credit to 1205 External Inventory In Transit. The prior ownership transfer had already put this value into transit inventory, so the receipt moves it into inventory in stock. The source account showed the GL in a separate page; this practice recording uses the receipt tab. Review the actual receipt in your account because costing, currency, landed cost, item setup and custom GL rules can change the lines and amounts.
Check the saved result
- The receipt links to the intended purchase order and received item.
- The received quantity and location match the goods that arrived.
- The GL Impact agrees with the ownership transfer and your configured accounts.
Common questions
Does Take Ownership mean the goods have been physically received?
No. It records an ownership change, while Receive records physical receipt. The shipment can remain In Transit with Quantity Received at zero after ownership transfers.
Why did this receipt credit External Inventory In Transit?
The preceding ownership transfer had already posted the example goods’ value into that account. The receipt then moved 460.00 into inventory in stock. The account names, amounts and any extra lines depend on your setup and the generated transaction.
Do two received lines always create two item receipts?
No. The number of processing rows does not fix the number of receipts. Open each distinct item-receipt link in the completed results and check its source PO and lines.
Is Complete with zero errors enough to confirm the GL posting?
No. It confirms that the processing request reported success. Open the generated item receipt and inspect GL Impact to confirm what posted.
